JOB DESCRIPTION Position Title: Clinic Manager Department: Clinic Operations Location: Abu Dhabi, UAE Reports To: Management Employment Type: Full-Time Job Purpose The Clinic Manager is responsible for the overall day-to-day management and operational performance of Al Raha Medical Center. The role ensures smooth clinic operations, effective staff coordination, excellent patient experience, regulatory compliance, efficient resource utilization, and achievement of operational and financial objectives. The Clinic Manager will act as the key link between management, medical professionals, administrative staff, patients, suppliers, and external authorities. Key Responsibilities1. Clinic Operations Oversee the daily operations of the medical center and ensure smooth and efficient workflow. Ensure all departments function effectively and maintain appropriate staffing and service coverage. Coordinate doctors' schedules, staff rosters, appointments, and daily clinic activities. Monitor patient flow and minimize waiting times and operational delays. Identify operational issues and implement timely corrective actions. Ensure all clinic policies, procedures, and operational standards are properly implemented. 2. Staff Management Supervise and coordinate medical, nursing, reception, customer service, administrative, and support staff. Prepare and monitor staff schedules, attendance, punctuality, and leave arrangements. Support recruitment, onboarding, orientation, training, and performance evaluation of employees. Set clear performance expectations and monitor individual and departmental KPIs. Address staff performance, disciplinary, and operational issues in coordination with HR and management. Promote teamwork, professionalism, accountability, and a positive workplace environment. 3. Patient Experience & Customer Service Ensure high standards of patient service and satisfaction. Monitor patient complaints, feedback, and service issues and ensure timely resolution. Establish and maintain professional communication standards across the clinic. Monitor appointment management, patient waiting time, follow-up, and overall patient journey. Ensure patient confidentiality and appropriate handling of patient information. 4. DOH & Regulatory Compliance Ensure clinic operations comply with Department of Health – Abu Dhabi (DOH) requirements and applicable UAE healthcare regulations. Maintain readiness for DOH inspections, audits, accreditation activities, and regulatory reviews. Ensure required licenses, registrations, certificates, policies, and compliance documents are maintained and renewed on time. Coordinate with relevant authorities and external agencies when required. Ensure proper implementation of infection control, occupational health, health and safety, emergency, and waste-management requirements. Ensure all staff comply with applicable professional and regulatory requirements. 5. Financial & Business Performance Monitor clinic revenue, expenses, productivity, and operational KPIs. Support management in achieving revenue and business-development targets. Monitor departmental performance and identify opportunities to improve profitability and efficiency. Assist in preparing operational budgets and controlling unnecessary expenditure. Monitor billing, insurance coordination, collections, and other revenue-related processes where applicable. Prepare regular performance reports for management. 6. Inventory & Procurement Monitor availability and appropriate utilization of medical supplies, consumables, office supplies, and equipment. Coordinate with procurement and suppliers to ensure timely availability of required materials. Monitor stock levels, expiry dates, wastage, and proper storage. Support cost-effective purchasing and inventory control. Ensure equipment and medical devices are properly maintained and available for use. 7. Facility & Safety Management Ensure the clinic premises are clean, safe, functional, and maintained to required healthcare standards. Coordinate with maintenance, housekeeping, security, pest-control, and other service providers. Monitor preventive and corrective maintenance of clinic facilities and equipment. Ensure proper medical and general waste segregation and disposal. Conduct regular inspections and ensure identified issues are resolved promptly. Support emergency preparedness and business-continuity requirements. 8. Quality Improvement Monitor service quality and operational performance through KPIs and regular reports. Identify areas for improvement and implement corrective and preventive actions. Maintain proper documentation for audits, inspections, and quality requirements. Encourage continuous improvement in patient care, service delivery, and operational efficiency. Coordinate internal meetings and follow up on agreed action points. 9. Reporting & Administration Prepare daily, weekly, and monthly operational reports as required. Monitor attendance, staffing, patient volume, revenue, complaints, inventory, and other relevant KPIs. Maintain accurate operational records and documentation. Coordinate with HR, Finance, IT, Marketing, Procurement, and other departments. Escalate significant operational, financial, staffing, compliance, or patient-related issues to management. Minimum 3–5 years of experience in healthcare/medical center operations , preferably in the UAE. Previous experience in a Clinic Manager, Medical Center Manager, Operations Manager, or similar supervisory role is preferred. Strong knowledge of UAE healthcare operations and DOH Abu Dhabi requirements . Experience managing multidisciplinary healthcare teams. Knowledge of clinic management systems, EMR, MS Office, and reporting tools. Knowledge of DOH inspections, audits, licensing, and healthcare compliance. Experience with insurance/TPA coordination. Experience in business development, patient retention, or healthcare marketing.
