Position Reports to: Senior Distribution Project Manager Essential Duties and Responsibilities · Collaborates and liaises with the VP of Operations of Xerimis Inc. and Distribution Project Managers in the US · Initiates and/or participates in preliminary discussions with assigned client proposals in order to devise a plan for the distribution of study materials · Acts as the liaison between the client and internal departments for the requisition of required documentation (i.e. Certificates of Analysis, MSDS, Certificate of Release, temperature excursion criteria for temperature-controlled products, etc.) · Procure materials for use in the distribution process such as temperature monitoring devices, insulated shippers, gel packs, etc. · Guide client in selection of temperature monitoring devices and/or packing materials based on temperature sensitivity of the product · Responsible for the interpretation and preparation of preliminary Clinical Supply Shipment Invoice format, databases, spreadsheets, packing configurations and processing directives to meet proposal specific shipment requirements · Responsible for setting up spreadsheets to track inventory, item codes and shipments to meet SOPs and GDP/GMP requirements · Liaises with the Client and Project Manager to devise Distribution Strategy, Distribution Protocols and associated documents, including IWRS considerations / activities to be performed by Xerimis staff. · Liaises with the Client and Xerimis Project Manager to devise Just in Time labelling (JIT) strategy and associated JIT protocols as required · Responsible to update and maintain client specific spreadsheets and CSSI formats to track item codes, inventory and shipments. This is to include, but not limited to, the addition of QA released item codes, removal of depleted or expired item codes · Coordinates with the client with regards to the country specific requirements for the importation of study supplies and provide any necessary documentation to assist in the import permit application process · Collaborates with the relevant internal departments to meet client timelines by coordinating activities between the internal departments and the client · Liaises with warehouse personnel in meeting timelines for emergency same day shipments to clinical sites and large shipments to depots · Monitors transit of international shipments and notify client of unanticipated delays · Monitors finished products' inventory levels and reports to Project Management and/or client when inventory is reducing to a predetermined level, when applicable · Participates in client and/or MHRA audits, as required Minimum Qualifications (Knowledge, Skills, and Abilities) · Related bachelor's degree or equivalent · Excellent interpersonal skills · Excellent reading and writing skills · Excellent communication skills · English literacy · Excellent mathematical skills · Computer literacy skills · Attention to detail · Strong problem-solving skills · Knowledge of EU GMP and GDP · Familiarity with the pharmaceutical industry · Familiarity with the concept of placebo controlled randomized clinical trials, and the importance of Distribution activities associated with the blinded status of clinical trial material Physical Demands and Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
