We are looking for a Customer & Operations Administrator to join our Support Services Team at our Archway Training Centre in London. Our Support Services Team sits at the centre of a busy seven-day training operation. This is not a role where you will spend all day doing one type of administration. On any given day you could be helping a delegate with a booking, responding to a client enquiry, updating a training record, resolving a certificate query, raising an invoice, preparing information for a course or helping make sure the training centre is ready for the day. We therefore need someone who is a strong administrator, good with customers, comfortable juggling different priorities and willing to get involved in whatever is reasonably needed to keep the operation running well. You don't need to come from healthcare or training. What matters to us is that you are organised, reliable, confident communicating with people and take genuine pride in getting things right. Just as importantly, we want someone who takes pride in the environment they work in. Our Archway Training Centre is visited by healthcare professionals and clients every day. Everyone in the team has a part to play in making sure it is organised, professional, welcoming and ready for the people using it. What Will You Actually Be Doing? A large part of your role will involve supporting our clients and delegates by email and telephone. You'll respond to enquiries, process bookings, send confirmations, resolve straightforward problems and make sure people receive accurate information. Alongside this, you'll complete the administration that keeps our training operation running. This includes updating our Training Management System, maintaining records, recording attendance, supporting certification processes, processing documentation and checking that information has been entered correctly. You'll also support operational finance administration. This can include raising invoices, checking information and assisting with credit control and other routine finance processes. Because you will be based at our Archway Training Centre, you will also be part of its day-to-day operation. This includes welcoming and registering delegates, checking training rooms and communal areas are ready, responding to issues as they arise and helping maintain the professional standard of the centre throughout the day. We don't operate with a “that's not my job” mentality. If something needs attention, we expect people to notice it and either deal with it or make sure the right person knows about it. That could be a delegate who needs help, an incorrect record, a room that isn't ready or simply something in the centre that doesn't look as it should. The variety is an important part of this job. We are looking for someone who is comfortable moving between customer service, administration, systems and practical operational tasks throughout the day. The Person We Are Looking For We're less concerned about the sector you currently work in and more interested in how you work. You'll probably suit this role if you are the person in your current team who keeps things organised, follows things through and notices when something isn't quite right. You take pride in your work and in the environment around you. You don't walk past a problem because somebody else will probably deal with it. You notice the details, care about standards and understand that the way a workplace looks and operates contributes to the experience our clients and delegates have with us. You should be comfortable managing a busy inbox and telephone enquiries while also completing administrative work that requires accuracy and concentration. You need to be able to prioritise. Sometimes several things will need attention at once, and you'll need to work out what needs dealing with immediately, what can wait and when you need to ask someone for help. Good written communication is particularly important. You'll regularly communicate directly with healthcare professionals, clients and colleagues, so emails need to be clear, professional and accurate. We're looking for someone who takes ownership. If you receive an enquiry or identify a problem, we don't want you simply to pass it on unnecessarily. We want you to understand what needs to happen, take the appropriate action and follow it through. You also need to be comfortable working with systems and data. You don't need experience of our particular systems, but you should be confident learning new software and understand why accurate records matter. What We Need From You You will need at least one year's experience in a busy administration, customer service, coordination or operational support role. You must have strong written and verbal communication skills, good attention to detail and the ability to manage several priorities without becoming disorganised. You should be confident using Microsoft Office and other business systems and comfortable learning new technology. Experience within healthcare, training or education would be useful, but it is not essential. Experience involving bookings, scheduling, customer service, finance administration, course administration, reception or working within a busy service-based organisation would all be relevant. Our Working Environment A to E is a seven-day-a-week training operation and our Support Services Team is structured to support this. This is a full-time role working five days across seven, with weekend working forming a normal part of the team rota. Your working week will therefore not always be Monday to Friday. Our operational hours are generally between 08:00 and 18:00, with shifts arranged according to the rota and operational requirements. There will be busy days, competing priorities and occasions where plans change. We need someone who can remain calm, work through what needs doing and maintain a professional approach. This is a fully site-based role at our Archway Training Centre and is not suitable for someone looking for a remote or hybrid position. We do expect you to learn, ask questions, take feedback positively and become increasingly confident and independent in the role.
