Business Operations Manager
J&R Marketing is a marketing, branding, print, and media agency in Smithfield, and we are hiring someone to run the operation. Right now the owner handles the people side, the back office, and the finances alongside sales and client work, and every major operational decision in this company routes through one person. That is the constraint on this business, and this role exists to remove it. This is a new position. We are expanding our operations function. You will report directly to the owner. What you own The team. Hiring, onboarding, performance, coaching, write-ups, attendance, raises, reviews, and the decision to let someone go when it comes to that. You own how people are held accountable here and you own the hard conversations. Department leads keep running their own teams day to day, and you work alongside them on it. When something needs a write-up, a raise, or a difficult conversation, you decide how involved you are, whether that means coaching a manager through it, sitting in, or making the call yourself. You have the final say. Part of this job is making our managers better at managing, and helping the people under them grow into leads and managers themselves. The financial operation . Weekly payroll, contractor and vendor payments, expense categorization, sales tax, rent and credit cards, benefits administration, and accountant coordination. There is a documented 59-task operating map for this function and a retiring finance manager available to train you against it. A part-time bookkeeper handles monthly review and independent checks. The financial rhythm . A standing weekly meeting with the owner and a monthly review of the numbers. Week to week, you are the one deciding what gets paid and when, what can wait, and what needs to be collected to close a gap. Beyond that, we want someone who looks at the numbers and comes back with moves. Better financing, grants we qualify for, where the next dollar should go, where we are leaving money on the table. We want someone who walks in with a recommendation and a reason behind it, not just a report. Collections . You will own the collections process, including building it out properly. There is meaningful collectible receivable sitting across a handful of relationships right now. Vendors and distributors . Payables visibility, terms, new product relationships, and holding vendors to what they committed to. Process and structure. We have real systems in place and a lot of our work is already documented, and we have put serious effort into process improvement over the past year. What we need now is someone who can look across all of it and decide what is working, what needs to be rebuilt, and what does not exist yet. You will refine what is there, build what is missing, and hold people to it once it is written down. What we mean by managing We are saying this plainly because we have learned that assuming it is expensive. Managing here means regular one-on-ones, not check-ins when something breaks. It means bringing commitments to the table and following up on them. It means addressing a miss the first time it happens, visibly, without making it personal. And it means diagnosing correctly when someone falls short: did they know what was expected, did they know how to do it, or was there no explainable reason. Three different problems, three different fixes. A weekly leadership meeting with tracked commitments and a built-in accountability structure. The framework is designed. You are the one who launches it and makes it real. If you have managed by supervising rather than developing, this will be uncomfortable. That is intentional. What this is not You are not the front desk. There is a separate seat for phones, walk-ins, and the showroom. You are also not walking into a rescue. Revenue is at a three-year high, margins are improving, and we have spent the past year restructuring our services and adding new ones. What we have not done is take outside money. J&R is owner operated and has grown on its own cash, which means we have been deliberate about what we take on. The next chapter is a real decision. We either keep growing organically or we bring in outside investment to move faster. You are in that conversation, and you are the one preparing the numbers and the reasoning behind whichever way it goes. Where this grows This function grows until people report directly into it. The first hire underneath this role is already anticipated. Scope, authority, and compensation grow with what you take on. What we are looking for Real experience managing people and running a back office, finance operation, or business operations function in a small business or agency. You do not need to be an accountant, and we have one. You do need to be comfortable enough with numbers to read a P&L and tell someone what it means. Beyond the resume we are hiring for judgment, consistency, and punctuality, and we weight those above credentials. This role carries hard deadlines that cannot slip alongside a constant stream of things that come up. The person who works straight down a task list will fail here, and so will the person who only handles what is urgent. About J&R Marketing We are a full-service agency handling branding, websites, digital marketing, custom apparel and promotional products, and video and photo production for clients across New England and beyond. We have a studio, a showroom, a warehouse, and production running here and at two other Rhode Island locations, plus a long list of vendors and partners behind it. The work runs through this office every day, and so do the people. Some are new clients who found us last week. Some have worked with us for fifteen years and walk in like they own the place.
