Position Overview

The Chief Financial Officer (CFO) leads financial management and organizational operations for Jacob’s Heart. Reporting directly to the CEO, the CFO oversees financial reporting, budgeting, cash management, accounting, internal controls, audit readiness, facilities, technology, contracts, and operational systems. As a strategic partner to the CEO and Board, the CFO works alongside the Finance Committee Chair to lead the Finance Committee and provide financial guidance. The CFO also brings expertise in financial markets, investment strategies, and portfolio management, identifying opportunities to maximize organizational assets and strengthen long-term financial sustainability while maintaining responsible financial stewardship. This position coordinates with the organization’s external HR/payroll contractor without replacing that function.

Core Responsibilities — Finance

●Lead annual operating and capital budgeting, multi-year financial planning, scenario analysis and department budget development with the CEO and program leaders.

●Produce accurate monthly financial statements, budget-to-actual reports, variance

explanations, cash-flow forecasts and executive/Board dashboards on a predictable

schedule.

●Oversee general ledger, accounts payable/receivable, billing, reconciliations, banking,

grant restrictions and financial close processes, including the work of finance and

billing personnel or vendors.

●Track care management, counseling and transportation reimbursement revenue,

including billing accuracy, collections, aging receivables and realistic realization

assumptions.

●Maintain effective internal controls, segregation of duties, purchasing authority,

documentation, fraud prevention and timely bank reconciliations.

●Coordinate annual audit, tax filings, financial reporting, funder financial documentation

and appropriate nonprofit financial compliance with auditors and advisors.

●Oversee cash reserves, liquidity, investment reporting and financial risk in

collaboration with the CEO, Board Treasurer, and relevant committees.

●Partner with the CDO to reconcile fundraising records, restricted gifts, pledges, grant

revenue, deposits and donor reporting to accounting records.

Core Responsibilities — Operations

●Oversee facilities, leases, maintenance, vendors, procurement, insurance, organizational

contracts, physical security and workplace infrastructure.

●Oversee IT systems, access controls, technology vendors, equipment planning,

cybersecurity coordination and business continuity procedures.

●Establish consistent administrative processes, document retention, operational

policies and vendor performance expectations.

●Manage assigned Finance and Operations personnel and vendors; provide coaching,

work plans, performance feedback, and cross-training.

●Work with the leadership team to identify operational efficiencies, manage organizational

risk, and support responsible service delivery.

●Coordinate with the contracted HR/payroll representative on payroll funding, payroll

reconciliations, benefit costs, budget implications and financial compliance.

HR Governance and Boundaries

●HR responsibilities remain with the contracted HR and payroll representative

responsible for HR services and payroll administration.

●The CEO retains executive oversight of HR, employee relations and personnel

decisions; the CFO does not independently assume HR case management or payroll

processing.

●The CFO coordinates financial and operational inputs with the HR contractor, including

payroll expense reconciliation, budgeting, benefits cost analysis and audit support.

●Clinical program leadership, family services and fundraising strategy remain with their

respective leaders.

Measures of Success

●Accurate and timely monthly closes, financial statements, budget-to-actual analysis and

Board reporting.

●Cash-flow forecast reliability, reimbursement collections, accounts-receivable aging and

liquidity visibility.

●Clean audit preparation, timely filings, effective internal controls and documented

corrective actions.

●Budget compliance, purchasing oversight, cost management and transparent financial

decision support.

●Reliable facilities and IT operations, vendor accountability and clear continuity/security

procedures.

Qualifications

●At least three years of progressively responsible relevant experience, including at

least two years managing teams.

●Demonstrated ability to lead cross-functional priorities, manage complex budgets

and communicate clearly with executives and boards.

●Strong nonprofit accounting, financial planning, internal controls, audit and financial

reporting experience; familiarity with restricted contributions and reimbursement billing.

●Experience overseeing operational functions such as facilities, IT, vendors and

organizational risk; CPA or advanced finance credential preferred, not required.

●Excellent judgment, confidentiality, collaboration and commitment to equitable,

family-centered service.

●Bachelor’s degree or equivalent relevant experience; advanced education or

professional certification welcomed.

●Ability to attend occasional evening or weekend events or meetings as required.
