Brokerage Operations & Listings Manager
ABOUT THE OPPORTUNITY
Aurora Group is process to launch a boutique Dubai real estate brokerage as part of an existing property-services ecosystem covering holiday-home management, furnishing and interior setup, cleaning and property operations.
We are hiring a hands-on Real Estate Brokerage Operations Manager to control the operational structure of the new brokerage.
This is not a general office-administration or receptionist position. The successful candidate will be responsible for ensuring that listings, permits, CRM records, transaction files, commission calculations and agent workflows are accurate, complete and properly controlled.
You will work directly with the Head of Real Estate Brokerage and have reporting access to the Group CEO and group finance function.
THE MANDATE
You will be responsible for managing the brokerage’s operational workflow.
Your responsibilities will include:
- Establish and maintain standard operating procedures for listings, lead management, transactions, commissions and document control.
- Create, verify, publish and maintain property listings across Bayut, Dubizzle and other approved portals.
- Monitor listing quality, permit validity, expiry dates, availability, duplication and portal-credit consumption.
- Prepare and coordinate Trakheesi advertising permits and applicable RERA Forms A, B, F and I.
- Ensure that no listing is published and no transaction progresses without the required owner, property, adviser and client documentation.
- Maintain accurate owner, property, buyer, seller and adviser records in the brokerage CRM.
- Control lead-source classification, duplicate records, lead assignments, reassignment history and next-action visibility.
- Coordinate developer registrations, project information, inventory updates, payment plans, floor plans and launch materials.
- Support advisers with viewing coordination, offer documentation, booking forms, sales progression and transaction follow-up.
- Maintain complete and auditable transaction files from initial instruction through commission collection.
- Prepare commission calculations and collected-revenue statements for review and approval by leadership and finance.
- Track pending commission, expected collection dates, referral fees, approved rebates and adviser payouts.
- Support the onboarding of brokers, including document collection, RERA-card coordination, system access and policy acknowledgement.
- Maintain calendars for expiring permits, broker cards, employment documents, contracts and listings.
- Collect required KYC documentation and maintain AML checklists, escalating exceptions to the designated compliance officer.
- Produce weekly reports covering listings, leads, pipeline status, missing documentation, expected commission, collected revenue and operational risks.
WHAT SUCCESS LOOKS LIKE
During the first 30 days, you will be expected to document the complete brokerage workflow, configure the operational CRM structure, create listing and transaction checklists and establish expiry and document controls.
By day 60, listings, leads, adviser activity, developer registrations and transaction files should be operating through consistent and auditable processes.
By day 90, management should have reliable visibility over listing performance, portal-credit consumption, pipeline quality, expected collections, collected commission and outstanding compliance matters.
WHO WE ARE LOOKING FOR
You should have:
- A minimum of three years of hands-on experience in Dubai real estate brokerage operations, listings or transaction administration.
- Practical working knowledge of Trakheesi, DLD/RERA documentation and Forms A, B, F and I.
- Direct experience using the administrative systems of Bayut, Dubizzle and/or Property Finder.
- Experience working with a real estate CRM and maintaining accurate lead, listing and transaction data.
- Strong knowledge of Dubai off-plan and secondary-market transaction workflows.
- Strong Excel or Google Sheets capability.
- Excellent written and spoken English.
- The confidence to reject incomplete documentation and enforce process with experienced brokers and senior management.
- Exceptional attention to detail and the ability to manage several transactions, listings and deadlines simultaneously.
We are not looking for a general administrator who has occasionally supported a real estate company. We require someone who has personally operated Dubai brokerage systems and understands the consequences of inaccurate listings, missing permits, incomplete transaction files and incorrect commission calculations.
