This is a non-voice, office-based role focused on client and talent coordination, workflow development, resource planning, file management, and meeting operational deadlines. Applicants should have experience building or managing projects from the ground up. This position is not related to construction, engineering, or site operations. Job Description & Responsibilities: The successful candidate will oversee specialized services such as: Transcription Subtitling Voice-over Data annotation Speech and data collection Desktop publishing (DTP) Multimedia localization Other customized or non-standard language services The position requires strong leadership, project management, and problem-solving skills. The supervisor will evaluate project feasibility, develop operational processes, organize resources, manage risks and costs, and ensure that projects meet the agreed timeline, quality standards, and client requirements. Key Responsibilities: Start-Up Project and Service Development Lead the operational setup and implementation of new, pilot, or start-up projects. Help build workflows, staffing plans, project trackers, documentation, and quality controls from the ground up. Identify the operational requirements, tools, resources, and procedures needed to launch a new service successfully. Test and improve processes during the initial stages of a project. Adjust workflows based on actual project results, client feedback, and operational challenges. Convert successful pilot projects into organized, repeatable, and scalable services. Project and Operations Management Manage and supervise specialized, customized, and non-standard service projects. Review project requirements and assess their feasibility before execution. Determine the appropriate staffing, timeline, workflow, and resources for each project. Ensure that projects are delivered within the agreed scope, timeline, quality standards, and budget. Monitor project progress, productivity, quality, and resource utilization. Handle multiple projects and changing priorities based on business and client requirements. Take immediate action when delivery, staffing, quality, or workflow issues arise. Team and Resource Coordination Supervise and delegate tasks to assigned Project Management Operations personnel, project coordinators, and temporary project resources. Coordinate the deployment of internal employees, freelance linguists, vendors, contractors, and other external service providers. Ensure that team members understand their responsibilities, deadlines, and quality expectations. Monitor resource availability, workload, schedules, and performance. Coordinate with different departments, teams, and work shifts when necessary. Ensure that start-up and specialized projects do not negatively affect regular production operations. Process Development and Documentation Develop and maintain standard operating procedures, workflow guides, templates, checklists, playbooks, and project documentation. Document customized client solutions, project challenges, and lessons learned. Identify recurring project requirements that can be standardized. Improve processes to reduce errors, delays, operational confusion, and unnecessary costs. Maintain an organized knowledge base for future projects and service expansion. Work with Operations leadership to standardize and scale emerging services. Risk and Escalation Management Identify possible operational, staffing, financial, quality, and delivery risks before and during project execution. Clarify incomplete, unclear, or changing project requirements. Escalate high-risk, impractical, or operationally unsustainable requests to the appropriate leadership. Serve as the primary escalation point for concerns involving emerging and specialized services. Develop temporary controls and contingency plans for experimental or high-risk workflows. Protect regular production operations from disruptions caused by start-up or customized projects. Cost and Margin Management Monitor project labor costs, vendor expenses, and resource utilization. Ensure that projects remain within approved budgets and pricing arrangements. Maintain complete and accurate records of external vendor costs and project-related expenses. Identify and report possible cost overruns, pricing exceptions, and margin risks. Recommend cost-effective staffing and workflow solutions. Prevent unnecessary operational expenses and uncontrolled project overhead. Client and Stakeholder Coordination Communicate with clients and internal stakeholders regarding project requirements, feasibility, schedules, risks, and limitations. Clarify expectations and resolve operational concerns before project execution. Provide timely project updates, recommendations, and escalation reports. Coordinate with Operations, Production, HR, Finance, Quality, and other relevant teams. Maintain professional relationships with clients, vendors, freelancers, and internal stakeholders. Compliance and Vendor Management Ensure that freelancers, vendors, contractors, and temporary personnel comply with company policies and project requirements. Coordinate with HR regarding temporary or project-based staffing arrangements. Ensure compliance with confidentiality agreements, information security requirements, and applicable procedures. Monitor the performance, reliability, and quality of external service providers. Recommend corrective action or temporary suspension of underperforming vendors, subject to leadership review. Qualifications Bachelor’s degree in Business Administration, Operations Management, Project Management, Communication, Information Technology, Language Studies, or a related field. Preferably with at least three years of experience in project management, operations, localization, BPO, content production, multimedia, or a related field. Preferably with at least one year of experience in a supervisory, team lead, or project leadership role. Must have experience handling start-up projects, pilot programs, newly launched operations, or new service implementation . Experience developing workflows, processes, staffing plans, and operational controls from the ground up is highly preferred. Experience handling transcription, subtitling, voice-over, data annotation, speech collection, DTP, multimedia localization, or related services is an advantage. Experience coordinating freelancers, vendors, contractors, or project-based personnel is preferred. Strong written and verbal English communication skills. Strong leadership, delegation, planning, and decision-making abilities. Able to assess project feasibility, operational risks, resource requirements, and costs. Comfortable working in an environment where requirements, workflows, and priorities may change as the project develops. Proficient in Microsoft Office, Google Workspace, project-tracking tools, and online communication platforms. Highly organized, resourceful, detail-oriented, and accountable. Able to work independently and coordinate effectively with multiple teams and stakeholders. Willing to work onsite and adjust work schedules depending on active projects and operational requirements.
