Centre Manager
Imoxis (a boutique high end serviced office provider) is currently managing 3 buildings (Centres) as serviced offices in London Victoria close to St James Park tube station. A recently renovated large Art Deco building with approximately 30 units (600 workstation), an exceptional Grade II listed building with approximately 15 units (300 workstations) and a Victorian house turned into offices with 8 units (60 workstations). To meet the company standard of high-level customer service, customer satisfaction, and expectations and requirements of the customer and the Company, is the main focus of the role. Working within a team of customer care providers, working closely with AM of the Centre to ensure teams are managed daily and in conjunction with the General Manager for the development of the team and to ensure profitability of the business unit, company, Centre goals and personal objectives. These include, but not exhaustive of training plan and training systems o Involvement in inducting new team members o Liaising with the Area Manager on team member development, training and behaviours o Ensure that all teams adhere to the Policies and Procedures of the Company o Conduct and attend regular one-to-one review meetings with the team with feedback to the GM. o Liaise with the team daily with regards to the day-to-day operations of the building. · Provide ongoing support to the AM o Essential daily contact and support to the AM to include duty of care in relation to the team development and wellbeing, client support and care and all suppliers of the Company and day to day management of the building. Opening, daily running and closing up of the centre o Ensure the reception area always looks and runs professionally. o Ensure that reception meets the needs and expectations of clients and their visitors. o Ensure security procedures are always maintained. o Ensure Conference and Meeting Rooms are to a high standard in all areas of the provision, and training of the AV equipment has been conducted. o Ensure that all issues have been attended to in a timely manner, with progress and a record of the outcome to include response times to all requests o Ensure general housekeeping checks to all floors, tea points and toilets are conducted to maintain a high level of cleanliness and ensure fully stocked tea points to include all Health & Safety elements, daily, weekly, monthly o Oversee Show office check regularly with the team to ensure the highest standards are obtained. Client Services o Ensure all team members have regular contact at appropriate level, in the appropriate format with clients o Ensure building is always of a high standard. o Involvement in client move in and move out procedures and full completion of associated paperwork. o Ensure preparation and maintenance of client files to the company standard o Aid in client retention through the company customer care policies o Dealing with client enquiries and acting in a timely fashion, overseeing team dealing with day-to-day enquiries o Secretarial and administrative duties as and when required o Ensure turnaround of vacant offices within the company timescales and company standard o Build awareness of clients’ business with all team members to promote business awareness o Ensure all emails are sent in a timely manner to clients. General to include Administration, Building Protocol and Activities o Implement and adhere to all company policies and procedures o Monthly cleaning with the cleaning supervisor to ensure a smooth operation. o Responsible for, and not exhaustive of, all daily H & S implementation within the teams to include Weekly Fire Testing etc. o Checking and overseeing the maintenance list with the team to ensure it is updated regularly. o A ‘hands on role’ to include working closely with the Centre team and also working closely with the AM and General Manager (GM) o Include general filing, word processing, delivery notes and purchase orders and any other administration required for the role o Ensure cost control and revenue generation in relation to all building items o Involvement in various business and Centre audits o Attend regular company meetings – weekly/monthly o Involvement in regular reporting as required o Conducting receptionist and front of house tasks where necessary Finance o Overseeing preparation of information for the monthly billing process o Liaising with the AM in maintaining budgetary control through P & L o Overseeing building credit card use and payment records Sales and Marketing o Assist or conduct Centre viewings with introduction of team members in accordance with the company initiative o Ensure full hand over of information to the sales team within expected timescales o Ensure the team and self are fully trained and confident to conduct sales viewings o Ensure all team and self have suitable company product knowledge o Understanding of the Company License Agreement including the T & C’s and special conditions / requests IT support o Include setting up client connectivity, handsets and provide support where necessary o Ensure all the team and self have full product knowledge for on-site equipment o Involvement of Centre audit in relation to IT and telecoms o Full knowledge of IT/telecom systems Quarterly team meetings o These are held outside of normal office hours and will require your involvement, which include attendance, presentation and preparation Health & Safety o To ensure that the company’s Health & Safety Policies and Procedures are adhered to and ensure that they are followed in line with the employees’ responsibilities. o Taking reasonable care by adopting the safe working practices given to them in either written or verbal communication, such that they do not put themselves, fellow employees, clients or visitors at risk. o Duty of care for all business users. General Responsibilities o Understand and comply with all relevant company rules, agreements, policies and procedures. o Conduct yourself, always, in a professional and responsible manner, promoting a good and proper image in accordance with company standard.
