JOB OVERVIEW We are looking for a detail-oriented, organized, and proactive HR Assistant to support the day-to-day Human Resources and manpower operations of the company. The HR Assistant will assist in recruitment, employee documentation, onboarding, deployment, attendance monitoring, employee relations, and HR administrative tasks . The ideal candidate should be comfortable working in a fast-paced manpower agency environment and capable of coordinating with applicants, employees, recruiters, clients, and management. KEY RESPONSIBILITIESRecruitment & Talent Acquisition Assist in the end-to-end recruitment process for various manpower requirements. Post job vacancies on social media, job portals, and other recruitment platforms. Source and screen applicants based on job requirements. Conduct initial interviews and applicant assessments. Coordinate interview schedules between applicants and clients. Maintain and update recruitment trackers and candidate databases. Follow up with applicants regarding interview results, requirements, and deployment status. Assist in sourcing candidates for urgent and high-volume manpower requirements. Coordinate with recruiters and hiring managers regarding recruitment progress. Employee Onboarding & Deployment Assist in collecting and verifying pre-employment requirements. Coordinate medical examinations, background checks, NBI/Police Clearance, and other required documents when applicable. Prepare and organize employee files and onboarding documents. Assist in employee orientation and deployment activities. Coordinate deployment schedules with employees, clients, and operations personnel. Monitor employee status from hiring through deployment. HR Administration Maintain accurate and updated employee records and HR databases. Assist in preparing employment contracts, job offers, HR forms, memoranda, notices, and other HR documents. Assist in monitoring attendance, leave, absences, and employee status. Maintain proper filing of employee and recruitment documents. Prepare HR reports, manpower reports, recruitment updates, and other administrative reports. Assist in maintaining confidentiality of employee and company information. Ensure HR documents are complete, properly organized, and accessible when needed. Employee Relations Receive and assist in addressing employee concerns and inquiries. Coordinate employee concerns with the appropriate HR personnel or management. Assist in monitoring employee disciplinary concerns and documentation. Support HR activities related to employee performance, attendance, and workplace concerns. Maintain professional communication with employees and deployed workers. Manpower Agency Operations Coordinate with clients regarding manpower requirements and candidate updates. Assist in monitoring deployed workers and replacement requirements. Track worker deployment, reporting status, and employment status. Assist in coordinating replacements for workers who resign, fail to report, or are unable to continue employment. Coordinate with field personnel and recruiters regarding manpower concerns. Assist in preparing regular manpower and recruitment updates for management. HR KNOWLEDGE REQUIRED Candidates should have basic to intermediate knowledge of: End-to-End Recruitment Talent Acquisition and Applicant Sourcing Employee Onboarding Employee Documentation Employee Relations Attendance and Leave Monitoring Performance Management HR Records Management Manpower Deployment Recruitment Tracking Basic Labor and Employment Practices Basic DOLE policies and labor compliance Preparation of HR notices, memoranda, and employee-related documents QUALIFICATIONS Bachelor's degree in Human Resources, Psychology, Business Administration, Management, or a related field . Fresh graduates are welcome to apply; experience in HR or recruitment is an advantage. With experience in a manpower agency, recruitment agency, staffing company, or HR department is highly preferred. Good written and verbal communication skills. Proficient in Microsoft Office and Google Workspace . Strong organizational and time-management skills. Detail-oriented and able to maintain accurate records. Able to handle multiple tasks and work under pressure. Proactive, responsible, and willing to learn. Able to communicate professionally with applicants, employees, clients, and management. Must be able to handle confidential information with discretion.
