Dosimetry Manager
Role Overview
The Dosimetry Manager is accountable for the people, capacity, operational performance, clinical quality, and service delivery of their assigned dosimetry team, while supporting the financial performance and growth of assigned customer sites.
The role leads the day-to-day operation of dosimetry services, ensuring Lumonus has the appropriate resources and capabilities to consistently deliver safe, high-quality, efficient services to its customers. The Dosimetry Manager uses operational and clinical data to actively manage workforce capacity, productivity, quality, and individual performance and is accountable for identifying and addressing risks before they impact service delivery.
The Dosimetry Manager serves as the primary clinical operations escalation point for assigned customer sites, partnering with Customer Success, Account Management, Implementation, Product, and Technical Success. Customer Success retains ownership of the overall customer relationship. This is a leadership and management position focused on team outcomes rather than routine treatment planning.
Key Responsibilities
- People Leadership & Accountability
- Directly manage assigned dosimetrists and maintain clear expectations for individual performance, productivity, quality, professionalism, and accountability.
- Conduct regular performance reviews, coaching, and development discussions and address performance concerns promptly and consistently.
- Establish measurable individual goals and use objective performance data to evaluate progress and outcomes.
- Develop team capabilities through mentorship, cross-training, competency development, and succession planning.
- Foster a culture of ownership, collaboration, continuous improvement, and accountability aligned with Lumonus values.
- Partner with the VP, Clinical Operations and People & Culture on hiring, performance management, employee development, and workforce planning.
- Workforce Capacity & Staffing
- Own day-to-day staffing and resource allocation across assigned customers and ensure available capacity is deployed effectively.
- Monitor current and forecasted clinical volumes, staffing capacity, PTO, PRN utilization, and workload distribution to maintain appropriate coverage.
- Proactively identify capacity constraints, coverage risks, and resource imbalances and implement corrective actions before service delivery is impacted.
- Develop data-supported recommendations for additional headcount or staffing changes, including demonstrated volume, capacity, productivity, and financial justification.
- Maintain appropriate contingency and cross-coverage strategies to reduce reliance on individual team members and improve operational resilience.
- Ensure workloads are assigned based on organizational and customer needs rather than individual preference.
- Operational & Financial Performance
- Own operational performance across assigned sites, including productivity, utilization, workload distribution, turnaround time, and established service-delivery KPIs.
- Review individual, customer, and team data to identify performance trends, billing-capture gaps, risks, and improvement opportunities.
- Hold team members accountable for established performance expectations and address gaps with timely coaching and corrective actions.
- Ensure completed activities are accurately documented and reconciled against contractual billing requirements, including SLA-related work, rework, and potential out-of-scope services; escalate discrepancies through established processes.
- Identify workflow inefficiencies and implement operational improvements that increase capacity, consistency, and scalability.
- Maintain awareness of assigned-site revenue targets; regularly coordinate with Customer Success and Sales on opportunities, service demand, and operational readiness for growth. Report performance, capacity, billing-capture risks, and anticipated needs to the VP, Clinical Operations.
- Clinical Quality & Service Delivery
- Be accountable for the safe, timely, and effective delivery of dosimetry services across assigned customers.
- Ensure treatment planning services meet Lumonus clinical standards, customer-specific clinical requirements, applicable regulations, and professional standards.
- Ensure assigned teams follow established Lumonus clinical quality processes; investigate, address, and escalate quality issues arising at assigned sites, implementing corrective actions within the manager’s remit.
- Ensure dosimetrists maintain appropriate competency, credentialing, training, and proficiency for assigned customers, technologies, and treatment techniques.
- Promote adoption of approved clinical workflows, procedures, and automation solutions, while monitoring appropriate usage and addressing team training or workflow barriers.
- Escalate significant clinical, quality, safety, or delivery risks to the VP, Clinical Operations and appropriate organizational stakeholders.
- Clinical Customer Partnership
- Serve as the primary clinical operations escalation point for assigned customer sites; Customer Success retains ownership of the overall customer relationship.
- Maintain an understanding of customer clinical workflows, service expectations, and operational requirements necessary to effectively manage dosimetry delivery.
- Address clinical service concerns, quality issues, staffing concerns, and performance issues within the manager's area of responsibility.
- Participate in regular reviews with Customer Success and Sales to understand site revenue targets, identify additional service needs and growth opportunities, and flag capacity or delivery risks early rather than absorbing unapproved work.
- Provide clear and timely clinical-service performance information to support customer reviews and escalations.
- Maintain productive relationships with clinical customer stakeholders while Customer Success, Account Management, and Commercial retain relationship, contractual, pricing, and revenue-target ownership.
- Cross-Functional Partnership
- Partner with Implementation to provide clinical requirements, staffing resources, and clinical readiness for new customer implementations while Implementation retains ownership of the implementation process and timeline.
- Partner with Customer Success and Account Management by providing clinical expertise, delivery-performance information, and resolution of clinical service issues.
- Partner with Product and Product Solutions on clinical feedback, defined validation activities, and adoption of approved automation; monitor site-level utilization and remove operational barriers while Product retains ownership of the technology and rollout design.
- Partner with Technical Success to communicate the clinical impact of technical issues and support resolution while Technical Success retains ownership of technical troubleshooting.
