POSITION OVERVIEW The HR Lead is responsible for leading and managing the full spectrum of Human Resources functions for Happy Potato, supporting the company’s multi-outlet operations, expansion, franchise growth, and corporate structure. The role focuses on manpower planning, talent acquisition, employee engagement, performance management, payroll and HR administration, learning and development, employee relations, and compliance. The HR Lead is expected to build a disciplined, scalable and service-oriented HR function that supports business growth. 2. ROLE OBJECTIVE Ensure Happy Potato has the right people, in the right positions, at the right time. Build scalable HR systems, policies and procedures to support corporate and franchise expansion. Strengthen employee performance, engagement, retention and leadership capability. Ensure HR operations, payroll and statutory matters are accurate, timely and compliant. Support new store openings and business expansion with manpower readiness. Build a strong people culture aligned with Happy Potato’s business objectives and values. 3. CORE RESPONSIBILITIES 3.1 Talent Acquisition & Manpower Planning Develop and implement recruitment strategies for outlet, HQ and support functions. Work closely with Operations and HODs to determine manpower requirements and job specifications. Lead end-to-end recruitment including sourcing, screening, interviewing, selection and onboarding. Maintain an active talent pipeline for key positions and future expansion. Monitor manpower vacancies, hiring lead time and staffing readiness. Support recruitment campaigns for new outlets, including pre-opening manpower planning. 3.2 New Store Opening & Business Expansion Work with Operations and Project teams to establish manpower plans for each new outlet. Prepare recruitment timelines and ensure staffing readiness before opening. Coordinate onboarding and induction schedules for new outlet teams. Establish HR processes and staffing structures that can be replicated across new stores and franchise locations. Support manpower planning for corporate and franchise expansion. 3.3 Employee Relations & Engagement Handle employee relations matters professionally, fairly and consistently. Manage disciplinary and grievance processes in accordance with company policy and applicable requirements. Conduct exit interviews and analyse turnover trends. Recommend corrective actions to improve retention and employee experience. Drive employee engagement initiatives that strengthen teamwork, motivation and service culture. Promote Happy Potato’s values and culture through people practices. 3.4 Performance Management & Development Implement and manage performance review processes for employees across functions. Work with HODs and Operations leaders to establish clear performance expectations and KPIs. Identify performance gaps and coordinate improvement actions. Support career development, talent identification and succession planning. Develop HR dashboards and reports to track manpower, turnover, absenteeism and performance trends. 3.5 Learning & Development Work with Operations and L&D stakeholders to identify training needs. Support onboarding, orientation and role-based training programmes. Coordinate leadership development for outlet managers and key supervisors. Track training participation and effectiveness. Ensure training priorities support operational standards, customer experience and business expansion. 3.6 Payroll & HR Administration Oversee monthly payroll processing and ensure accuracy and timeliness. Manage attendance, leave, claims, benefits and employee records. Ensure timely and accurate statutory contributions and submissions, including EPF, SOCSO, EIS and PCB. Maintain accurate and confidential employee records and HRIS data. Establish clear HR administration controls and documentation standards. 3.7 HR Policy, Compliance & HR Operations Develop, review and maintain HR policies, procedures and employee guidelines. Ensure HR practices comply with applicable Malaysian employment requirements. Maintain proper documentation for recruitment, onboarding, confirmation, promotion, transfer, disciplinary action and termination. Lead HR audits and corrective actions where required. Ensure consistent application of HR policies across outlets and departments. 3.8 HR Reporting, Cost & Workforce Control Prepare monthly HR reports covering headcount, vacancies, turnover, absenteeism, payroll and manpower trends. Monitor manpower cost against approved budgets and business requirements. Identify workforce risks and recommend corrective actions. Provide management with people insights to support business and expansion decisions.
