Prepare employment contracts, offer letters, confirmation letters, transfer letters, warning/show-cause letters, and other HR-related correspondence. Monitor employee probation, confirmation, contract renewal, resignation, and termination processes. Maintain and update employee leave, attendance, and other HR records. Ensure HR documentation is properly filed and maintained. Coordinate manpower requirements based on operational and project needs. Coordinate recruitment, onboarding, mobilization, demobilization, and employee deployment. Maintain an updated manpower database and monitor employee availability and deployment status. Coordinate employee travel arrangements, mobilization schedules, and related documentation where required. Monitor manpower movements and ensure the required documentation is completed before mobilization. Prepare payroll for the manpower coinsulrnats based on the approved timesheets Manage and coordinate immigration matters for bosses, and consultants. Prepare and submit documents for visa applications, work permits, employment passes, renewals, extensions, and cancellations. Monitor visa and work permit expiry dates and ensure timely renewal or extension. Coordinate with immigration authorities, embassies, agents, and relevant government agencies. Maintain accurate records of passports, visas, work permits, arrival/departure information, and other immigration documents. Advise management and employees on immigration requirements and documentation. Ensure compliance with applicable immigration and employment regulations. Maintain proper documentation for audit and compliance purposes. Support management in HR-related projects and other duties as assigned. Job Qualifications: Diploma/Degree in Human Resources, Business Administration, Management, or a related field. Minimum 4–5 years of relevant experience in HR administration, manpower management, immigration, work permit, and expatriate management. Strong hands-on experience and good knowledge of manpower and immigration matters, particularly in managing foreign employees, expatriates, work permits, employment passes, visa applications, renewals, extensions, and cancellations. Proficient in using the ESD (Expatriate Services Division) portal and experienced in handling online submissions, applications, renewals, and related immigration processes. Good knowledge of employment, manpower, immigration, and expatriate-related regulations and procedures. Strong administrative, organisational, and documentation skills, with excellent attention to detail. Good communication and interpersonal skills, with the ability to liaise effectively with employees, management, government authorities, and external parties. Able to work independently, manage multiple applications and deadlines, and handle confidential employee information professionally. Good command of English and Bahasa Malaysia; Bahasa Indonesia would be an added advantage. Proficient in Microsoft Office, particularly Word and Excel.
