We work with clients across the country — behavioral health providers, housing and reentry organizations, workforce programs, county governments — helping them identify the right funding, build competitive applications, and grow sustainably. We are a small, senior team, which means everyone here owns real work and sees the results of it. ABOUT THE ROLE The Operations Manager is the operational center of the business. You will run the money, the calendar, the contracts, the hiring and the systems — and you will be the person the rest of the team comes to when they need something unblocked. This is a broad role at a small firm, and it is deliberately not narrow. You will work directly with the President on the day-to-day operations of the business, covering administration, financial management, human resources, and company operations. In addition, you will serve as surge project management capacity: when our grants team is fully committed, you step in and carry grant projects directly, so that client deadlines are never the constraint. We are looking for someone who can hold two modes at once — steady operational routine and deadline-driven project work — and switch between them without dropping either. Reports to: President Schedule: 40 hours weekly, Monday–Friday WHAT YOU WILL DO Administration and Office Management Support the President with task management, communications, file management, procurement and organization Manage calendars, schedule client meetings and site visits, send reminders, and organize travel when needed Create and update templates, agendas, reports, funding plans, presentations and briefs Maintain accurate client and company records, and keep everything organized on SharePoint Maintain the firm's internal knowledge base so client, funder and pipeline information stays current and reliable for the whole team Administer the firm's operational tooling and automated reporting, and make sure the outputs stay accurate and trusted Financial Management Work closely with the President on business planning, budget projections, and pricing for consulting and grant work Send invoices, track accounts receivable, and actively pursue overdue balances with clients Prepare and send client contracts and engagement agreements, track fees, and handle cancellations Issue, adjust and void invoices in line with company policy Complete semi-monthly payroll and monitor accounts payable Execute recurring financial obligations on schedule, including payroll transfers, credit card payments and scheduled ACH transfers Support the President in managing the company's banking relationship and line of credit Coordinate with the bookkeeper and CPA, including a standing monthly review Maintain weekly time entry in QuickBooks Human Resources Establish, review and enforce company policies and procedures Post job requisitions and drive recruitment to attract strong candidates Onboard new hires — accounts, documents, payroll, training schedules — and answer their questions Maintain employee and contractor records, including contracts, payroll and tax forms, and performance evaluations Run the annual performance review process and support managers in developing performance plans Manage contract writer and subcontractor relationships: scoping work, agreeing rates, routing assignments, and monitoring quality and availability Hold a standing capacity review with the Grants Project Manager to monitor team workload against the active pipeline Provide coaching and identify growth opportunities for team members Grant Project Management (Surge Capacity) Our grant projects are led by the Grants Project Manager and Project Coordinator. When their combined capacity is committed, you take on projects directly. Carry assigned grant projects end to end, owning the quality and timeliness of the final product and the client's satisfaction Serve as primary client contact on your assigned projects Build and manage deadline-based checklists and needs lists from funding solicitation requirements Run project kickoff calls, then circulate notes, timelines and action items Hold clients and writers accountable to interim and final deadlines Guide grant writers by answering questions, reviewing language, interpreting requirements, and advocating for their needs with the client Compile grant forms accurately and on time; develop and format budgets, narratives and supporting documents Coordinate editing, review all materials, and package and submit applications per funder requirements Maintain SFG and client registrations across federal and state submission systems (Grants.gov, SAM.gov, eRA Commons) and client procurement portals, troubleshooting access well ahead of deadlines Consult with funder program officers as needed, and keep leadership updated on progress and any delays Client and Company Operations Serve as the go-to for business process questions across the team Participate in monthly client strategy calls, capture commitments, and ensure follow-through between calls Support new client onboarding from proposal and pricing through engagement agreement, kickoff and file setup Support the President in reviewing funding opportunities for client fit and tracking them through the pipeline Manage client engagement wind-downs, including final invoicing, document handover and access removal Develop process improvements that support company growth Analyze performance on submitted grants and run retrospectives on unfunded applications WHAT WE ARE LOOKING FOR Required Bachelor's degree from an accredited college Proven experience in operations management or a comparable role Prior project management experience, handling large and small projects simultaneously, using established tools and methods Understanding of core business functions — finance, HR, IT, marketing Previous experience managing employees Familiarity with basic accounting practices and financial management Comfort with budgeting, Excel and financial statements Strong working knowledge of Microsoft Suite, Google products, SharePoint, OneDrive, Adobe PDF, DocuSign and Zoom Preferred Experience with or knowledge of public policy, social services, nonprofits, or intergovernmental affairs Experience with grant or proposal development, or other deadline-driven client deliverables Familiarity with online grant application and procurement portals Prior experience with QuickBooks and QuickBooks Payroll Comfort learning and using AI-assisted research and drafting tools Who does well here Exceptional attention to detail, organization and time management Sound judgment and the confidence to make decisions and resolve issues independently Calm and steady with clients and under deadline pressure Genuinely collaborative, with strong interpersonal and client-facing skills Adaptable — comfortable with variety, and able to pick up new skills and systems quickly Excellent written and verbal communication with team members, clients and vendors at every level Pay: $60,000.00 - $63,000.00 per year Benefits: 401(k) 401(k) matching Flexible schedule Paid time off Application Question(s): How many years of experience do you have in operations management or a comparable role?
