Position Summary Era Life Care and Era Home Health are seeking an experienced, dependable, and highly organized Healthcare Recruiter & Staffing Coordinator . The primary responsibility of this position is to recruit, onboard, train, and staff qualified healthcare professionals for workers’ compensation and private-duty cases. This includes recruiting and staffing Registered Nurses, Licensed Vocational Nurses, Certified Nursing Assistants, Personal Care Attendants, caregivers, and other healthcare personnel. This position also assists with employee orientation, payroll shift verification, collection of Daily Activity Notes, employee documentation, and required weekend on-call phone coverage. The ideal candidate must understand the home-care or healthcare staffing industry and be familiar with the responsibilities of RNs, LVNs, CNAs, Personal Care Attendants, and caregivers. A CNA certification or LVN license is strongly preferred, but applicants with significant healthcare staffing or home-care experience will also be considered. Primary ResponsibilitiesRecruiting and Staffing Recruit, screen, interview, and hire RNs, LVNs, CNAs, Personal Care Attendants, caregivers, and other healthcare professionals. Staff workers’ compensation, catastrophic-injury, private-duty, post-operative, and home-care cases. Match employees with assignments based on experience, clinical skills, availability, location, schedule, personality, and client needs. Post and manage employment advertisements on job boards, social media, nursing schools, CNA programs, and community resources. Maintain an active pipeline of qualified candidates for new cases, call-outs, weekends, overnight shifts, twelve-hour shifts, and difficult-to-staff locations. Follow up consistently with applicants throughout the interview, onboarding, and placement process. Contact previous applicants and inactive employees regarding available assignments. Assist with urgent staffing needs, employee call-outs, and replacement coverage. Maintain accurate applicant, hiring, availability, and staffing records. Onboarding, Orientation, and Training Manage the complete new-hire onboarding process. Schedule and conduct new-hire orientations. Train employees on attendance, call-out procedures, timekeeping, client-care expectations, documentation, and company policies. Train Personal Care Attendants and caregivers on properly completing Daily Activity Notes. Collect and verify licenses, certifications, CPR cards, background clearances, health documents, identification, and other required employment records. Ensure employees complete all onboarding and compliance requirements before being assigned to a client. Coordinate additional clinical training with nursing supervisors or management when necessary. Provide retraining when employees do not follow attendance, documentation, timekeeping, or company procedures. Payroll Shift Verification Review and verify employee shifts before payroll deadlines. Compare scheduled shifts with electronic clock-in and clock-out records. Confirm the correct client, date of service, shift time, and total hours worked. Identify missed punches, late clock-ins, early clock-outs, overlapping shifts, unauthorized overtime, and other discrepancies. Contact employees and supervisors promptly to resolve missing or incorrect time records. Document payroll corrections and communicate unresolved issues to management before payroll is processed. Work closely with staffing, payroll, billing, and management to ensure employee hours are accurate. Daily Activity Notes and Documentation Collect Daily Activity Notes from Personal Care Attendants, caregivers, and other assigned employees. Review notes for dates, signatures, services performed, accuracy, and completeness. Follow up daily with employees who have missing or incomplete notes. Return incomplete or inaccurate documentation for correction. Maintain an updated report of missing Daily Activity Notes. Upload and organize completed notes in WellSky or the appropriate company system. Retrain employees who repeatedly submit late, incomplete, or inaccurate documentation. Report possible timekeeping, documentation, client-care, or compliance concerns to management immediately. Weekend On-Call Phone Coverage Participate in the company’s required rotating weekend on-call schedule. Remain available and responsive throughout the assigned on-call weekend. Answer and respond promptly to employee, client, and staffing telephone calls and text messages. Handle employee call-outs and locate replacement coverage. Respond to urgent scheduling concerns, client issues, and staffing needs. Communicate serious or unresolved concerns to management immediately. Document all calls, messages, incidents, schedule changes, and follow-up actions. Provide management with a complete weekend on-call report. Applicants who are unable to participate in rotating weekend on-call phone coverage should not apply. Required Qualifications At least two years of experience in home care, home health, private-duty nursing, healthcare staffing, skilled nursing, assisted living, or a related healthcare setting. Knowledge of RN, LVN, CNA, Personal Care Attendant, caregiver, and Home Health Aide responsibilities. Experience recruiting, interviewing, scheduling, onboarding, training, or coordinating healthcare employees. Ability to understand client-care needs and match qualified employees with appropriate assignments. Strong communication, organization, and follow-up skills. Ability to manage several applicants, employees, deadlines, and open cases simultaneously. Comfortable holding employees accountable for attendance, documentation, timekeeping, and compliance. Ability to remain calm and professional during urgent staffing situations. Strong computer skills and the ability to learn WellSky and other company systems. Reliable attendance, punctuality, and transportation. Ability to work in person at the Covina office. Availability for required rotating weekend on-call phone coverage. Preferred Qualifications Current or previous California CNA certification or LVN license. Experience staffing workers’ compensation or catastrophic-injury cases. Experience with private-duty nursing, twenty-four-hour home care, or medically complex clients. Experience recruiting and staffing RNs, LVNs, CNAs, Personal Care Attendants, and caregivers. Experience conducting employee orientation and training. Familiarity with WellSky Personal Care, electronic visit verification, or similar healthcare software. Experience reviewing caregiver notes, Activities of Daily Living documentation, or client service records. Bilingual English and Spanish communication skills. Compensation and Benefits $23.00–$28.00 per hour, depending on healthcare industry experience, recruiting and staffing experience, qualifications, and ability to perform the position independently. Additional compensation for assigned weekend on-call coverage, according to company policy.
