Job Overview We are seeking a dynamic and strategic Business Operations Manager to lead and optimize our organizational processes. The Business Operations Manager is responsible for overseeing the daily operations, non-clinical customer service staff leadership, and patient flow for the La Grange and Lombard dermatology practices. As a member of the Leadership Team, this role drives efficiency, compliance, and practice growth while serving as a key liaison between staff, providers, and executive leadership. Responsibilities Leadership & EOS Strategy: Leadership Team Member: Serve as an active member of the Leadership Team to help steer the strategic direction of the company. Attend and actively participate in weekly L10 meetings to solve issues, track progress, and ensure organizational alignment. Provide consistent, high-level feedback to CEO regarding clinical health, staff morale, and operational hurdles. Set and track quarterly goals (Rocks) for self and direct reports. Staffing & Scheduling: Staff Supervision: Directly oversee Office Managers Customer Service (Administrative) teams across all locations. Scheduling: Create and manage the Customer Service team including coordinating daily coverage and handling any scheduling changes. Management Presence & Coverage: Coordinate a rotating leadership schedule to ensure management presence is maintained across locations during all clinical hours, coverage hours could be between the hours of 7:00 AM – 7:00 PM Monday – Thursday and 7:00 AM – 5:00PM Fridays Practice Operations & Patient Flow: Oversee day-to-day operations to ensure efficient, effective, and consistent clinic performance. Manage office and patient flow to optimize provider schedules, room utilization, and patient experience. Monitor and report on KPIs such as patient wait times, no-show rates, room utilization, and staffing ratios. Identify operational challenges and implement solutions to improve efficiency and service quality. Provide hands-on assistance where needed to support clinic operations and maintain flow. Primary site is La Grange with occasional travel to Lombard, Skokie, and Gurnee Compliance & Regulatory Oversight: Maintain compliance with all regulatory requirements (HIPAA, OSHA, State regulations, and ISMIE). Responsible for development, implementation, and updating policies and procedures relating to non-clinical workflow for all locations, as needed. Prepare for audits, inspections, and regulatory reviews. Oversee implementation and optimization of Nextech, Health IPass, and other SJH Derm technologies. Coordinate equipment repairs and service work alongside the Facilities Manager. Oversee inventory levels for medical, surgical, and office supplies in the Facilities Manager's absence or when assistance is needed. Other duties as assigned. Requirements & Qualifications: Bachelor’s degree in healthcare administration, Business Administration, Management or a related field required. Minimum of 5 years of healthcare operations or medical practice management experience preferred. Dermatology experience strongly preferred. Prior experience supervising teams required. Skills Strong understanding of medical scheduling workflows, patient flow optimization, and revenue-impacting operational metrics. Strong knowledge of healthcare regulatory requirements including HIPAA, OSHA, , and state regulations. Demonstrated ability to manage multi-site operations and maintain high-performance standards. Experience with electronic health record systems (Nextech experience preferred). Proven leadership skills with the ability to coach, develop, and hold team members accountable.
