The role As Events Coordinator you will play a key role in the planning and delivery of both virtual and in-person events. Reporting to the Head of Research, Content, and Operations, this hands-on role is ideal for someone who thrives in a fast-paced environment, has exceptional attention to detail, and is passionate about seamless event execution. Some travel across the UK, and occasional overnight stays are required. This team currently comprises a department head, one Senior Conference Producer, one Conference Producer, and two Events Coordinators (including this role). The primary role of Research & Content Department is to produce conference and event concepts, develop event content, and acquire conference chairs and speakers to deliver each course or conference. IGPP delivers between 40 and 60 full day conferences a year, of which approximately 50 are face-to-face (normally held in Manchester and Central London). Alongside these, we deliver a range of training events. Key responsibilities and duties Event Management (Conferences & Courses – Virtual and In-Person) - Lead the end-to-end delivery of assigned events, from planning through to execution - Manage sponsor onboarding, account support, and exhibitor logistics/stand allocation - Coordinate delegate communications and post-sales customer service - Liaise with internal teams on event collateral production and marketing updates - Oversee venue coordination and act as on-site point of contact — registration/badging, sponsor liaison, and resolving on-the-day issues - Support health and safety and risk assessment requirements for in-person events, including venue fire/accessibility checks - Coordinate travel and accommodation for IGPP staff and speakers, where required - Manage registration and attendee lists, event surveys, and feedback reporting - Maintain accurate CRM data and website content, handling delegate data in line with GDPR - Track spend against event budgets - Handle delegate queries, joining instructions, and event access - Monitor project progress and report to key stakeholders pre- and post-event Operational Support - Manage the Events and Courses shared inbox, responding to or redirecting requests - Build and maintain relationships with partners, suppliers, clients, and venues - Prepare and manage event assets and materials - Support post-event evaluation and continuous improvement - Contribute to cross-departmental initiatives and other tasks as required Other - Any other tasks as may be required by the business from time to time What We’re Looking For Essential - Proven experience in event management - Strong communication, time management, and administrative skills - Proficiency with Microsoft Office (Word, Excel, Outlook, etc.) - A proactive, detail-oriented approach with the ability to multitask - Flexible to travel and occasionally stay overnight for events Desirable - Experience in CRM and database management - Familiarity with Zoom, HubSpot, and Canva Benefits / Perks - Flexible / hybrid working - Enhanced company pension scheme - 22 days holiday per year plus bank holidays, increasing by 1 day for every year service, up to a maximum of 25 days - Training & development plans with the opportunity to grow and progress within the company - Work social events - On site gym - Annual salary reviews in line with own & company performance - 1 paid day of volunteer work per year - Long service awards - Free parking We are passionate about inclusion and equality within our organisation, and we operate with a zero-tolerance approach to discrimination of any kind.
