This is not a traditional administrative assistant role. You will work closely with business leaders and operational teams to understand what is actually happening across projects and day-to-day operations, identify gaps or risks, and ensure agreed actions are followed through to measurable completion. The role requires someone who can work confidently with multiple stakeholders, challenge unclear information constructively, and turn complex operational issues into clear actions, owners, deadlines and outcomes. Key ResponsibilitiesBusiness Operations & Execution Monitoring Monitor key business activities, projects and operational priorities to ensure agreed plans are being executed effectively. Review progress against key milestones, management decisions and agreed deliverables. Validate reported completion against supporting information, data or agreed acceptance criteria where appropriate. Identify execution gaps, delays, inconsistencies and operational risks and ensure appropriate follow-up. Support reviews of onboarding, training and other operational processes to ensure agreed standards are implemented. Action Tracking & Issue Resolution Maintain structured action and issue trackers covering owners, deadlines, status, dependencies, risks and expected deliverables. Proactively follow up on overdue or incomplete actions. Identify blockers and work with relevant stakeholders to establish practical solutions and next steps. Verify that actions have been completed to the required standard before closure. Maintain clear documentation and an appropriate audit trail of decisions, actions and outcomes. Meeting & Decision Follow-Through Attend business and management meetings and accurately capture decisions, actions, owners, deadlines and risks. Translate meeting outcomes into clear action plans and tracking mechanisms. Monitor upcoming deadlines and proactively escalate delayed, unclear or at-risk deliverables. Ensure decisions are converted into accountable and measurable actions. Reporting & Data Validation Review daily, weekly, monthly and ad hoc business reports for completeness, consistency and accuracy. Cross-check information against relevant business data, historical records, meeting notes and project updates where necessary. Identify inconsistencies, missing information or unresolved issues and follow through to clarification. Produce concise management summaries highlighting key issues, causes, impact, ownership, progress and recommended next steps. Cross-Functional Project Coordination Coordinate initiatives involving multiple teams and stakeholders. Clarify ownership, responsibilities, dependencies and delivery timelines. Facilitate resolution where responsibilities are unclear or teams are dependent on one another. Work with stakeholders to ensure cross-functional issues progress from identification through to resolution. Risk Identification & Escalation Proactively identify operational risks, including project delays, data inconsistencies, process gaps, recurring issues and unresolved dependencies. Assess the urgency and potential business impact of identified issues. Escalate significant risks to the appropriate management level in a timely manner. Track agreed corrective actions through to completion. Management Information & Operational Support Prepare concise, decision-ready updates for management. Support management communications, process implementation and operational initiatives. Coordinate selected recruitment, onboarding, training and people-related operational activities where required. Maintain organised records, documentation and project materials. Support ad hoc projects and new initiatives where processes may not yet be fully established. Essential Requirements Bachelor's degree or equivalent professional experience. At least 3 years of relevant experience in Business Operations, Project Coordination, PMO, Strategy & Operations, Business Analysis, SaaS/Technology Operations, Commercial Operations or a related field. Strong analytical and structured thinking skills, with the ability to understand complex business processes and identify inconsistencies or gaps. Proven ability to manage multiple workstreams, actions and deadlines simultaneously. Strong ownership and follow-through, with a results-focused approach. Confidence in following up with stakeholders and constructively challenging incomplete or unclear information. Excellent written communication skills, with experience producing meeting notes, management reports, project updates or risk summaries. Strong working knowledge of Excel / Google Sheets and common collaboration or project management tools. Comfortable using AI tools to support information processing, analysis, documentation and productivity. High level of professionalism, discretion and confidentiality. Comfortable collaborating across teams and time zones, including UK and China-based stakeholders where required. Legal right to work in the UK. Desirable Experience Experience within technology, SaaS, AdTech, MarTech, digital platforms or other fast-paced business environments. Previous experience in PMO, business governance, operational assurance or management reporting. Experience supporting senior management or working across multiple business functions. Experience building action trackers, project governance processes or operational review mechanisms. Experience using data to validate operational performance and identify issues.
