Job Advert Executive Assistant to the CEO & Operations Director 12-Month Maternity Cover – with potential to extend Start Date: 1st November 2026 Contract: Fixed Term – 12 months, with the possibility of extension Reporting to: Chief Executive Officer Ready for your next Chapter? We are looking for an exceptional Executive Assistant to join Your Chapter and provide high-level support to our CEO and Operations Director. This is a key role at the heart of our organisation. You will work closely with senior leaders, helping them stay organised, focused and ahead of their priorities while ensuring the day-to-day demands of a busy and fast-moving organisation are managed effectively. Initially offered as 12-month maternity cover from 1 November 2026, there may be an opportunity for the contract to be extended. The Role As Executive Assistant, your primary responsibility will be to maximise the effectiveness of the CEO's time while also providing executive and administrative support to the Operations Director. This isn't simply a diary-management role. We are looking for someone who can understand priorities, anticipate what is needed, follow things through and confidently manage competing demands. Confidentiality is fundamental to this role. You will be trusted with highly sensitive information and must demonstrate absolute discretion, integrity and sound judgement at all times. Your responsibilities will include: Managing and coordinating the CEO's diary, appointments and meetings. Holding regular priority meetings with the CEO to review commitments, actions and upcoming deadlines. Supporting the management and prioritisation of emails and correspondence. Acting as a professional and confident gatekeeper for the CEO. Coordinating Senior Management, Executive, Quality Assurance and other senior-level meetings. Preparing agendas, meeting packs, reports and supporting documentation. Attending meetings and producing accurate minutes, actions and follow-up points. Supporting the preparation of Executive reports, presentations, business information and weekly Chairman reporting. Preparing professional correspondence, documents, spreadsheets and presentations. Arranging travel and accommodation for the CEO and Operations Director. Managing and submitting expenses. Supporting company events, meetings and other business activities. Helping to ensure effective communication between the CEO, Operations Director, senior managers and wider teams. Researching and managing incoming issues, including confidential and sensitive matters. Providing administrative and project support to the Operations Director. Taking ownership of ad hoc projects and assignments. About You We are looking for someone who is professional, organised and dependable, but also confident enough to use their own judgement. You'll be someone who enjoys making things happen behind the scenes and takes satisfaction from ensuring senior leaders are properly prepared and able to focus on the things that matter most. You will ideally have: Previous experience as an Executive Assistant, Personal Assistant or in a similar senior administrative role. Experience supporting senior executives or directors. Exceptional organisational and diary-management skills. The ability to manage multiple priorities and changing deadlines. Excellent written and verbal communication skills. Strong attention to detail. Confidence communicating with people at all levels of an organisation. Excellent minute-taking and document preparation skills. Strong Microsoft Office and Teams skills. Confidence using digital tools and technology to improve efficiency. A proactive approach – spotting what needs doing rather than waiting to be asked. Excellent judgement and discretion when dealing with confidential or sensitive information.
