What this opportunity involves: As a Facilities Administrator supporting Amazon's Auckland corporate offices, you'll be the operational heartbeat that keeps the workplace running seamlessly. At JLL, we are collectively shaping a brighter way — for our clients, ourselves and our fellow employees — and in this role, you'll do exactly that by providing essential administrative and operational support to the Assistant Facilities Manager. You'll manage the full lifecycle of service requests through the Corrigo platform, coordinate vendor access and compliance, support financial administration, and help maintain workplace health and safety programs. This position requires someone detail-oriented and customer-focused who takes genuine pride in creating an exceptional workplace experience. You'll work closely with the wider Facilities Management team, business stakeholders, and building management to ensure every Amazonian walks into a safe, functional, and welcoming environment each day. Success in this role means balancing multiple priorities with precision, responding quickly to emerging issues, and maintaining the highest standards in everything from data accuracy to workplace presentation. An overview of the role: Manage and triage service requests through the Corrigo platform, logging, tracking, and resolving all work orders within agreed service level agreements while maintaining accurate asset registers and maintenance schedules Coordinate access, inductions, and compliance requirements for all contractors and vendors, ensuring all on-site work meets safety and quality standards while liaising with third-party service providers Process and verify invoices for deliveries, goods, and services, confirming alignment with purchase orders and contracts, and support monthly budget tracking and variance reporting Partner with Amazon's Environment, Health & Safety team to maintain site compliance, coordinate emergency response training, conduct safety audits, and ensure all contractor work includes proper risk assessments and permits Serve as a key point of contact for facilities-related queries, responding promptly through chat channels and helpdesk while coordinating office moves, maintaining space management records, and supporting continuous improvement initiatives Sounds like you? This is what we are looking for: 1+ years of experience in facilities administration, hospitality, corporate services, or a related field with proven experience using the Corrigo platform or similar CMMS/work order management systems Strong proficiency in Microsoft Office Suite with excellent written and verbal communication skills and ability to interact professionally with stakeholders at all levels Demonstrated ability to manage multiple tasks and competing priorities in fast-paced environments while maintaining attention to detail and meeting deadlines consistently Working knowledge of workplace health and safety legislation, compliance requirements, and risk management principles applicable to corporate facilities Experience with invoice processing, purchase order management, and basic financial administration including budget tracking and vendor payment verification What you can expect from us: You’ll join an entrepreneurial, inclusive culture.
