HR Administrator
The Mater Private Network are seeking an organised and proactive Human Resource Administrator to support the delivery and administration of employee learning and employee documentation across the organisation. This is a 12 month fixed term contract. The successful candidate will play a key role in coordinating training activities, maintaining learning records, and administering the Learning Management System (LMS) to ensure employees have access to high-quality training and development opportunities. Key Duties and Responsibilities Human Resources Administration Maintain ownership and accuracy of all employee records and HR data. Manage HR filing systems and electronic employee files. Ensure compliance with document management standards and filing protocols. Provide advice and guidance to managers and employees on HR policies and procedures. Respond to employee queries regarding terms and conditions, benefits, and HR processes. Prepare HR reports and administrative documentation as required. Support HR projects, organisational change initiatives, and employee engagement activities. Learning Management System (LMS) Administration Administer and maintain the organisation's Learning Management System (LMS). Create and manage user accounts, permissions, and access rights. Upload and maintain training courses, learning content, curricula, and training materials. Monitor LMS functionality and escalate technical issues where required. Conduct regular audits to ensure data accuracy and integrity. Support system testing, upgrades, and implementation of new LMS functionality. Develop user guides and LMS support materials. Act as the first point of contact for LMS-related queries and user support. Provide guidance and training to employees and managers on LMS functionality. Liaise with internal stakeholders, training providers, and system vendors. Compliance and Mandatory Training Monitor completion rates for mandatory and compliance training programmes. Track certification expiry dates and coordinate refresher training. Issue reminders and follow up on overdue training requirements. Produce compliance and training reports for management teams. Maintain accurate records to support regulatory, accreditation, and audit requirements. Manage NMBI registration compliance for nursing staff. Ensure probation reviews, competency assessments, and annual performance reviews are completed and appropriately recorded. Support compliance with organisational policies, quality standards, and health and safety requirements. Training and Development Administration Coordinate mandatory training for new employees. Support the delivery of employee induction programmes. Provide administrative support for the annual learning and development plan. Manage education support and training administration processes. Promote learning opportunities and employee engagement with development initiatives. Employee Engagement and Organisational Development Support Great Place to Work (GPTW) initiatives and employee engagement activities. Contribute to wellness, diversity and inclusion, and employee recognition programmes. Collaborate with HR colleagues to enhance the employee experience across the Network. HR Reporting and Analytics Analyse HR and employee data to identify trends and opportunities for improvement. Prepare reports, dashboards, and insights for managers and HR colleagues. Support evidence-based decision-making through workforce analysis and reporting. Assist in developing solutions to improve employee engagement and workplace culture.
