This is a hands-on leadership position for someone who understands the collision repair industry, knows how to manage people and production, proactively drives sales, and takes responsibility for getting things done. We are not looking for someone who simply supervises employees or waits for instructions. We need a proactive leader who identifies problems, develops solutions, follows through, and ensures the department operates efficiently and profitably. The ideal candidate should know exactly what is happening with every vehicle, every employee, and every stage of the repair process without needing constant direction from ownership. Key Responsibilities Department Management & Leadership - Oversee and manage all daily collision repair department operations. - Supervise estimators, body technicians, painters, and other collision department employees. - Maintain complete awareness of every vehicle in the shop, including repair status, assigned technician, pending tasks, and expected completion date. - Assign responsibilities, establish priorities, and ensure employees stay productive and accountable. - Monitor employee performance, efficiency, and quality of work. - Conduct daily production meetings and coordinate department workflow. - Ensure employees complete assigned tasks accurately and on time. - Maintain organization, accountability, and clear communication throughout the department. - Provide ownership with regular updates on production, sales, performance, and unresolved issues. Problem Solving & Proactive Management - Identify potential problems before they affect production, profitability, or customer satisfaction. - Independently resolve issues involving employees, parts, insurance approvals, scheduling, and repair delays. - Take immediate action when problems arise rather than waiting for direction. - Follow through on every issue until it is completely resolved. - Anticipate department needs and implement improvements. - Identify inefficiencies and develop solutions to increase productivity. - Take ownership of department results and maintain accountability for outcomes. Sales & Business Development - Actively work to increase collision repair sales, revenue, and profitability. - Monitor incoming leads, open estimates, pending approvals, and potential repair opportunities. - Ensure consistent follow-up with customers who have received estimates but have not scheduled repairs. - Work with the estimating team to improve estimate-to-repair conversion rates. - Identify missed sales opportunities and take action to recover them. - Develop relationships with insurance representatives, fleet customers, and referral partners. - Maintain a strong pipeline of incoming collision repair work. - Proactively identify opportunities to grow the department and improve business performance. Collision Estimating & Insurance Oversight - Possess a strong understanding of collision repair estimating, supplements, and insurance claim procedures. - Review estimates and understand repair operations, labor times, parts requirements, and repair procedures. - Oversee the estimating team's performance, accuracy, and efficiency. - Identify missing repair operations, supplements, or potential billing discrepancies. - Assist with complex estimates, insurance negotiations, and supplements when necessary. - Ensure estimates and repair plans are accurate and properly documented. - Understand how estimating decisions affect production, revenue, and profitability. Strong collision estimating knowledge is required. Hands-on experience writing estimates is highly preferred and considered a significant advantage. The manager will not be expected to write every estimate, but must have the technical knowledge to understand, review, and oversee the work being estimated and performed. Production & Workflow Management - Oversee the entire repair process from vehicle check-in through final delivery. - Monitor repair progress and ensure vehicles move efficiently through production. - Coordinate work assignments, technician schedules, and production priorities. - Track parts orders, backorders, deliveries, and availability. - Ensure supplements and insurance approvals are handled promptly. - Identify production bottlenecks and eliminate unnecessary delays. - Maintain accurate repair timelines and ensure completion commitments are met. - Ensure vehicles do not sit without progress or a clear next step. - Monitor repair quality and ensure proper repair procedures and safety standards are followed. - Coordinate with estimators, technicians, and other departments to maintain efficient operations. Financial Performance & Profitability - Monitor department revenue, labor productivity, expenses, and gross profitability. - Identify missed billing opportunities, unnecessary expenses, and operational inefficiencies. - Ensure repair orders are properly documented, completed, and invoiced. - Monitor work in progress and maintain accountability for unfinished jobs. - Work toward established monthly sales, production, and profitability goals. - Recommend operational improvements that increase efficiency and financial performance. Customer Service & Communication - Ensure customers receive timely updates and accurate information throughout the repair process. - Resolve escalated customer concerns professionally and efficiently. - Maintain strong communication between customers, estimators, technicians, and insurance companies. - Ensure customer expectations are managed and repair commitments are fulfilled. - Maintain a high level of customer satisfaction and professionalism. Required Qualifications - Previous experience in collision repair management, body shop operations, or a comparable leadership position. - Strong knowledge of collision repair estimating, supplements, insurance claims, and repair procedures. - Hands-on collision estimating experience strongly preferred. - Experience with CCC ONE or similar estimating and shop management software preferred. - Proven ability to manage employees, workflow, productivity, and deadlines. - Strong understanding of body shop operations, parts management, and production processes. - Sales-oriented mindset with experience improving customer conversion and business performance. - Excellent organizational, leadership, and communication skills. - Strong problem-solving abilities and independent decision-making skills. - Ability to manage multiple priorities in a fast-paced environment. - Understanding of collision repair department profitability and financial performance. - I-CAR training or certifications are a plus.
