Our teams support clients with commercial rent recovery, evictions, vacant-property security, building management and problem-site solutions. We employ a diverse workforce including office administration staff, security inspectors, dog handlers and engineers. Role purpose The Credit Controller will take ownership of the company’s sales ledger and day-to-day credit-control activity, ensuring customer invoices are paid in accordance with agreed payment terms. The role is responsible for monitoring aged debt, contacting customers regarding overdue balances, resolving payment queries, accurately allocating receipts and maintaining clear records of all collection activity. The postholder will work closely with the finance team, operational colleagues and account managers to reduce overdue debt, improve cash collection and protect positive customer relationships. Key responsibilitiesCredit control and debt collection · Review the aged debtor report regularly and prioritise accounts for follow-up according to value, age, payment terms and risk. · Contact customers by telephone and email to chase overdue invoices in a professional, persistent and commercially appropriate manner. · Issue payment reminders, account statements, copy invoices and supporting documentation as required. · Establish reasons for non-payment and take appropriate action to resolve delays. · Agree realistic payment dates or payment arrangements where authorised, ensuring all commitments are recorded clearly. · Monitor promises to pay and follow up immediately where payments are not received by the agreed date. · Escalate overdue, disputed, high-value or potentially irrecoverable debts to the Associate Director – Finance in line with company procedures. · Prepare accounts for debt-collection referral, legal action or other formal recovery activity where instructed and authorised. · Maintain positive and professional relationships with customers while ensuring the company’s payment terms and cash-flow requirements are upheld. Sales ledger administration · Maintain accurate customer account records within Xero, including invoices, credit notes, payments, contact information, payment terms and collection notes. · Allocate customer receipts accurately against outstanding invoices and investigate unapplied cash, short payments, deductions and unidentified receipts. · Reconcile customer account balances and investigate discrepancies promptly. · Raise or support the raising of credit notes in line with internal approval procedures. · Ensure all credit-control activity, correspondence, queries, payment commitments and escalation actions are documented accurately. · Review and maintain customer credit information, including relevant contacts, agreed terms and approved payment arrangements. Query resolution and internal liaison · Liaise with customers to resolve invoice queries, missing purchase order numbers, disputed charges, service issues and documentation requests. · Work closely with operational teams, account managers and directors to obtain job-completion information, purchase order numbers, supporting documents and confirmation of services delivered. · Identify recurring causes of delayed payment and recommend practical improvements to invoicing, billing information or internal processes. · Ensure disputed invoices are logged, monitored and progressed to resolution promptly. · Provide clear updates to relevant internal stakeholders on significant overdue balances, customer disputes and collection risks. Reporting and cash collection · Prepare weekly aged-debt reports, cash-collection updates and debtor commentary for management review. · Highlight key risks, overdue high-value accounts, disputed balances, broken payment promises and accounts requiring escalation. · Support short-term cash-flow forecasting by providing reliable information on expected customer receipts. · Monitor collection performance against agreed targets and identify actions needed to improve results. · Assist with month-end sales ledger processes, including reconciliation, review of outstanding debt and reporting. Compliance and continuous improvement · Follow company procedures relating to confidentiality, financial controls, data protection and document retention. · Maintain organised, auditable electronic records of customer correspondence, payment arrangements and recovery activity. · Support the development and consistent application of credit-control procedures, reminder schedules and escalation processes. · Identify opportunities to improve payment collection, reduce invoice disputes and strengthen sales ledger controls. · Carry out other reasonable duties consistent with the level and purpose of the role. Performance measures · Reduction and ongoing control of overdue debtor balances. · Percentage of debt collected within agreed customer payment terms. · Timely completion and quality of payment reminders, calls, follow-ups and escalations. · Accuracy of sales-ledger records, customer notes, cash allocation and reporting. · Prompt resolution or escalation of payment queries and disputed invoices. · Delivery of weekly aged-debt and cash-collection reporting by agreed deadlines. · Value and age profile of outstanding debt, including high-risk and disputed balances. · Quality of customer communication and maintenance of positive commercial relationships. · Compliance with financial-control, confidentiality and data-protection procedures.
