This newly established position will focus on evaluating prospective contract opportunities, conducting site assessments, developing operational plans, estimating resources, and coordinating the successful execution of landscaping and grounds maintenance projects. The successful candidate will work collaboratively with the Contracts Manager and organizational leadership to evaluate proposed projects, determine feasibility, and ensure PACE has the staffing, equipment, materials, and technical capabilities necessary to fulfill contract requirements. While the position may provide oversight to grounds maintenance personnel and occasional hands-on assistance, its primary focus is technical evaluation, operational planning, project coordination, and supporting the development of PACE's landscaping services. Essential Duties and Responsibilities Project Assessment & Contract Development Conduct site visits to evaluate prospective landscaping and grounds maintenance opportunities. Review proposed scopes of work, customer requests, and contract specifications. Assess project feasibility based on available staffing, equipment, materials, technical capabilities, and scheduling requirements. Develop operational plans outlining how proposed services can be successfully performed. Estimate labor hours, equipment, materials, staffing requirements, and project timelines. Identify potential operational challenges, safety concerns, seasonal considerations, and resource limitations. Collaborate with the Contracts Manager and leadership to evaluate new contracts, expanded services, and modifications to existing contracts. Provide technical assessments and operational estimates to support contract pricing and proposals. Recommend whether proposed services can reasonably and safely be performed by PACE. Operational Planning & Project Coordination Develop and implement operational plans for approved landscaping and grounds maintenance projects. Determine appropriate work methods, equipment, materials, staffing levels, and schedules. Coordinate with appropriate leadership to establish project priorities and allocate resources. Assist with coordinating employee assignments and work activities across applicable contract locations. Monitor project progress, service quality, productivity, and resource utilization. Identify necessary operational adjustments and recommend improvements. Troubleshoot unexpected project requirements, staffing challenges, equipment limitations, and other operational concerns. Maintain documentation related to project assessments, operational plans, estimates, and project performance. Technical Expertise & Grounds Maintenance Serve as PACE's technical resource for commercial landscaping and grounds maintenance. Provide recommendations regarding mowing, trimming, edging, pruning, planting, mulching, vegetation management, and seasonal cleanup. Evaluate requests involving landscaping installation, turf management, drainage, erosion control, and other specialized services when applicable. Identify appropriate equipment, materials, work methods, and technical requirements for individual projects. Provide hands-on technical assistance and operational guidance when necessary. Stay informed about landscaping practices, equipment, materials, and seasonal service requirements. Equipment & Resource Management Evaluate existing equipment and determine its suitability for current and prospective projects. Identify equipment shortages, maintenance needs, and opportunities to improve operational capabilities. Recommend equipment purchases, rentals, replacements, and repairs. Assist with coordinating preventive maintenance and equipment repairs. Evaluate equipment and material costs when developing project estimates. Identify opportunities to expand PACE's landscaping capabilities through improved equipment, resources, and operational practices. Workforce Coordination & Operational Oversight Provide technical guidance and operational direction to employees assigned to landscaping and grounds maintenance projects. Assist leadership with determining appropriate staffing levels, assignments, and scheduling requirements. Provide instruction regarding landscaping techniques, equipment operation, safe work practices, and project expectations. Monitor assigned projects to ensure work meets safety, productivity, quality, and contract requirements. Identify workforce challenges and communicate staffing or training needs to appropriate management. Promote a respectful and inclusive working environment. Specific supervisory authority and personnel responsibilities will be determined based on organizational needs and the final reporting structure. Safety, Quality & Contract Performance Evaluate prospective and existing job sites for operational risks and safety hazards. Recommend appropriate safety procedures, protective equipment, and work methods. Conduct site inspections and evaluate compliance with contract specifications. Identify service deficiencies and recommend corrective actions. Communicate operational concerns, equipment issues, resource limitations, and contract performance risks to leadership. Assist with addressing customer concerns involving landscaping and grounds maintenance services. Collaborate with the Contracts Manager and other departments to support successful contract execution. Perform other related duties as assigned. Required Qualifications High school diploma or equivalent. Several years of progressively responsible experience in commercial landscaping, grounds maintenance, landscape installation, or a related field. Demonstrated ability to assess landscaping projects, determine operational requirements, and develop practical project plans. Strong knowledge of commercial landscaping practices, equipment, materials, and maintenance procedures. Experience coordinating landscaping projects, crews, or grounds maintenance operations. Ability to interpret scopes of work and estimate labor, equipment, materials, and project timelines. Strong organizational, communication, and problem-solving skills. Ability to work independently, manage competing priorities, and provide sound operational recommendations. Basic computer skills, including electronic communication, recordkeeping, and preparation of project estimates. Valid driver's license and ability to meet PACE's driving requirements. Preferred Qualifications Previous experience in landscaping operations management, project management, grounds maintenance supervision, or estimating. Experience evaluating commercial landscaping projects and developing estimates to support bids and proposals. Experience with commercial, institutional, state, federal, or other contracted grounds maintenance services. Knowledge of turf management, horticulture, landscape installation, vegetation management, drainage, or erosion control. Experience managing equipment, materials, project budgets, and operational resources. Applicable industry certifications or pesticide/herbicide applicator certification, where relevant. Experience working in nonprofit organizations or inclusive employment environments. Physical & Work Requirements This position combines project planning, administrative responsibilities, site evaluations, operational oversight, and occasional hands-on landscaping activities.
