KEY RESPONSIBILITIES 1. General Accounting Maintain accurate and complete accounting records and supporting documents. Record and review daily financial transactions, including sales, purchases, expenses, collections, payments, and adjustments. Prepare and review journal entries and ensure proper account classification. Maintain the General Ledger and subsidiary ledgers. Ensure transactions are supported by complete and valid documents. Review accounting entries for accuracy, completeness, and proper authorization. Investigate unusual or inconsistent transactions and coordinate corrections. Maintain proper filing and organization of accounting records. 2. Accounts Receivable (AR) Monitor and maintain accurate customer and receivable accounts. Record sales, collections, credit transactions, and other receivable-related transactions. Prepare and monitor Accounts Receivable Aging Reports. Follow up outstanding receivables and coordinate with concerned departments regarding overdue accounts. Reconcile customer balances and investigate discrepancies. Ensure collections are properly recorded and applied to the correct accounts. Monitor credit balances, unapplied payments, and outstanding invoices. Provide regular AR status and aging reports to Management. 3. Accounts Payable (AP) Process and monitor supplier/vendor invoices and payables. Verify invoices against purchase orders, receiving documents, approvals, and other supporting documents. Ensure proper recording and classification of expenses and liabilities. Maintain accurate Accounts Payable Aging Reports. Monitor due dates and coordinate payment schedules with Finance/Treasury. Investigate discrepancies between invoices, purchase records, and accounting records. Ensure that duplicate, unsupported, or inaccurate invoices are identified before payment processing. Maintain complete documentation for all AP transactions. 4. Bank and Account Reconciliation Prepare regular bank reconciliations. Reconcile cash, bank, AR, AP, inventory-related accounts, and other assigned balance sheet accounts. Identify and investigate outstanding checks, deposits in transit, bank charges, unidentified transactions, and other reconciling items. Ensure reconciling items are properly investigated and cleared within the required period. Escalate material or unusual discrepancies to the Accounting/Finance Manager. 5. Tax Compliance Prepare and/or assist in the preparation and timely filing of required BIR tax returns, schedules, and supporting documents. Monitor applicable tax obligations, deadlines, and payment schedules. Assist in the preparation of VAT, withholding tax, income tax, and other applicable tax filings. Ensure proper recording of input VAT, output VAT, withholding taxes, and other tax-related transactions. Prepare tax-related reconciliations and supporting schedules. Maintain complete documentation for tax filings and payments. Coordinate with external accountants, auditors, tax consultants, and BIR representatives when authorized. Monitor tax compliance requirements and immediately escalate potential penalties, deficiencies, or compliance risks. 6. Month-End and Year-End Closing Perform month-end and year-end accounting closing activities within prescribed deadlines. Prepare necessary adjusting and closing journal entries. Reconcile assigned balance sheet and income statement accounts. Review outstanding transactions and ensure proper cut-off. Prepare schedules and supporting documents required for financial closing. Identify unresolved accounting issues before closing. Coordinate with other departments to obtain missing documents or information. Ensure financial records are complete and accurate before submission to Management. 7. Financial Reporting Prepare and/or assist in preparing: Monthly financial statements Income Statement / Statement of Profit or Loss Balance Sheet / Statement of Financial Position Cash flow reports AR aging reports AP aging reports Bank reconciliation reports Expense reports Account schedules Tax reports Management accounting reports Other financial reports required by Management Ensure that reports are accurate, complete, supported by proper documentation, and submitted within the required deadline. 8. Audit and Compliance Support Prepare accounting schedules and supporting documents for internal and external audits. Coordinate with auditors regarding requested documents and accounting information. Respond to audit queries and provide appropriate supporting documents. Assist in resolving audit findings and implementing agreed corrective actions. Maintain proper documentation to support the company’s accounting and financial records. Ensure compliance with company accounting policies and applicable accounting standards. 9. Internal Control Ensure accounting transactions follow established approval and documentation procedures. Identify weaknesses, irregularities, duplicate transactions, unsupported expenses, and potential financial risks. Recommend improvements to accounting processes and internal controls. Maintain proper segregation of duties within assigned accounting processes. Ensure sensitive financial information is handled confidentially. Immediately report significant discrepancies or suspected irregularities to the appropriate superior. 10. Coordination with Other Departments Coordinate with Sales, Purchasing, Warehouse, HR, Operations, Finance, and other departments regarding accounting-related concerns. Follow up missing invoices, receipts, supporting documents, approvals, and transaction details. Provide accounting guidance to departments regarding proper documentation and procedures. Resolve accounting discrepancies promptly and professionally. FIELD / TECHNICAL COMPETENCIES The General Accountant should demonstrate strong competency in: General Accounting General Ledger Management Accounts Receivable Accounts Payable Bank Reconciliation Financial Statement Preparation Tax Compliance BIR Reporting VAT and Withholding Tax Journal Entries Month-End Closing Account Reconciliation Financial Analysis Audit Support Internal Controls Accounting Documentation Excel / Google Sheets Accounting Software / ERP Systems Data Accuracy and Validation PERSONALITY AND BEHAVIORAL REQUIREMENTS The ideal candidate should be: Highly accurate and detail-oriented Organized and systematic Responsible and accountable Analytical and logical Honest and trustworthy Deadline-oriented Proactive in identifying discrepancies Comfortable handling large volumes of transactions Able to work under pressure Good in follow-up and coordination Confidential and professional in handling financial information Willing to investigate issues rather than simply record them Able to communicate accounting matters clearly to non-accounting personnel QUALIFICATIONS Bachelor's Degree in Accountancy, Accounting, Finance, or a related field. At least 2–4 years of relevant accounting experience. Experience in General Accounting, AR, AP, tax, reconciliation, and financial reporting preferred. Experience in retail, distribution, multi-branch operations, or a high-volume transaction environment is an advantage. Strong knowledge of Philippine accounting and tax requirements. Knowledge of BIR filing and compliance requirements. Proficient in Microsoft Excel or Google Sheets. Experience with accounting software or ERP systems. CPA license is an advantage but may not be required, depending on company requirements. Willing to work beyond regular hours during month-end/year-end closing when necessary.
