This is an operations-focused, fast-paced, and high-pressure role. The successful candidate will work closely with the CEO as a key business support and execution partner, helping translate the CEO's priorities and instructions into action across the organization. The majority of this role involves business operations, project coordination, research, problem-solving, cross-functional coordination, and execution, rather than personal assistance. The CEO may delegate multiple assignments across different areas of the business, often with urgent or changing priorities. The successful candidate must be able to quickly understand what needs to be done, conduct the necessary research, coordinate with the relevant people, identify solutions, take ownership, and follow through until the matter is fully completed. Key Responsibilities Provide comprehensive executive support to the CEO, including calendar management, email correspondence, meeting coordination, and follow-up on key action items. Act as a key coordination point between the CEO and departments, ensuring clear communication and timely execution of business priorities. Support the CEO in day-to-day business operations, including matters relating to the wellness centre and other company activities. Take ownership of assignments delegated by the CEO, from initial instruction and research through coordination, execution, follow-up, and completion. Coordinate and monitor cross-functional projects, ensuring deadlines, deliverables, and key milestones are achieved. Track, collect, and consolidate departmental reports and information, preparing concise management summaries and updates for the CEO. Proactively identify operational issues, gaps, delays, and potential risks, conduct the necessary research, and recommend practical solutions. Conduct research on business, operational, wellness, healthcare, regulatory, market, and other matters as required by the CEO. Assist with reviewing, organizing, and maintaining contracts, agreements, quotations, proposals, business documents, licences, and corporate records. Identify important terms, obligations, deadlines, renewal dates, and matters requiring management attention in contracts and business documents. Liaise professionally with internal teams, clients, business partners, government agencies, consultants, vendors, contractors, and other external stakeholders on behalf of the CEO. Follow up proactively with responsible parties to ensure outstanding matters are resolved within the required timeline. Manage urgent and ad hoc assignments while maintaining accuracy, organization, and attention to detail. Prepare high-quality presentations, reports, proposals, business correspondence, and meeting materials to support executive decision-making. Organize meetings, prepare agendas, record meeting minutes where required, and ensure timely follow-up on action items. Coordinate domestic and international travel arrangements, including flights, accommodation, transportation, visa applications, and detailed itineraries. Maintain organized filing systems, confidential records, contracts, licences, and corporate documents. Support the CEO in wellness centre operations, business projects, process improvements, compliance matters, and special initiatives. Follow up with departments, vendors, contractors, consultants, and other parties to ensure outstanding matters are completed within the required timeline. Identify workflow inefficiencies and recommend practical improvements to enhance operational effectiveness. Assist the CEO in coordinating new initiatives, business opportunities, and special projects. Perform other responsibilities and assignments as directed by the CEO. Requirements Bachelor's Degree in Business Administration, Management, Operations, Law, or a related discipline is preferred. Minimum 5 years of experience as an Executive Assistant, Personal Assistant, Executive Secretary, Business Operations Executive, or in a similar executive support role. Experience in business operations, project coordination, contract administration, or management support is highly preferred. Strong ability to understand, organize, and work with contracts, agreements, business documents, and corporate documentation. Strong research and analytical skills, with the ability to gather information from reliable and authoritative sources and summarize findings clearly. Exceptional organizational and multitasking skills, with the ability to manage multiple assignments and competing priorities. Proven ability to thrive in a fast-paced, high-pressure, and constantly changing environment. Strong sense of ownership, initiative, accountability, and follow-through. Able to work independently with minimal supervision and determine the appropriate next steps without requiring step-by-step instructions. Excellent analytical, problem-solving, and decision-making skills with strong attention to detail. Strong ability to coordinate and communicate effectively across different departments and with external stakeholders. Outstanding interpersonal and communication skills, with the confidence to interact with senior management and external parties professionally. Fluent in English and Mandarin (spoken and written). Proficiency in Bahasa Malaysia is an added advantage. High level of integrity, professionalism, confidentiality, and discretion in handling sensitive business information. Adaptable, resourceful, and able to remain calm, organized, and effective under pressure. Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, as well as other productivity tools. Experience in a wellness centre, healthcare, corporate, or fast-paced business environment will be an added advantage. Pay: From RM7,000.00 per month Work Location: In person
