JOB SUMMARY: The Head of Clinic is responsible for overseeing the day-to-day operations of the MMS Medical Clinic and Laboratory, ensuring the efficient delivery of quality healthcare services, operational excellence, and compliance with all applicable regulatory requirements. The position assists the General Manager in implementing operational strategies, supervising department heads and staff, monitoring service performance, and ensuring adherence to the standards of the Department of Health (DOH), PhilHealth, and other regulatory agencies. The Head of Clinic works closely with physicians, laboratory personnel, and support teams to optimize resources, improve processes, address operational concerns, and maintain a safe, patient-centered environment that supports the organization's goals and commitment to quality healthcare. DUTIES AND RESPONSIBILITIES: 1. Operations Management a. Head of Clinic in planning, organizing, and managing the daily operations of the clinic and laboratory. b. Ensure that all departments operate efficiently and provide quality healthcare services. c. Monitor daily activities to ensure smooth workflow and timely patient services. d. Recommend and implement improvements to enhance operational efficiency and service quality. e. Ensure that facilities, equipment, and medical supplies are available and properly maintained. 2. Leadership and Supervision a. Supervise department heads, supervisors, and support staff in the performance of their duties. b. Provide guidance, coaching, and support to employees to promote teamwork and accountability. c. Monitor employee performance and recommend training and development programs. d. Assist in recruitment, onboarding, scheduling, and workforce planning. e. Promote a positive work environment that supports professionalism and excellent patient service. 3. Regulatory Compliance a. Ensure compliance with all applicable requirements of the Department of Health (DOH), PhilHealth, Department of Labor and Employment (DOLE), Local Government Units (LGUs), and other regulatory agencies. b. Monitor the validity and renewal of licenses, permits, and accreditations required for clinic and laboratory operations. c. Ensure compliance with patient safety standards, infection prevention and control protocols, occupational safety requirements, and data privacy regulations. d. Coordinate regulatory inspections and ensure that corrective actions are implemented promptly. 4. Quality and Patient Care a. Ensure that patients receive timely, safe, and quality healthcare services. b. Monitor patient satisfaction and recommend improvements to enhance the patient experience. c. Address operational concerns and patient complaints promptly and professionally. d. Support quality improvement initiatives that promote efficient and patient-centered services. 5. Financial and Administrative Support a. Assist in preparing and monitoring departmental budgets and operational expenses. b. Ensure the proper use of company resources, equipment, and supplies. c. Coordinate with the Finance Department on billing, purchasing, inventory, and other operational requirements. d. Review operational reports and recommend cost-effective solutions without affecting service quality. 6. Business Development a. Head of Clinic in implementing programs that improve clinic operations and expand healthcare services. b. Build and maintain good working relationships with physicians, corporate clients, suppliers, and business partners. c. Support marketing initiatives and service improvement programs that contribute to organizational growth. 7. Reporting and Continuous Improvement a. Prepare regular operational reports for Management. b. Monitor key performance indicators and recommend corrective actions when necessary. c. Identify opportunities to improve processes, increase productivity, and strengthen operational performance. d. Perform other duties that may be assigned by the General Manager in support of the organization's goals.
