Position Description: Job Title: Commercial Operations & Intelligence Officer Location: Makati (on-site) Reports To: Chief Executive Officer (Acting Commercial Head) Direct Reports: None 1. Executive Summary & Core Purpose The Commercial Operations & Intelligence Officer serves as the central anchor for commercial data governance, CRM architecture, reporting integrity, and operational coordination across the Easting Inc. group of companies. Reporting directly to the CEO / Acting Commercial Head and maintaining strict organizational independence from regional and category management lines. This role provides the shared operating and information structure through which all four commercial programs ( Luzon Regional , Visayas-Mindanao Regional , Tea Category , and Spirits Category ) are measured, supported, and coordinated. The primary objective is to maintain absolute database integrity, eliminate cross-territory and cross-category attribution friction, enforce CRM discipline (Odoo), and deliver objective, factual commercial intelligence to senior management without assuming direct field-sales authority. 2. Governance, Independence & Reporting Structure Organizational Independence: Positioned independently from regional (Luzon, Vis-Min) and category (Tea, Spirits) lines to ensure unvarnished reporting objectivity and impartial account governance. Regional Execution Alignment: - Luzon: Serves as primary owner of commercial operations, CRM governance, reporting standards, process improvements, and future Odoo automation initiatives. - Vis-Min: Executes the same framework for the Vis-Min region, ensuring consistent CRM management, customer service coordination, and reporting while aligning with standards set by the Manila office. 3. Key Responsibilities & Functional Allocations A. Commercial Reporting, Data Integrity & Intelligence (35%) - Extract, consolidate, and validate data across CRM, ERP (Odoo), and commercial databases to produce daily, weekly, monthly, and ad-hoc sales/commercial reports. systems. - Maintain unified management dashboards KPI trackers, and reporting views (territory, category, brand, SKU, customer, and salesperson views from one controlled dataset. - Perform routine data reconciliations to identify reporting gaps, data inconsistencies, exception items, and revenue discrepancies between pipeline and billing. - Supply management with objective, factual observations on field activity without assuming field-sales command or distorting field realities. B. CRM & Commercial Database Governance (30%) - Master Data Governance: Maintain single-source-of-truth customer master data, enforcing mandatory fields, validation routines, duplicate prevention, and ownership discipline. - Relational Account Modeling: Structuring complex accounts with relational hierarchies (Parent groups, subsidiaries, regional outlets, purchasing entities, and multiple contacts). - Segmentation & Tagging: Maintain tags for channel, geography, category, brand penetration, account potential, and lifecycle status. - System Administration & Access: Manage CRM user access structures, configuration logic, access rights, and monitor user entry discipline across field personnel. C. Lead Management & Customer Service Coordination (20%) - Lead Capture & Routing: Capture incoming leads (website, email, referrals, LinkedIn) and route them to designated territory/category teams with full follow-up visibility. - Inter-Departmental Liaison: Coordinate customer-service inquiries, fulfillment issues, and delivery anomalies between Sales, Finance, Logistics, and Warehouse teams. - Rules of Engagement (ROE): Administer system rules for account ownership, primary territory attribution, secondary category contribution, and sales-credit allocations. D. Newsletters, Email Campaigns & Commercial Communications (15%) - Coordinate and execute newsletters, digital commercial communications and email campaigns. - Maintain clean customer mailing lists and communication databases in CRM. - Support digital engagement initiatives, B2B communication materials, and company LinkedIn presence. 4. Mandatory Odoo & Database System Capabilities Solid database experience is a mandatory selection criterion. 5. Commercial Policy & Operating Frameworks The post-holder will administer, monitor, and enforce compliance against these commercial guidelines: - National, Multi-Region & Multi-Category Accounts: - Accounts spanning multiple regions (example: Key Accounts in Luzon and Vis-Min) or categories are assigned a Primary Territory Account Owner (Regional Sales) and a Secondary Category Specialist (Tea or Spirits Lead). - Revenue and sales-credit allocations follow pre-defined percentage split rules configured within Odoo. - Authority Limits & Approval Boundaries: - Category Leads vs. Regional Managers: Category Leads hold brand, activation, and specialist selling authority; Regional Managers hold territory line management and execution authority. The Officer logs cross-functional alignment and flags operational friction. - Commercial Approvals: Audits non-standard pricing and discounts against approved limit matrices before orders clear Odoo. - Performance Management & HR Escalation: - Monitors user CRM activity (example: visit logging, pipeline updates). - Persistent data neglect, missing fields, or unauthorized account creation are escalated to HR and the CEO as operational performance issues. 6. Triggers for Architecture & System Redesign The Commercial Operations and Intelligence Officer monitors system load and operational bottlenecks, initiating a formal Architecture & Governance Redesign when any of the following conditions occur: - Scale Threshold: Active CRM accounts exceed system capacity, or national account complexity causes recurring attribution conflicts. - Channel Diversification: Expansion into new commercial channels requiring non-standard pipeline stages or non-traditional crediting rules. - ERP Upgrades: Major system migrations (e.g., transition to Odoo Version 20 or integration of advanced inventory/WMS modules). - Organizational Restructuring: Realignment of regional office boundaries, split of sales territories, or creation of new product category lines. 7. Qualifications & Selection Criteria Required Education & Experience(non-negotiable) - Education: Bachelor’s Degree in Information Systems, Business Administration, Industrial Engineering, Computer Science, Marketing, or a related field. - Experience: Minimum of 3–5 years of relevant experience in Commercial Operations, Sales Operations, CRM Administration, Database Management orCommercial Reporting. - Industry Focus: Experience in Food & Beverage, Wine & Spirits, Hospitality, FMCG, or Distribution is highly preferred. Technical Skills - Data & Analytics: Advanced Google Sheet proficiency (Pivot Tables, XLOOKUP, data modeling) and experience with BI dashboards. - CRM & ERP: Advanced working knowledge of Odoo (or similar enterprise ERP/CRM platforms) including database architecture, workflow configuration, and user permissions. - Database Management: Proven experience in data validation, reconciliation, parent-child hierarchies, and auditability.
