You will act as a key operational partner to the department head, helping ensure the team has the right processes, reporting, systems, operating rhythm and accountability in place. Your role is to bring structure to the day-to-day operation, identify what is not working, coordinate the right people to fix it, and make sure improvements are implemented and sustained. You will initially be embedded within Delivery & Operations , supporting the team that takes a signed solar-and-battery customer through site review, scheduling, installation and rebate. As the business grows, you may be deployed across other departments where stronger operational structure, reporting and process discipline are required. The role is primarily focused on business operations and continuous improvement , with CRM and business systems knowledge being an important advantage . This is a hands-on individual contributor role with significant cross-functional exposure. How We Work This is not a traditional corporate operations environment. We move quickly. Products, pricing, booking rules, customer journeys and internal processes can change within days. Decisions are often made in a huddle and acted on the same day. Much of our work runs through platforms such as HubSpot, NetSuite, Lark and Microsoft Teams , rather than lengthy meetings and paperwork. You should be comfortable working with incomplete information, understanding how different parts of the business connect, building practical solutions quickly and adjusting when new information becomes available. If you enjoy reviewing a process in the morning, building a dashboard in the afternoon and using AI tools to improve how the team works, you will fit well into this environment. Key Responsibilities1. Business Operations & Department Performance - Work closely with the department head to understand business priorities, operational challenges and performance gaps. - Translate business priorities into clear operational actions, owners and timelines. - Monitor the department's day-to-day performance and identify bottlenecks, inefficiencies and recurring issues. - Establish practical processes and operating standards that help the team work consistently and efficiently. - Identify dependencies between teams and coordinate actions required to keep operations moving. - Proactively raise operational risks, issues and opportunities to the department head. - Help the department head spend less time chasing execution and more time on strategy and business decisions. 2. Reporting, Dashboards & Business Insights - Own the department's regular operational reporting, dashboards and performance metrics. - Consolidate information from CRM, business systems and other operational sources. - Ensure reports are accurate, timely and relevant to business decisions. - Monitor key operational metrics and identify trends, anomalies, bottlenecks and performance gaps. - Turn operational data into clear insights and practical recommendations. - Continuously improve reporting structures as business priorities and processes evolve. - Ensure leaders have the information they need before they have to ask for it. 3. Operating Rhythm & Execution - Help establish and maintain the department's operating cadence. - Coordinate daily huddles, weekly operational reviews and other business meetings. - Prepare agendas, reports, dashboards and discussion materials. - Track decisions, action items, owners and deadlines. - Follow up with stakeholders to ensure agreed actions are completed. - Escalate overdue actions, blockers and operational risks before they become larger problems. - Maintain visibility of key priorities and ensure execution stays aligned with business objectives. 4. Process Improvement & SOP Management - Review existing business processes and identify opportunities to improve efficiency, quality and customer experience. - Map and document current and future-state processes. - Own and maintain the department's SOP and process documentation library. - Create practical, easy-to-follow documentation for operational processes and system workflows. - Ensure process changes are reflected in relevant SOPs and team documentation. - Coordinate team briefings and implementation activities when processes change. - Monitor whether new processes are actually being followed and identify where further improvements are required. 5. Continuous Improvement & Project Delivery - Maintain the department's improvement and project register. - Turn operational problems into clearly defined improvement initiatives with clear scope, owners, timelines and success measures. - Coordinate cross-functional projects from planning through implementation and adoption. - Work with stakeholders across Operations, Sales, Customer Service, IT, Finance, Marketing and other functions where required. - Track project progress, risks, dependencies and outcomes. - Measure whether implemented changes have delivered the intended operational improvement. - Conduct post-implementation reviews, including approximately 60 days after implementation where appropriate. - Identify additional improvements based on performance data and stakeholder feedback. 