Head of Operations - Australia

Infopro DigitalKingsgrove NSW

Infopro Digital, the B2B group specialising in information and technology, is currently looking for a Head of Operations on a permanent basis to join our AUSREiiF business based in Sydney.

About the Business

Infopro Digital is a global B2B group with more than 4,000 employees across 26 countries, delivering information, data and technology solutions to professional communities across automotive, risk and insurance, construction, industry and retail.

AUSREiiF is Australia's new major real estate investment and infrastructure forum, bringing together government, investors, developers, infrastructure leaders, professional services and the wider built environment to drive investment, development and regeneration across Australia.

Modelled on the highly successful UKREiiF, AUSREiiF will take place 7-9 September in Brisbane as a three-day, festival style event bringing together the people, projects and investment opportunities shaping Australia's future.

This is an opportunity to join the Australian business at the ground level and play a pivotal role in creating and delivering the inaugural event.

What the role involves

We're looking for a capable, proactive and solutions-focused Operations Manager to bring AUSREiiF 2027 to life.

This is a hands-on role for someone who knows how to make complex events happen. You'll play a key role in the operational planning, coordination and delivery of the festival, working across venues, event spaces, suppliers, contractors, local authorities and internal teams.

AUSREiiF will extend beyond traditional conference spaces, incorporating networking environments, exhibitions, outdoor activations and temporary infrastructure. That means someone who is comfortable managing moving parts, coordinating multiple stakeholders and working through the practical challenges that come with delivering a large-scale event.

You'll report to the Head of Events - Australia and work closely with the UK Operations Director and team, drawing on their experience, established processes and support to deliver the event successfully.

We're looking for someone who takes ownership, anticipates problems before they arise and brings a practical, can-do attitude to getting things done.

This job is based in Sydney, NSW.

Responsibilities & duties

Event Operations & Planning:

- Support the development and implementation of the overall operational plan for AUSREiiF 2027. - Coordinate operational requirements across venues, conference spaces, exhibition areas, networking environments and outdoor activations. - Develop and maintain operational schedules, production timelines, site plans, logistics documentation and delivery checklists. - Coordinate bump-in, live event operations and bump-out activities. - Work with the Head of Events - Australia and UK Operations team to identify operational risks, dependencies and critical milestones.

Site Planning & Infrastructure:

- Coordinate site planning and logistical requirements across indoor and outdoor event environments. - Assist with the planning and delivery of temporary infrastructure, event builds, signage, furniture, equipment and other site requirements. - Liaise with venues, production companies, contractors and suppliers to ensure operational requirements are clearly defined and delivered. - Help coordinate access requirements, loading zones, vehicle movements, site logistics and bump-in/bump-out schedules. - Identify practical challenges early and work collaboratively to develop workable solutions.

Suppliers & Contractors:

- Source, brief and coordinate suppliers and contractors in line with event requirements and budget. - Manage supplier communications, timelines, deliverables and operational documentation. - Assist with quotes, procurement, contract administration and budget tracking. - Monitor supplier performance and proactively address delivery issues. - Build productive working relationships with venues, contractors, service providers and other operational partners.

Government, Council & Compliance:

- Coordinate operational requirements associated with council permits, approvals, licences and relevant regulatory requirements. - Liaise with relevant authorities, venue teams and external specialists as required. - Assist with road closure, traffic management, access and logistics planning where applicable. - Support the development and implementation of event safety plans, emergency procedures, risk assessments and other compliance documentation. - Ensure operational requirements are documented, communicated and actioned within agreed timelines, escalating issues when necessary.

Stakeholder & Team Coordination:

- Work closely with the Head of Events - Australia to deliver agreed operational priorities and milestones. - Collaborate with the UK Operations Director and team to leverage existing expertise, systems, templates and delivery experience. - Coordinate operational requirements across content, commercial, marketing and other event functions. - Ensure relevant stakeholders have clear information about timelines, responsibilities, access and operational requirements. - Provide regular updates on progress, risks, budget considerations and issues requiring decisions or escalation.

Onsite Delivery:

- Play a central role in the operational delivery of AUSREiiF 2027. - Coordinate suppliers, contractors, venue teams and operational staff during bump-in, event days and bump-out. - Troubleshoot issues as they arise, making timely decisions within agreed responsibilities and escalating more significant matters appropriately. - Help ensure the event environment is safe, functional, well-presented and delivers a positive experience for attendees, partners and exhibitors. - Contribute to post-event reviews, documenting lessons learned and recommendations for future editions.

What Success Looks Like

By September 2027, you'll have helped establish and deliver a robust operational framework for AUSREiiF, with:

- Operational plans, schedules and logistics documentation developed and maintained. - Venues, suppliers, contractors and site requirements coordinated effectively. - Key permits, approvals, compliance requirements and operational dependencies tracked and actioned. - Clear communication and accountability across internal teams and external stakeholders. - Risks identified early and practical solutions implemented. - A well-coordinated bump-in, live event and bump-out. - A safe, well-run and professionally delivered event. - Strong working relationships with the Australian event team and UK Operations team.

Why Join AUSREiiF?

This is an opportunity to help establish a major new event for Australia's property and infrastructure sectors, working with an experienced international team and helping build something from the ground up.

You'll have real responsibility, the opportunity to shape how the event is delivered and the support of an established UK operations team behind you.

If you're a practical, commercially aware event operator who enjoys a challenge, works well with people and wants to be part of something ambitious, we'd love to hear from you.

Requirements

You're an experienced event operator who enjoys the practical side of bringing big ideas to life. You're organised without being rigid, calm when things get complicated and someone who naturally looks for solutions rather than reasons something can't be done.

You don't need to know everything, but you do need to be curious, resourceful and confident enough to ask the right questions, take ownership and keep things moving.

You will ideally have:

- Experience in event operations, event production or logistics, ideally across conferences, exhibitions, festivals, major events or complex corporate events. - Experience coordinating multiple suppliers, contractors and stakeholders. - Exposure to outdoor events, activations, temporary infrastructure or complex site builds. - Experience with event logistics, bump-in/bump-out planning, site access and production schedules. - An understanding of event safety, risk management and compliance requirements. - Experience liaising with venues, councils, government authorities or other regulatory stakeholders is highly regarded. - Strong organisational, communication and problem-solving skills. - Commercial awareness and the ability to manage competing priorities within agreed budgets and timelines. - Confidence using project management tools, spreadsheets and operational documentation. - Experience in property, infrastructure, construction, major public events or festival environments would be an advantage.

Personal Attributes

We are looking for someone who is:

- Solutions-focused - you work out how to make things happen. - Proactive - you anticipate what needs doing rather than waiting to be asked. - Highly organised - you can manage multiple moving parts without losing sight of the detail. - Calm under pressure - you stay level-headed when plans change or challenges arise. - Adaptable - you are comfortable working through ambiguity and adjusting as the event evolves. - Collaborative - you enjoy working across teams and building productive relationships. - Accountable - you take ownership of your responsibilities and follow things through. - Resilient - you understand that event delivery requires persistence, flexibility and a willingness to roll up your sleeves. - Good-humoured - you bring positive energy and perspective, even when the pressure is on.
