Dental Smiles is an established multi-practice dental business looking for an experienced and commercially minded Finance, Accounts & Business Development Manager to join our team. We are replacing a highly experienced and long-standing member of our team who has managed our bookkeeping, accounts, payroll support and financial administration for many years. However, rather than simply replacing the existing position like-for-like, we see an opportunity to develop the role. We want someone who can take ownership of the financial and bookkeeping responsibilities of our businesses and who is inquisitive about what the numbers are telling us . You will work closely with our three Directors, Practice Managers, Practice Administrator and external accountants, providing accurate financial and management information while helping us identify opportunities to improve and grow our practices. This is not a traditional sales-based Business Development Manager role . The business-development element is data-led: understanding how our practices are performing, identifying opportunities for improvement, working with the wider team to develop appropriate solutions and then measuring whether those changes have worked. Finance & Bookkeeping – Primary Responsibility You will take primary responsibility for: Maintaining accurate bookkeeping records using Xero. Processing and uploading invoices. Completing bank reconciliations. Checking supplier statements and resolving discrepancies. Identifying and chasing outstanding credits. Managing petty cash and financial reconciliations. Reconciling card payments against practice takings. Maintaining relevant patient standing-order and finance-payment records. Checking and allocating laboratory bills. Maintaining Tabeo payment records. Preparing monthly financial information for our accountants. Liaising regularly with our accountants and resolving bookkeeping queries. Payroll & Payments – Primary Responsibility Checking staff hours, holidays and sickness information. Compiling monthly payroll information for our accountants. Checking completed payroll for accuracy. Compiling dentist payments. Setting up staff and dentist payments. Making PAYE/HMRC and other business payments. Liaising with Practice Managers and accountants regarding payroll queries. Banking & Financial Administration – Primary Responsibility Internet banking and business payments. Maintaining banking records and spreadsheets. Amex administration. Cash banking arrangements. Providing financial information required for regulatory and business purposes. Supporting insurance, utility and other financial renewals. Providing financial information to the Directors and accountants as required. Management Information & KPI Reporting – Primary Responsibility Producing agreed monthly KPI and management reports. Preparing financial and performance information for Directors' meetings. Ensuring information is collected consistently across the practices so meaningful comparisons can be made. Maintaining historical performance information to identify trends over time. Developing and maintaining appropriate management reports, spreadsheets and dashboards. Highlighting significant changes, trends or anomalies requiring investigation. Providing accurate information to support business planning and decision-making. Business Performance & Development – Primary Responsibility This is a key development area within the position. You will use practice data and management information to identify opportunities for growth and improvement. Areas of focus will include: Analysing the new-patient journey, including enquiries, lead sources, booking rates, attendance and conversion into ongoing patients. Identifying where potential new patients are being lost between enquiry → booking → attendance → treatment → ongoing care . Monitoring new-patient conversion rates and identifying opportunities for improvement. Analysing treatment-plan acceptance and identifying patterns where patients do not proceed. Monitoring patient retention. Identifying patients becoming overdue, inactive or lapsed. Reviewing the effectiveness of recall, rebooking and patient-reactivation systems. Monitoring Practice Plan membership, including uptake and cancellations. Reviewing patient reviews and feedback and identifying opportunities to improve both the patient experience and the number of reviews generated. Reviewing patient referrals and recommendations. Comparing relevant performance by practice, clinician, treatment type, lead source and time period. Reviewing appointment-book utilisation, cancellations, FTAs and unused clinical capacity. Assessing the effectiveness of different marketing and new-patient lead sources – not simply how many enquiries they generate, but whether those patients book, attend, proceed with treatment and remain with the practice. Identifying measurable aspects of the patient journey that could be improved. Identifying trends, areas of underperformance and opportunities for growth and presenting these clearly to the Directors. Helping the Directors and management team determine which areas should be prioritised. Working with the wider team to develop practical systems, processes and workflows to address identified opportunities. Establishing appropriate baseline measures and targets. Monitoring agreed initiatives to determine whether they have produced the intended improvement. Reviewing initiatives that are not achieving the expected results and helping refine the approach. Maintaining an ongoing business-development action plan, including identified opportunities, agreed actions, responsibilities, progress and outcomes. You will not be expected to personally implement every change identified . Your role will be to identify and investigate opportunities, work with the appropriate Directors, Practice Managers and team members to develop solutions, and then monitor whether those solutions are working. Our approach is: Measure → Identify → Investigate → Prioritise → Develop solutions with the team → Monitor → Report and refine. Wider Practice & Operational Administration – Shared Responsibility Alongside your primary responsibilities, you will work collaboratively with our Practice Administrator and Practice Managers on relevant central administrative and operational matters, including: Holiday and sickness records. Pay-rise and pay-related correspondence. Ensuring relevant staff/payroll information is kept up to date. Directors' meeting agendas, papers and agreed actions. Business correspondence. Central office and invoice email administration. Business surveys and questionnaires. Ordering and researching products and services. Insurance, utilities and relevant compliance administration. Liaising with suppliers and external contractors. Supporting projects and operational matters affecting the practices. The role does not have primary responsibility for recruitment advertising, CV screening, interviews, HR meeting administration, general personnel files or maintaining GDC, indemnity and DBS records. Who We Are Looking For We are looking for someone who combines excellent financial skills with genuine commercial curiosity . You may currently be an experienced bookkeeper, Finance Manager, Accounts Manager, Management Accountant or similar and feel ready for a role where you can become more involved in understanding and improving the performance of a business. You should have: Strong bookkeeping and accounts experience. Experience using Xero. Payroll experience. Excellent Excel and spreadsheet skills. Confidence working with and analysing data. Excellent numerical accuracy and attention to detail. The ability to identify patterns, trends and anomalies. A naturally inquisitive approach – someone who wants to understand why the numbers have changed. Strong organisational and problem-solving skills. Confidence communicating findings to business owners and managers. The ability to translate financial and operational information into clear, practical insights. The ability to work collaboratively with different teams to turn findings into improvements. The ability to take ownership of projects and follow them through. Previous experience within dentistry or healthcare would be desirable but is not essential . We are particularly interested in someone who enjoys looking beyond the numbers and would like to become involved in understanding and improving the performance of an established multi-practice business. Hours, Salary & Benefits This is a full-time, permanent, employed, office-based position working: Monday to Friday 8:30am–5:30pm One-hour unpaid lunch break 8 paid hours per day / 40 hours per week Hourly rate: £20.50 Gross annual salary: £42,640 The position is based at our practice in Takeley, Essex, CM22 6QJ , with occasional visits to our other practice in the Colchester area.
