JOB SUMMARY The HR Executive will be responsible for managing day-to-day Human Resources and administrative activities of the Company. The position will handle employee records, recruitment, onboarding, attendance, leave, payroll coordination, MOHRE-related documentation, visa processing, employee relations, disciplinary matters, and general HR administration. The HR Executive will ensure that all HR processes are completed accurately, confidentially, and in accordance with Company policies and applicable UAE Labour regulations. 2. KEY RESPONSIBILITIESA. Recruitment & Hiring Coordinate the complete recruitment process from manpower request to joining. Prepare and publish job advertisements. Screen CVs and shortlist suitable candidates. Conduct initial interviews and coordinate management interviews. Coordinate salary negotiations and offer letters. Collect required documents from selected candidates. Coordinate employment visa and work permit processing. Maintain recruitment tracker and candidate database. Ensure new employees complete all joining formalities. B. Employee Onboarding Prepare offer letters and employment documentation. Coordinate joining formalities and employee orientation. Collect passport, photograph, qualification certificates, experience certificates, and other required documents. Coordinate MOHRE work permit and employment contract processes. Coordinate medical fitness, Emirates ID, visa stamping, and other applicable procedures. Ensure employee files are complete before joining. C. MOHRE & UAE Labour Documentation Handle day-to-day MOHRE-related HR documentation. Coordinate work permits, employment contracts, amendments, cancellations, and related processes. Maintain records of employee contracts and renewals. Ensure HR documentation is maintained in accordance with applicable UAE requirements. Coordinate with PRO/service providers for visa and government-related transactions. Maintain records of employee visa and work permit status. D. Attendance & Leave Management Monitor daily employee attendance. Maintain attendance records for office and site employees. Track late attendance, early departures, absenteeism, and unauthorized leave. Maintain annual leave, sick leave, emergency leave, and other leave records. Verify leave applications and obtain required approvals. Prepare monthly attendance reports for payroll. Follow up with employees regarding unexplained absences. Issue warning letters/memos for repeated attendance violations when instructed by Management. E. Payroll Coordination Prepare monthly payroll inputs. Verify attendance, leave, overtime, deductions, advances, fines, and other payroll adjustments. Coordinate with Accounts for monthly salary processing. Maintain salary records and payroll supporting documents. Track salary advances and employee deductions. Maintain records of employee benefits and other applicable payments. F. Employee Relations Handle employee queries and HR-related concerns professionally. Maintain communication between Management and employees. Assist Management in resolving employee grievances and workplace issues. Maintain proper records of employee complaints and resolutions. Conduct disciplinary procedures as instructed by Management. Prepare warning letters, show-cause notices, suspension letters, memos, and other HR correspondence. Maintain confidentiality of employee information. G. Disciplinary & Performance Management Monitor compliance with Company policies and procedures. Maintain records of warnings, disciplinary actions, suspensions, and employee misconduct. Coordinate performance reviews and appraisal processes. Follow up with department heads regarding employee performance. Assist Management in implementing corrective actions. Maintain proper documentation of disciplinary cases. H. Employee Exit & Final Settlement Process employee resignations and termination documentation. Verify notice period requirements. Coordinate proper handover of Company property, documents, responsibilities, and access. Prepare exit clearance documentation. Coordinate final settlement with Accounts. Calculate/coordinate leave balance and other applicable employee dues. Coordinate visa/work permit cancellation. Collect Company assets, ID cards, keys, documents, and other property. Maintain complete exit records. I. Employee Records & Documentation Maintain updated personnel files containing: Passport copy Visa copy Emirates ID MOHRE contract Offer/appointment letter Medical/fitness documents where applicable Qualification certificates Emergency contact details Leave records Attendance records Warning letters Disciplinary records Salary records Resignation/termination documents Final settlement documents Ensure both physical and electronic HR records are properly maintained. 3. COMPANY POLICY & SOP IMPLEMENTATION Ensure employees understand Company HR policies and procedures. Maintain and update HR SOPs as instructed by Management. Ensure employees comply with attendance, leave, conduct, safety, and workplace policies. Communicate policy changes to employees. Maintain acknowledgement records for important Company policies. 4. HR ADMINISTRATION Maintain HR trackers and databases. Maintain employee master data. Track expiry dates of visas, Emirates IDs, passports, insurance, labour contracts, and other documents. Coordinate employee accommodation matters where applicable. Assist with company insurance and medical insurance administration. Coordinate employee transportation and other HR-related administrative requirements. Prepare HR reports for Management. 5. REPORTING The HR Executive shall prepare and maintain: Daily attendance report Monthly attendance report Leave report Employee master list Visa expiry tracker Emirates ID expiry tracker Passport expiry tracker Recruitment status report New joining report Employee exit report Payroll input sheet Overtime report Salary advance tracker Employee disciplinary report Manpower report HR monthly dashboard 6. CONFIDENTIALITY The HR Executive will have access to confidential employee and Company information. The employee shall maintain strict confidentiality regarding: Employee salaries Personal information Passport and visa details Employee complaints Disciplinary matters Company policies Management decisions Business information HR records Company documents No confidential information shall be disclosed to unauthorized persons without Management approval. 7. REQUIRED QUALIFICATIONS Bachelor's Degree or Diploma in Human Resources, Business Administration, Commerce, or a related field. Minimum 2–4 years of UAE HR experience . UAE experience in handling MOHRE, visa, work permit, payroll coordination, attendance, and employee relations is preferred. Experience in construction, glass, aluminium, blinds, curtains, interiors, or contracting companies is an advantage. 8. REQUIRED SKILLS Good knowledge of UAE HR procedures and labour requirements. Knowledge of MOHRE processes. Strong Microsoft Excel and Word skills. Good English communication and writing skills. Strong organizational and documentation skills. Ability to maintain confidential information. Strong employee follow-up skills. Ability to handle multiple HR matters simultaneously. Good problem-solving and interpersonal skills. Experience with HR software/ERP systems is an advantage. Pay: AED3,000.00 - AED3,800.00 per month Work Location: In person