6. Business Systems & CRM Operations - Understand how the department's CRM and business systems support the overall operation . - Work with system owners and IT to ensure systems reflect actual business processes and requirements. - Identify gaps in CRM workflows, data structures, reporting and system processes. - Translate operational requirements into clear system requirements and specifications. - Partner with IT or system administrators to implement system improvements. - Monitor data quality and identify issues that may affect reporting, customer experience or operational performance. - Help ensure CRM processes, pipelines, stages, fields and workflows support the department's operating model. - Look for opportunities to reduce manual work through better systems, automation and workflow design. You do not need to be a technical CRM administrator or developer. The key requirement is understanding how CRM and business systems should support business operations. 7. Cross-Functional Coordination - Act as a bridge between the department head, operations teams, IT and other business functions. - Coordinate dependencies across teams and ensure responsibilities are clearly assigned. - Remove or escalate blockers that prevent projects or operational initiatives from progressing. - Ensure stakeholders understand what needs to happen, who owns it and when it needs to be completed. - Communicate operational changes clearly and keep initiatives moving without unnecessary bureaucracy. What You Will NOT Do This role focuses on business operations, process improvement, reporting, systems and execution , rather than frontline management or technical system administration. You will not: - Directly manage or supervise employees. Team Leads and Managers remain responsible for people management. - Act as the technical administrator or developer of business systems. IT/System Administrators handle technical configuration and development. - Take customer calls, close sales or book installations as your primary responsibility. - Replace functional specialists or frontline operational teams. - Own every operational task within the department. - Wait for perfect information before taking action. Required Qualifications & Experience - 3+ years of experience in business operations, operations management, business analysis, process improvement, project coordination, sales operations, revenue operations or a similar role. - Experience working in a BPO, shared-services, e-commerce, technology, renewable energy or fast-growing business environment is highly relevant. - Demonstrated experience improving business processes, operational workflows or team efficiency. - Experience creating or maintaining operational reports, dashboards and performance metrics . - Strong analytical and problem-solving skills, with the ability to identify the root cause of operational issues. - Strong process documentation and SOP-writing skills. - Strong written and verbal English communication skills, with the ability to communicate directly with Australian stakeholders. - Demonstrated ability to coordinate people and teams without direct authority . - Strong project coordination and follow-through skills. - Ability to translate business problems into practical solutions and actionable plans. - Comfortable working with incomplete information and making practical, data-informed decisions. - Strong attention to detail while maintaining an understanding of the broader business operation. - Comfortable working Australian business hours and collaborating with stakeholders across time zones. CRM & Systems Experience Experience with CRM or business systems is highly desirable , particularly: - Experience working with HubSpot, Salesforce or another CRM platform . - Understanding of CRM pipelines, stages, fields, workflows and data structures. - Experience creating or maintaining CRM reports and dashboards. - Experience identifying CRM or system gaps based on business requirements. - Ability to work with IT/System Administrators to translate operational requirements into system improvements. - Understanding of how CRM data connects with sales, customer service and operational processes. Hands-on HubSpot administration is an advantage, but this is not primarily a CRM Administrator role. Nice to Have Experience in any of the following would be an advantage: - Solar, renewable energy or electrical industries. - Installation, field-service or scheduling operations. - E-commerce operations. - Sales or customer service operations. - HubSpot administration, workflow design or advanced reporting. - NetSuite or Lark. - Workforce management, quality assurance or operational performance. - Process improvement, business transformation or operational excellence. - Automation and workflow improvement. - AI tools for research, analysis, reporting, documentation or process improvement. You will know you are succeeding when: - Leaders have accurate operational information before they ask for it. - Key processes have clear owners, standards and documentation. - Operational bottlenecks are identified and addressed proactively. - Dashboards and reports clearly show what is happening in the business. - Teams have a consistent operating rhythm and clear priorities. - Cross-functional projects move forward with clear accountability. - Process and system changes are implemented and adopted successfully. - CRM and business systems accurately support the way the operation works. - Manual and repetitive processes are progressively reduced. - Improvement projects move from problem → solution → implementation → adoption → measurable result . - The department head spends less time chasing information and execution and more time on strategy, decisions and performance.
