# Clinic Operations Lead **Spectrum Mind** · Chatham ME4 4HY · `On-site` 🕒 **Статус:** *Опубликовано: 2 дня назад* · *Источник: Indeed* --- ### About the Role Clinic Operations Lead - Spectrum Mind Healthcare Remote | Part-Time | Approximately 5 hours per week initially Potential to increase as the service grows About Spectrum Mind Healthcare Spectrum Mind Healthcare is a specialist mental health and neurodevelopmental healthcare service providing psychiatric assessment and treatment alongside neurodevelopmental assessment and management, including services for attention deficit hyperactivity disorder and autism. As our service continues to grow, we are looking for an experienced Clinic Operations Lead to strengthen our operational systems and help ensure that patients and clinicians receive a responsive, organised and well-coordinated service. The Role This is a hands-on healthcare operations role for someone with experience in United Kingdom healthcare operations or practice management. It is not primarily a diary-management or general administrative position. You will take responsibility for coordinating day-to-day clinic operations, maintaining oversight of patient pathways, supporting the Administrative Team and ensuring that agreed actions are followed through. You will work closely with the Administrative Team and Service Manager, providing operational support and guidance while helping us improve our systems and processes as the service grows. You will attend the weekly Triage Meeting and weekly Multidisciplinary Team Meeting and meet with the Service Manager for supervision as agreed. The position will initially be approximately five hours per week, with scope for hours and responsibilities to increase in line with service demand. Key Responsibilities The role will include: * Overseeing patient enquiries, referrals, bookings and clinician diaries. * Maintaining oversight of patient pathways from referral through assessment, treatment, follow-up and discharge. * Ensuring required follow-up appointments are identified, scheduled and monitored. * Ensuring appropriate reminders and administrative follow-up for appointments and repeat prescription requirements. * Reviewing the daily operational tracker and ensuring outstanding actions are progressed and appropriately closed. * Monitoring new referrals and following up with the Administrative Team to ensure required actions are completed promptly. * Following up directly with patients regarding outstanding administrative or operational matters. * Speaking with patients to understand their experience of the service, including concerns and what has worked well. * Answering and returning patient, professional and service-related telephone calls as required. * Supporting, training and providing operational guidance to members of the Administrative Team as agreed. * Attending and contributing to weekly Triage and Multidisciplinary Team meetings and ensuring relevant operational actions are followed through. * Developing, reviewing and implementing operational procedures and processes. * Supporting the coordination of complaints, incidents and operational escalations in accordance with agreed procedures. * Monitoring service performance and identifying opportunities to improve efficiency, quality and patient experience. * Supporting invoicing, payments, reconciliation and relationships with external service providers. * Working effectively with general practitioners, clinicians, other healthcare professionals and partner organisations. * Using WriteUpp, Zanda or other electronic health record systems effectively and appropriately. * Supporting the safe and efficient transition between electronic health record systems, including continuity of operational workflows and appropriate post-migration checks. About You Relevant United Kingdom healthcare operations or practice-management experience is essential. We are looking for someone who has: * Experience managing patient-facing healthcare operations and patient pathways. * A good understanding of United Kingdom healthcare administration, general practitioner referral pathways and private healthcare processes. * Experience supporting, training or coordinating administrative staff. * Excellent organisational skills and strong attention to detail. * The ability to maintain oversight of multiple outstanding actions and ensure they are followed through. * Confidence making routine operational decisions independently and sound judgement about when matters need to be escalated. * Excellent written and verbal communication skills. * Confidence communicating professionally with patients and healthcare professionals. * The ability to work collaboratively with administrative staff, clinicians and managers. * Confidence using electronic health record or practice-management systems. * The ability to work effectively in a growing service where systems and processes continue to develop. Experience within private mental health, psychiatry or neurodevelopmental services would be a strong advantage. Experience using WriteUpp, Zanda or another electronic health record or practice-management system would also be advantageous. Clinical and Operational Boundaries This is an operational, not clinical, role. Routine operational matters are managed with the Service Manager. Escalate matters requiring clinical oversight, including significant patient-safety concerns, safeguarding matters requiring clinical input, prescribing or medication decisions, and concerns about clinical care, through the appropriate clinical route. The Clinic Operations Lead is responsible for recognising, documenting and escalating clinical concerns but does not provide clinical advice, make treatment decisions or authorise medication or prescriptions. Hours and Working Arrangements The position will initially be contracted for approximately five hours per week. The scope of work will be prioritised and agreed with the Service Manager within the contracted hours. Additional responsibilities will only be introduced where sufficient contracted time is available. There is flexibility regarding how the hours are arranged, subject to operational requirements and attendance at the scheduled: * weekly Triage Meeting; * weekly Multidisciplinary Team Meeting; and * supervision meetings with the Service Manager, as agreed. Hours are expected to increase in line with service demand and operational requirements, with potential for the position to develop into a larger role as the service grows. The appointment is subject to a six-month probationary period.
