Employee Relations Assistant
The Employee Relations Assistant provides administrative and operational support in managing employee relations activities within a construction company or project site. The position assists in handling employee concerns, attendance and disciplinary matters, site workforce coordination, employee documentation, and communication between employees, project management, supervisors, and the Human Resources Department. The role requires the ability to work in a fast-paced construction environment and interact effectively with project-based employees, skilled and unskilled workers, supervisors, engineers, foremen, subcontractors, and management. KEY RESPONSIBILITIESEmployee Relations Assist in receiving, documenting, and addressing employee concerns, complaints, grievances, and workplace issues. Coordinate with supervisors, foremen, project managers, and HR personnel regarding employee relations matters. Assist in resolving workplace conflicts and employee concerns in a fair, professional, and timely manner. Maintain confidentiality of employee information and sensitive employee relations cases. Provide employees with information regarding company policies, procedures, rules, and benefits. Construction Site HR Support Provide HR and employee relations support at construction project sites. Coordinate with site management regarding manpower concerns, employee attendance, work schedules, transfers, and other workforce-related matters. Monitor and document employee attendance, absences, tardiness, undertime, and other attendance issues. Assist in addressing workforce concerns involving project-based, daily-paid, regular, and other categories of employees. Coordinate with subcontractors and manpower providers regarding employee-related concerns, when applicable. Assist in employee onboarding, site orientation, and implementation of company policies and procedures. Disciplinary and Case Management Assist in documenting employee violations, incidents, and workplace complaints. Prepare and organize incident reports, notices, memoranda, and other employee relations documents. Assist in issuing and monitoring Notices to Explain and other disciplinary documentation in accordance with company procedures. Coordinate administrative hearings or meetings related to employee cases. Maintain an updated and organized employee relations case tracker. Monitor the status and proper documentation of employee disciplinary cases. Escalate serious or sensitive employee relations matters to the HR Manager or appropriate management personnel. Employee Records and Documentation Maintain accurate and confidential employee files and employee relations records. Assist in verifying employee information, employment status, project assignment, and other HR records. Prepare reports related to attendance, disciplinary cases, employee concerns, turnover, and workforce issues. Ensure that required employee documents are properly completed, filed, and updated. Assist during HR audits and internal compliance reviews. Employee Engagement and Communication Assist in implementing employee engagement and welfare activities at project sites. Help organize employee meetings, consultations, toolbox meetings, and HR information sessions when required. Promote positive working relationships between employees, supervisors, and management. Communicate company policies, announcements, and HR programs to project employees. Assist in identifying recurring employee concerns and recommend appropriate actions to the HR team. QUALIFICATIONS Bachelor’s degree in Human Resources, Psychology, Business Administration, Management , or a related field. At least 1–2 years of experience in Human Resources, Employee Relations, or a similar role , preferably in the construction industry. Experience working in a construction project site or with a project-based workforce is highly preferred. Knowledge of basic Philippine labor laws and HR practices. Experience handling employee complaints, disciplinary cases, attendance concerns, and workplace conflicts is an advantage. Willingness to work at construction project sites and coordinate with field personnel. Proficient in Microsoft Office, particularly Word and Excel. Good written and verbal communication skills. Strong organizational skills and attention to detail. Ability to maintain confidentiality and exercise good judgment. Ability to work under pressure and meet deadlines. May be required to work extended hours or weekends depending on project requirements and company policies. Must be willing to travel or be assigned to different project sites when necessary.
