HR & Admin Specialist (Chinese Speaker) Location: Kuala Lumpur, Malaysia Employment Type: Full-time Build the People Operations Foundation for Our Growing Malaysia Team We’re looking for a hands-on and proactive HR & Admin Specialist to support our growing operations in Kuala Lumpur. This is a great opportunity for someone who enjoys both building and running HR operations . As we continue to establish and grow our Malaysia entity, you’ll take ownership of local HR administration — from payroll, employee records and onboarding to HR policies, statutory requirements and office administration. You’ll work closely with our HR Business Partner (HRBP) in Hong Kong , while serving as the key local HR contact for employees in Malaysia. We’re looking for someone who is organised, resourceful and comfortable working independently. You should be equally happy setting up a new HR process from scratch and rolling up your sleeves to handle the day-to-day details that keep the team running smoothly. What You'll Be DoingHR Operations & Entity Setup Help establish and continuously improve HR operations, policies, procedures and workflows for our Malaysia entity. Set up and maintain essential HR processes, including employee records, contracts, leave management, attendance, onboarding, offboarding and personnel documentation. Support the implementation and localisation of company HR policies and employee handbook requirements for Malaysia. Ensure HR practices are aligned with local employment regulations and statutory requirements. Coordinate with external vendors, payroll providers, government agencies and other professional service providers when required. Maintain accurate and confidential employee records and HR documentation. Identify gaps in existing processes and proactively recommend practical improvements as the Malaysia team grows. Payroll & HR Administration Manage or coordinate monthly payroll processing for Malaysia employees, ensuring accuracy and timely payment. Handle statutory contributions and related administration, including EPF, SOCSO, EIS, PCB/MTD and other applicable requirements. Manage employee leave, attendance, benefits and payroll-related records. Prepare employment letters, contracts, confirmation letters and other HR documentation. Support annual tax and payroll-related reporting and documentation. Handle employee queries relating to payroll, leave, benefits, HR policies and general employment matters. Employee Lifecycle & People Support Coordinate onboarding for new employees, including employment documentation, orientation and internal setup. Support probation reviews, confirmations, transfers and employee changes. Coordinate employee offboarding, including documentation, final payroll information and exit procedures. Serve as the first point of contact for day-to-day HR enquiries from the Malaysia team. Support employee engagement and internal HR initiatives as the team develops. Assist the HK HRBP with performance management, employee relations and other people initiatives where required. Recruitment Support Coordinate interviews, candidate communication and recruitment administration for Malaysia hiring when required. Prepare employment documentation and support the offer and onboarding process. Work closely with the HRBP, hiring managers and recruitment partners to provide a smooth candidate and new-hire experience. Office & General Administration Support the day-to-day administration of the Kuala Lumpur office. Coordinate office supplies, equipment, access, vendors and general workplace requirements. Liaise with landlords, building management and external service providers where necessary. Support company events, meetings, travel arrangements and other administrative activities. Help establish practical office procedures as the Malaysia operation continues to grow. What We're Looking For Diploma or Bachelor's degree in Human Resources, Business Administration, Management or a related discipline. Around 3–5 years of hands-on HR generalist, HR operations or HR & Admin experience in Malaysia . Practical experience managing or coordinating Malaysia payroll and statutory contributions , including EPF, SOCSO, EIS and PCB/MTD. Good understanding of Malaysian employment practices and HR compliance requirements . Experience supporting a new office, new entity, growing company or building HR processes from the ground up would be highly advantageous. Comfortable handling the full employee lifecycle, from onboarding and HR administration through to offboarding. Experience preparing employment contracts, HR letters, employee records and other HR documentation. Strong organisational skills and attention to detail. Able to work independently and take ownership without requiring extensive day-to-day supervision. Resourceful and solution-oriented — comfortable figuring out how to get things done when a process hasn't been established yet. Good interpersonal skills and comfortable supporting employees at different levels of the organisation. Strong written and spoken English is essential, as you'll work closely with our Hong Kong HRBP and regional colleagues. Proficiency in Chinese would be an advantage, but is not essential.
