We are looking for a Finance & Accounts Executive who can help us maintain strong financial discipline across our company and media-production activities. Media production involves hundreds of small financial transactions: Artists → Freelancers → Vendors → Equipment → Travel → Locations → Food → Accommodation → Post-production → Software → Production expenses → Invoices → Payments We need someone who can ensure that every rupee is properly recorded, tracked, documented and accounted for . This is an opportunity to work at the intersection of Finance + Accounting + Media Production. _______________________________________________ YOUR CORE RESPONSIBILITY You will assist in managing the day-to-day financial and accounting activities of the organisation, with particular focus on project-wise media production expenses . You will help answer questions such as: How much have we spent on this project? How much is still committed? Who has been paid? Who is still outstanding? Which vendor invoice is pending? Are we exceeding the approved budget? How much cash will we need next week? What did this episode actually cost us? _______________________________________________ PROJECT-WISE COST TRACKING One of the most important responsibilities will be maintaining separate financial visibility for different productions. For example: PROJECT A — DOCUMENTARY - Researc - Travel - Accommodation - Crew - Camera - Sound - Equipment - Location - Food - Editing - Graphics - Music - Voice-over - Miscellaneous PROJECT B — ANIMATION SERIES - Script - Character design - Concept art - Backgrounds - Animation - Voice - Music - Editing - Rendering - Software - Freelancers You will maintain accurate records so management can understand the actual cost of each project. _______________________________________________ PRODUCTION BUDGET MANAGEMENT Assist in preparing and maintaining budgets for: - Documentaries - Interviews - Yatra / travel shows - Animation - AI-assisted productions - Studio shoots - Promotional content - Short-form content - Special projects You may help convert a creative requirement into a financial estimate. For example: “We need to shoot a 30-minute documentary in Gujarat.” You may help calculate: Travel + accommodation + crew + equipment + food + local transport + post-production + contingency = estimated production cost. _______________________________________________ EXPENSE MONITORING Track expenses including: - Production equipment - Camera rentals - Lighting - Sound - Locations - Travel - Transportation - Accommodation - Food - Freelancers - Artists - Editors - Animators - Voice artists - Music - Software subscriptions - Cloud/storage - Post-production - Printing - Marketing - Office expenses - Other production-related costs Ensure that expenses are supported by appropriate bills, invoices, receipts or other documentation wherever required. _______________________________________________ VENDOR & FREELANCER PAYMENTS Maintain records for: - Freelance artists - Editors - Animators - Designers - Cameramen - Sound professionals - Voice artists - Production crew - Studios - Equipment suppliers - Travel vendors - Other service providers Track: Vendor → Invoice → Amount → Approval → Tax deduction where applicable → Payment → Payment date → Outstanding balance You should be comfortable following up professionally with both vendors and internal team members. _______________________________________________ ACCOUNTS & BOOKKEEPING Assist with routine accounting activities including: - Purchase entries - Sales / revenue entries - Expense entries - Bank transactions - Petty cash - Receivables - Payables - Vendor ledgers - Expense reconciliation - Bank reconciliation - Invoice management - Payment records - Supporting documentation - Monthly financial records Experience with accounting software such as Tally, Zoho Books, Busy or similar systems will be useful. _______________________________________________ GST, TDS & COMPLIANCE SUPPORT You should have a working understanding of Indian accounting and taxation requirements. Depending on your experience, you may assist with: - GST-related records - TDS-related records - TDS certificates / documentation - Purchase and sales invoices - Vendor tax information - Input tax documentation - Accounting reconciliations - Coordination with external CA / tax professionals - Preparation of information required for statutory filings You are not expected to independently replace our Chartered Accountant. Your responsibility is to maintain accurate books, documents and financial information and coordinate with the CA when required. _______________________________________________ CASH FLOW MONITORING Media production can become financially difficult when several projects require payments at the same time. You will help management understand: - Current cash position - Upcoming payments - Outstanding receivables - Production commitments - Vendor dues - Salary / freelancer requirements - Expected project expenses - Immediate cash requirements You should be able to flag situations such as: “If we approve these three expenses today, we need to account for another ₹X in payments over the next two weeks.” _______________________________________________ BUDGET VS ACTUAL For major projects, maintain: APPROVED BUDGET ↓ ACTUAL EXPENSE ↓ BALANCE ↓ COMMITTED EXPENSE ↓ PROJECTED FINAL COST If a project is exceeding its planned budget, management should know before the money is gone. _______________________________________________ FINANCIAL CONTROL You will help introduce discipline into production spending. For example: Before a significant expense is made: Requirement → Estimate → Approval → Purchase / Booking → Invoice → Payment → Accounting Entry You should maintain proper records and highlight unusual, duplicate or unexplained expenses. You are not expected to personally approve every expenditure. Your job is to make sure that financial information is visible and traceable. _______________________________________________ MEDIA PRODUCTION UNDERSTANDING A background in media is not mandatory. However, you should be interested in understanding how production actually works. For example: Pre-production → Shoot → Post-production → Delivery and: Concept → Research → Script → Design → Animation → Edit → Final Master Understanding these workflows will help you understand why and where money is being spent. REPORTING TO MANAGEMENT You may prepare simple reports such as: WEEKLY - Expenses incurred - Payments made - Payments pending - Vendor outstanding - Project expenses - Cash requirements MONTHLY - Income - Expenses - Receivables - Payables - Project-wise expenditure - Budget vs actual - Major upcoming commitments Reports should be clear, accurate and easy for non-finance people to understand. _______________________________________________ EXCEL / GOOGLE SHEETS Strong spreadsheet skills are highly valuable. You may work with: - Expense trackers - Budget sheets - Vendor databases - Payment schedules - Project costing - Cash-flow sheets - Reconciliation sheets - Budget vs actual reports Knowledge of formulas, filters, pivot tables and basic financial dashboards is an advantage. _______________________________________________ AI & AUTOMATION We are interested in using technology to reduce repetitive accounting administration. You may use AI or automation tools to assist with: - Invoice data organisation - Expense categorisation - Spreadsheet preparation - Financial report formatting - Document organisation - Reconciliation assistance - Payment reminders - Data extraction - Recurring reporting Experience with AI tools and automation platforms will be an advantage, but not mandatory.
