It may be subject to change based on the evolving needs of the company. About the role As the HR Manager, you will provide day-to-day support across all areas of HR, working closely under the guidance of the external HR company. This is a supporting role, helping to ensure HR processes are compliant, well-organised, and meet the needs of the business and employees. Key duties include assisting with recruitment checks, preparing contracts, coordinating onboarding, updating employee records, and supporting employee relations cases. You’ll also help maintain HR policies, track training in the company matrix, and respond to staff queries. A high level of IT proficiency is essential, as you’ll use SharePoint and the in-house HR portal for managing data, generating reports, and ensuring accurate records. The role involves handling sensitive information, so confidentiality and attention to detail are key. Key Responsibilities Pre-Employment Process: Prepare and issue offer letters and employment contracts in line with agreed terms Conduct and record right-to-work checks to ensure legal compliance before employment commences. Liaise with the external HR consultant to ensure all pre-employment documentation is compliant and up to date. Onboarding and Induction Plan and deliver a structured onboarding process for new starters following successful completion of pre-employment checks. Coordinate induction schedules, introductions, and ensure access to necessary systems and tools. Support new starters in their initial weeks to ensure a smooth transition into their roles and the company culture. Contracts and Documentation Maintain accurate employee records, including contract updates, role changes, and variations to terms and conditions. Liaising with the Senior Management Team to write and update Job Descriptions Policies and Compliance Develop and maintain HR policies and procedures, ensuring regular updates in line with legal requirements and best practice under the guidance of the HR Consultancy. Support the communication and implementation of policies across the business. Employee Wellbeing and Engagement Promote wellbeing initiatives and act as a point of contact for employee support. Assist in planning and delivering employee engagement activities to foster a positive working environment. Refer well-being or mental health concerns to appropriate resources or escalate via the external HR consultant as needed. Employment Issues Assist in the handling of employee relations issues such as disciplinary, grievance, and absence management under the guidance of the external HR consultant. Ensure accurate records are kept and all procedures are followed in line with current employment law. Performance Review Schedules Coordinate probation and annual reviews Support managers in conducting fair and productive performance reviews. Track and record outcomes and follow up on development or training needs. Ensure the review process is aligned with company values and overseen in collaboration with the external HR consultant. Recruitment Drives and Early Careers Lead on running recruitment drives across the business. Manage recruitment for apprentices, graduates, and college/university placements. Write and post job adverts on suitable platforms and with education partners. Build and maintain relationships with colleges, universities, and training providers. Coordinate career fairs, open days, and other events to promote the company and attract new talent. Training and Development Maintain and regularly update the company training matrix to ensure all records are accurate and current Monitor mandatory and role-specific training requirements, ensuring employees are scheduled and compliant Liaise with managers to identify training needs and coordinate appropriate learning opportunities Record completed training in the HR portal and SharePoint as required Support the onboarding process by ensuring required training is completed during induction Manage the internal on boarding induction training portal Timesheets and HR Portal Management Monitor timesheet submissions and ensure data accuracy for payroll and compliance purposes. Maintain the HR portal and ensure employee data is accurate, secure, and up to date. Generate monthly timesheet report for cost reporting Collaboration and Continuous Improvement Act as a key point of contact between the business and the external HR consultant. Identify and implement improvements to HR processes and systems. Support internal audits, training, and HR projects to promote operational efficiency and a positive employee experience. Qualifications CIPD Level 5 or above (Level 7 desirable) Degree in Human Resources, Business Management, or a related field Experience Minimum 5 years of progressive HR experience, including HR Advisor or Coordinator level roles Proven experience managing onboarding, maintaining accurate records, and handling sensitive employee data Strong knowledge of GDPR and practical experience ensuring HR data is managed in line with data protection laws Experience supporting or leading on employee relations matters such as absence, grievances, and disciplinary processes Confident working with HR systems, managing compliance, and supporting continuous improvement in HR operations HOW TO APPLY APPLICATION Please note: This role will be based in the UK.
