Job Summary We are seeking a dynamic and strategic Chief Operating Officer (COO) to lead our operational functions and drive organizational excellence. The ideal candidate will possess extensive experience in business operations, strategic management, and executive leadership. The COO reports to the CEO and the Controller at the holding company, Pacific Healthcare Organization, and serves as a key operational partner to both leaders. The COO translates business priorities into action, creates accountability across the organization, and ensures important operational and financial activities are moving forward. Your leadership will be instrumental in optimizing processes, managing budgets, and fostering a culture of continuous improvement. Because Medex, a subsidiary of Pacific Healthcare Organization operates with a small team, this is a hands-on leadership role. The COO must be comfortable moving between high-level business decisions and day-to-day execution, stepping in to solve problems, improve processes, and ensure work gets done. What Success Looks Like The COO brings structure, visibility, and accountability to Medex, a subsidiary of Pacific Healthcare Organization’s operations. The CEO has confidence that day-to-day business matters are being handled, financial and operational processes are under control, employees know what is expected of them, and issues are addressed before they become larger problems. Most importantly, the COO makes the organization easier to run, creating the systems, discipline, and follow-through that allow Medex, a subsidiary of Pacific Healthcare Organization to operate effectively with a small team and continue to grow. Responsibilities Business Operations Oversee the day-to-day operations of the company and maintain visibility across key business activities. Develop and implement operational strategies with the company’s long-term vision and goals. Ensure priorities, responsibilities, deadlines, and deliverables are clearly established and followed through. Identify operational issues and take ownership of resolving them quickly and practically. Establish structure and operating rhythms that keep the organization aligned and accountable. Ensure business processes and administrative functions support the needs of the company and its clients. Strategy & Execution Partner closely with the CEO to translate company goals and priorities into actionable plans. Drive execution of key company initiatives and ensure projects continue moving forward. Help prioritize competing needs and determine where company resources should be focused. Track progress against business goals and provide the CEO with clear visibility into performance, challenges, and risks. Take ownership of cross-functional initiatives that require coordination across the organization. Ensure operational capabilities, service delivery, and client relationships support sustainable revenue growth. Partner with the CEO and internal stakeholders to develop and execute client growth strategies. Identify opportunities to deepen existing client relationships and expand services. Drive sales growth and expansion of Medex client accounts. Sales & Client Growth Financial & Administrative Operations Provide operational oversight of billing, accounts receivable, accounts payable, and other routine financial processes. Work with internal and external accounting resources to ensure accurate and timely financial information. Monitor key financial and operating metrics and identify areas requiring attention. Support budgeting, forecasting, cash flow planning, and expense management in partnership with the CEO and Controller at Pacific Healthcare Organization and other financial resources. Ensure appropriate internal controls, documentation, and approval processes are maintained. Process Improvement & Scalability Evaluate existing workflows and identify opportunities to simplify, automate, or improve processes. Develop practical systems and procedures that create consistency without unnecessary bureaucracy. Ensure critical processes are documented and not dependent on the knowledge of one individual. Identify operational risks and proactively develop solutions. Build processes that work for the company today while preparing Medex, a subsidiary of Pacific Healthcare Organization for future growth. Team Leadership Provide leadership and direction to employees and cross-functional areas as assigned. Establish clear expectations, ownership, and accountability. Ensure employees have the information, tools, and resources needed to be successful. Foster effective communication and collaboration across the organization. Foster a high-performing culture by supervising senior leadership teams, and promoting development. Address performance, communication, or operational issues promptly and constructively. Partner with HR resources on hiring, employee relations, performance management, and other people-related matters as needed. Client & Business Support Help ensure Medex, a subsidiary of Pacific Healthcare Organization, consistently delivers a high level of service to clients and business partners. Identify and resolve operational issues that could affect client service, responsiveness, or business relationships. Oversee an support the implementation and ongoing management of new clients, services, or business development initiatives. Work across the organization to ensure client commitments are understood and delivered. CEO Partnership Serve as a trusted operational partner and sounding board to the CEO Anticipate business needs, surface issues early, and bring recommended solutions rather than simply identifying problems. Help determine what requires the CEO’s involvement and what can be independently owned and resolved. Provide reliable follow-through on decisions and commitments. Create greater capacity for the CEO by taking ownership of the operational management of the business. Requirements Must be located in Southern California Proven experience in operational excellence initiatives, change management, and ability to turn strategy to execution. Strong background in business development management, strategic planning, and business operations. Ability to operate effectively with limited resources Demonstrated expertise in budget management, forecasting, financial analysis, and profit/loss oversight at an executive level. 8-10 years of professional/ operational experience 3-5 years experience in project management, process improvement, and operational analysis experience in the Managed Care industry or similar is preferred. . Exceptional verbal communication skills with executives and senior leadership teams. Leadership experience supervising diverse teams with a focus on operational management and management development. Proficiency in data-driven decision making to inform strategic initiatives and optimize performance outcomes. Highly organized with exceptional follow-through and attention to detail. Bachelor's degree in Business Administration, Finance, Healthcare Management or related field; advanced degrees or relevant certifications are preferred.
