Events Division — Full-service event planning, design, and production specializing in balloons, backdrops, brand activations, and private and corporate events. We serve clients throughout Los Angeles and Orange County. Builds Division — Custom fabrication and carpentry including trade show booths, experiential design, custom furniture, brand activations, and retail environments. We serve clients nationwide. We make simple, simply luxurious. THE ROLE This Project Manager will oversee both divisions, acting as the bridge between a closed sales deal and a finished product walking out the door. You will own the entire project lifecycle from handoff by sales to final delivery. This is a key leadership role — high performance is expected from day one. The goal is to take significant day-to-day operational responsibility off the owners so they can focus on business growth, sales, and client retention. This person must not need to be told twice, must see what needs to happen before being asked, and must take real pride in the quality of what goes out the door. RESPONSIBILITIES Events Division Own every project from the moment it transfers from sales — kickoff through final delivery Manage production of backdrops, painting coordination, and all fabrication deliverables Handle all client communications: scheduling, proofing, final sign-offs, pre- and post-project requests Schedule trucks, drivers, and installation crews for event days Coordinate with outside vendors on-site during setup Go into the field as needed to lead on-site setups — keeping staff and vendors aligned so the job gets done on time Responsible for purchasing all event materials from vendors; purchasing may be delegated to the appropriate associate responsible for that area Maintain quality standards throughout every stage of production Builds Division Own all build projects end-to-end — start to finish, no handoffs Responsible for purchasing all materials that go into builds, including client-specified items (fixtures, freezers, specialty components outlined in proposals); purchasing may be delegated to the appropriate associate responsible for that area Build and maintain project timelines with clear milestones; manage multiple concurrent projects without letting any fall through Shuffle schedules as needed to hit deadlines without sacrificing quality Walk the shop floor daily — coach, train, and hold shop staff accountable to the standard Read each project correctly: know when it's a craftsmanship-first job and when it's an efficiency-first job, and direct execution accordingly Hire in-shop labor and source outside or temporary labor when needed; post jobs on Indeed; the Director of Builds and Director of Events will aid in qualifying candidates and the interview process within their respective divisions Go into the field to coordinate vendors and staff for on-site builds and installations Retrieve Certificates of Insurance (COIs) for event days and deliver them to clients Handle client communications: final proof approvals, sign-offs, pre- and post-project correspondence, repeat order requests, and add-ons After 90 days: responsible for quoting add-ons and estimating time and cost for additional work Scheduling & Project Management Own Monday.com entirely — keep all project schedules current, accurate, and useful Make the schedule the single source of truth for the sales team to understand current capacity Use the schedule to make real decisions: when to bring in temp labor, when to push back on a new project, when to hire Pre-plan thoroughly on every project before work begins — identify every aspect, account for shipping and logistics timelines, ensure all parts arrive before they're needed Escalate risks early — scope gaps, schedule slips, material lead times, labor constraints, and site constraints must be surfaced to leadership immediately, not after they become problems No client commitments on scope, pricing, schedule changes, or change orders without prior alignment and approval from leadership Cost Optimization & Pricing (Develops Over Time) Conduct cost-up analysis using the company margin pricing structure Track actual shop time — how long it takes to manufacture specific parts — to sharpen future estimates Advise on the most cost-effective production methods (laminating options, fabrication approaches, sourcing decisions) Over time: help advise on project pricing and assist in preparing proposals for the sales team Understand where the threshold is between maximizing margin and pricing out of a job Documentation & Process Improvement Leverage AI tools to help generate, standardize, and document shop and install processes (SOPs, checklists, templates) so work is repeatable and scalable Identify shop processes that can be improved — recommend equipment, tools, or machinery that would benefit the team Identify what work is better to outsource versus keep in-house Source materials: acrylics, plywood, ACM (aluminum composite material), glass, and any custom materials specified by clients Stay current on new materials and suppliers that can improve quality or reduce cost ONBOARDING The first 30 days include intensive hands-on training with both the Builds Director and Creative Director. You will be immersed in active projects, existing processes, client relationships, and shop operations so you can take full ownership as quickly as possible. We invest heavily in your onboarding — we expect the same commitment in return. PROBATION PERIOD 30-Day Check-In You should be handling projects end-to-end, building trust with the team, and demonstrating measurable value in your role. Leadership will have a direct, honest conversation with you about what's working and what needs to shift. 90-Day Formal Review At 90 days, a formal performance review will be conducted. Leadership will evaluate overall project execution, team integration, quality of work, and contribution to business operations. This review shapes the direction of your continued employment and compensation. HOW WE'LL MEASURE YOUR SUCCESS (Ongoing KPIs) Projects delivered on time and on budget, consistently Pre-planning discipline: every project aspect identified and addressed before work begins — lead times accounted for, logistics locked down, nothing caught off guard mid-project Net-positive contribution to profit margin Shop floor performance: team hitting quality standards, production running efficiently Monday.com accuracy: schedule always current and visible to the sales team in real time Quality of documentation and SOPs produced Client satisfaction on communications and deliverables WORKING CONDITIONS This role is based in our Los Angeles shop and requires daily on-site presence Field work is required — you will periodically go on-site to coordinate installs and vendor setups During tight project timelines, some late days may be required; however, with appropriate scheduling and pre-planning this should be the exception, not the rule Occasional nights and weekends may be required for installs — this is part of the job Must be comfortable being hands-on during crunch periods Must follow all shop and jobsite safety rules, including PPE requirements at all times Must be physically able to lift and move materials and tools as needed for fabrication and installs WHAT WE'RE LOOKING FOR Background in fabrication, construction, production, or event production — with demonstrated experience leading operational work, not just supporting it Comfortable in a shop environment and in the field; able to hold a team accountable to quality standards Able to juggle multiple active projects simultaneously without losing detail Financially aware — understands margin, cost-up analysis, and is motivated to protect profitability Computer literate; able to work efficiently on Mac OS to run programs, create documentation, and keep systems organized Efficient, accurate typist with strong written communication skills Able to communicate clearly and professionally with clients and internal teams via email and text Works effectively across all teams; communicates with clarity, professionalism, and good judgment Level-headed, logical decision-maker who maintains composure and integrity in high-pressure situations Comfortable leveraging AI tools to improve documentation and operational efficiency CONFIDENTIALITY & INTELLECTUAL PROPERTY All client information, pricing, designs, processes, and internal business data must be kept strictly confidential during and after employment. COMPENSATION & BENEFITS Salary: $71,000/year to $90,000/year Employment Type: Full-time, salaried, exempt Mileage Reimbursement: Provided for all approved work-related travel Per Diem: Provided for field/travel work; amount based on job type and complexity Vacation: 3 days annually, beginning after the 90-day probation period; unused days carry over up to a maximum of 6 days accumulated over two years (negotiable) Bonus: Bonus opportunities may be offered based on individual performance and overall business results.
