We are looking for an enthusiastic HR professional who is keen to learn, takes ownership and is passionate about building a career in Human Resources. Position Summary The HR Executive will be responsible for supporting and executing key Human Resource processes across recruitment coordination, employee onboarding, HR operations, employee documentation, payroll coordination and employee lifecycle management. The role requires a professional who is highly organised, process-driven and capable of managing multiple priorities while ensuring accuracy, confidentiality and timely execution of HR activities. Key Responsibilities 1. Recruitment Coordination ● Coordinate end-to-end recruitment activities for assigned positions. ● Publish job advertisements across relevant hiring platforms .● Screen applications against defined job requirements. ● Coordinate interview scheduling between candidates and hiring managers. ● Maintain regular communication with candidates throughout the recruitment process. ● Coordinate assessments, interviews and feedback collection. ● Prepare offer documentation and coordinate offer roll-out. ● Maintain recruitment trackers and hiring dashboards. ● Support background verification and pre-joining formalities. ● Ensure a seamless candidate experience from application through joining. 2. Employee Joining, Onboarding & Induction ● Own the complete onboarding process for all new employees. ● Coordinate all pre-joining activities with candidates and hiring managers. ● Ensure collection, verification and filing of all mandatory employee documents. ● Prepare employee files (physical and digital). ● Prepare appointment and joining documentation. ● Coordinate induction schedules. ● Conduct HR induction for all new employees. ● Coordinate departmental induction with reporting managers. ● Track completion of onboarding and induction checklists. ● Ensure every new employee experiences a smooth and professional onboarding journey. 3. Employee Documentation & HR Operations ● Maintain complete employee records with 100% documentation compliance. ● Prepare and issue HR letters including: ○ Offer Letters ○ Appointment Letters ○ Confirmation Letters ○ Promotion Letters ○ Increment Letters ○ Transfer Letters ○ Experience Letters ○ Relieving Letters ● Maintain and update employee master data. ● Ensure personnel files remain accurate, complete and audit-ready. ● Maintain confidentiality of employee information. ● Support implementation of HR policies, SOPs and governance processes. 4. Attendance & Payroll Coordination ● Coordinate monthly attendance inputs across schools, centres and functions. ● Validate attendance, leave and employee movement data. ● Compile payroll inputs including: ○ Attendance ○ Leave records ○ Leave Without Pay (LWP) ○ New Joiners ○ Employee Exits ○ Salary revisions ○ Incentives and reimbursements (where applicable) ● Coordinate payroll processing with the external payroll consultant. ● Resolve payroll queries through coordination with Finance and payroll partners. ● Maintain payroll records and statutory documentation. ● Support employees with payroll-related queries. 5. Employee Lifecycle Management ● Manage employee confirmation processes. ● Track probation review timelines. ● Coordinate employee transfers and internal movements. ● Support employee engagement initiatives. ● Coordinate employee exits, documentation and asset recovery. ● Prepare Full & Final Settlement inputs. ● Maintain employee lifecycle trackers and reports.6. HR Reporting & Administration ● Maintain HR dashboards and MIS reports. ● Generate periodic HR reports and analytics. ● Maintain recruitment, onboarding and payroll trackers. ● Update HRIS and employee databases. ● Support HR audits and documentation reviews. ● Coordinate HR meetings, employee communication and departmental activities. ● Support implementation of HR projects and process improvement initiatives. Skills & Competencies ● Strong interpersonal and communication skills. ● Excellent organizational and coordination abilities. ● Strong attention to detail and documentation accuracy. ● Ability to manage multiple priorities. ● High level of integrity and confidentiality. ● Strong ownership and accountability. ● Proficiency in Microsoft Excel, Word and PowerPoint. ● Working knowledge of HRIS systems will be an advantage. ● Problem-solving mindset with a focus on continuous improvement. Qualifications ● MBA / PGDM in Human Resources or equivalent. ● Bachelor's degree in any discipline. Experience ● 2–3 years of experience in Human Resources. ● Experience in HR Operations, Recruitment Coordination and Payroll Coordination is preferred. ● Experience working with NGOs, educational institutions or social sector organisations will be an added advantage.
