# Executive Assistant (EA) to Director & COO **Rosentiques** · Byculla, Mumbai, Maharashtra · `On-site` 🕒 **Статус:** *Опубликовано: сегодня* · *Источник: Indeed* --- ### About the Role Position: Executive Assistant (EA) to Director & COO Location: Byculla, Mumbai Working Days: Monday to Friday Experience: 10+ years in a similar high-level executive support role Education: Graduate from a recognised university Reporting To: Director & Chief Operating Officer (COO) About the Role: We are looking for a highly organised, sharp, efficient, mature, and proactive Executive Assistant to the Director & COO who can provide high-level executive and administrative support. The EA will serve as the primary point of contact for the COO’s office and will be responsible for managing daily office operations, executive schedules, communication, meetings, travel, documentation, and coordination with senior management and other stakeholders. This is a high-responsibility role requiring excellent English communication, strong confidentiality, exceptional organisational skills, flexibility, and the ability to manage demanding schedules and frequent domestic and international travel . Key Responsibilities: Executive Support: - Provide dedicated day-to-day administrative and executive support to the COO. - Manage the COO’s calendar, appointments, business meetings, conferences, and high-profile events. - Coordinate complex domestic and international travel itineraries involving multiple destinations and schedule changes. - Manage travel documentation including visas, passports, hotel bookings, and travel insurance. - Maintain active travel itineraries, corporate loyalty programmes, and frequent-flyer records. - Maintain and organise corporate contact directories. - Draft professional correspondence, presentations, speeches, policy manuals, press releases, and corporate announcements. Meetings & Conferences: - Prepare meeting agendas, minutes, presentations, briefing papers, and reports. - Organise and coordinate virtual and in-person meetings and conferences. - Attend meetings and provide necessary secretarial support. - Welcome and professionally manage visitors and guests. - Provide on-site assistance and logistical support during domestic and international travel with the Director & COO. Administrative & Accounting Support: - Provide administrative support for special projects and conduct background research when required. - Present research findings in a clear and structured format. - Supervise and delegate tasks to junior administrative staff where required. - Reconcile credit card statements, utility bills, and vendor invoices. - Prepare and submit relevant reports/statements to the Accounts Department. - Maintain tracking systems for personal and corporate renewals, insurance policies, memberships, and subscriptions. - Monitor important milestones, corporate events, and critical deadlines and ensure timely follow-up. Communication & Data Management: - Manage incoming and outgoing communications, including emails, Registered AD documents, postal mail, and couriers. - Screen incoming calls, enquiries, and visitors and respond appropriately based on the COO’s instructions. - Maintain accurate physical and digital filing systems. - Ensure complete confidentiality and data privacy of sensitive corporate documents and information. - Coordinate office equipment requirements and liaise with IT for repairs/issues. - Monitor and replenish office stationery as required. - Identify operational bottlenecks and proactively suggest workflow improvements. Candidate Requirements: - Minimum 10 years of experience in a similar high-level Executive Assistant / Executive Support role. - Graduate from a recognised university; English-medium education preferred. - Fluent and excellent verbal and written English communication. - Highly organised, sharp, efficient, and detail-oriented. - Strong multitasking and analytical abilities. - Excellent interpersonal and coordination skills. - High level of integrity, discretion, and confidentiality. - Calm, composed, professional, and diplomatic personality. - Excellent punctuality and attendance. - Flexible to extend working hours based on urgent requirements, international time zones, and off-site meetings. - Willingness and ability to frequently accompany the Director & COO on domestic and international travel. - Marathi reading and writing skills will be an added advantage. Technical Skills: - Advanced proficiency in Microsoft Office . - Strong knowledge of MS Word, PowerPoint, and Advanced Excel . - Proficiency in MS Teams and Adobe Acrobat . - Operational knowledge of Azure and Microsoft Cloud environments . - Excellent typing speed in MS Word. - Knowledge of shorthand will be highly preferred. Ideal Candidate Profile: We are looking for someone who is mature, highly dependable, resilient, discreet, and completely flexible with the ability to handle demanding executive schedules. The candidate should be comfortable with frequent domestic and international travel, extended working hours, changing schedules, urgent requirements, and working across international time zones . Pay: ₹150,000.00 - ₹200,000.00 per month Work Location: In person
