This role offers an exciting opportunity to provide comprehensive executive support while contributing to various business and HR initiatives across our diverse markets. The ideal candidate will demonstrate exceptional organizational skills, cultural awareness, and the ability to manage complex priorities in a fast-paced, multi-stakeholder environment. This role requires skills in planning, time management, and organization, with meticulous attention to detail, an ability to meet tight deadlines, and the capacity to juggle multiple internal and external requests in a calm, friendly, and efficient manner. The successful candidate will be trusted to handle confidential and sensitive information and work professionally with senior business and HR executives. The successful candidate will have the ability to complete complex tasks and projects quickly with little to no guidance, demonstrate strong anticipation of team needs, and react with appropriate urgency and action to unanticipated developments or situations. Key job responsibilities - Proactively manage complex calendars for two directors (AWS Global Sales Japan and Human Resources), ensuring effective prioritization and seamless coordination across multiple time zones. - Plan and execute comprehensive domestic and international travel arrangements, including complex multi-day meetings and expense management. - Lead the coordination of department-wide meetings and strategic planning sessions, managing logistics, preparing agendas, and ensuring proper documentation. - Develop and maintain efficient systems for organizing confidential documents, team calendars, and other team resources. - Manage meeting outcomes by capturing key decisions, tracking action items, and driving follow-through to completion. - Act as a key liaison between directors and their leadership teams, facilitating communication and resolving queries independently. Manage communications and materials through English-Japanese translation, ensuring accuracy, cultural appropriateness, and proper business tone. - Collaborate with other Executive Assistants across International AWS Global Sales and Human Resources regions to ensure alignment and consistency in processes, and execute organization-wide initiatives by influencing stakeholders, defining project plans, managing implementation, and developing all processes associated with program roll-out and ongoing support. A day in the life In a typical day, you'll balance the priorities of two directors across AWS Global Sales Japan and Human Resources, coordinating cross-timezone meetings, preparing leadership review materials, and proactively resolving scheduling conflicts. You'll partner with Executive Assistants across the region and serve as a trusted liaison between your leaders and their teams, ensuring seamless communication in both Japanese and English.
