Properties are a diverse portfolio of office buildings, retail properties, RV parks, ranches, single-family rentals, vacant land, and development sites. We have grown rapidly since inception almost doubling our size every few years and working on bringing all services related to acquisition and Property Management under one umbrella. We are looking for a highly organized, proactive, and detail-oriented Assistant Property Manager to help oversee day-to-day property operations and protect the condition and value of our portfolio. This is a hands-on position that combines office coordination with regular property visits. The right person will enjoy solving problems, communicating with tenants and vendors, keeping projects moving, and making sure commitments are fulfilled. We are looking for someone who takes initiative, exercises good judgment, and follows through without needing constant reminders. Direct property management experience is helpful, but we are willing to train the right candidate who demonstrates strong organizational skills, communication, accountability, and problem-solving ability. Key Responsibilities Property Operations and Inspections - Conduct regular visits to properties throughout the Austin area to monitor conditions, identify maintenance needs, and ensure properties are being properly maintained. - Maintain an organized schedule of property visits and inspections tailored to the type, condition, and needs of each property. - Document inspections with photos, notes, and clearly identified follow-up items. - Identify potential problems such as deferred maintenance, safety concerns, drainage issues, overgrowth, property damage, unauthorized use, and other conditions requiring attention. - Coordinate corrective action and verify that identified issues are addressed. - Monitor the condition of buildings, common areas, grounds, vacant land, development sites, and ranch properties. Tenant and Resident Communication - Serve as a primary point of contact for routine property-related questions, maintenance requests, and tenant concerns. - Communicate professionally and promptly with residential tenants, commercial tenants, and RV park residents. - Acknowledge requests, set expectations, provide updates, and follow through until issues are resolved or appropriately escalated. - Handle complaints and difficult conversations calmly and professionally. - Maintain accurate records of communications, commitments, and resolutions. - Recognize when a matter requires management involvement and escalate it promptly. Maintenance and Vendor Coordination - Coordinate routine, preventative, and emergency maintenance across the portfolio. - Schedule vendors, obtain estimates, compare proposals, arrange property access, and monitor progress. - Maintain relationships with reliable contractors and service providers, including plumbers, electricians, HVAC technicians, landscapers, handymen, and other trades. - Follow up proactively when vendors miss deadlines, fail to respond, or do not complete work as promised. - Verify completion through site visits, photos, service reports, or confirmation from the appropriate party. - Review invoices against approved estimates and completed work; flag discrepancies before payment. - Track recurring maintenance problems and recommend preventative solutions. - Authorize routine work only within established spending limits and approval procedures. Property-Specific Responsibilities - Office and retail buildings: Monitor building conditions, coordinate repairs and common-area maintenance, and respond to tenant concerns. - RV parks: Monitor site conditions, common areas, grounds, maintenance needs, and recurring resident concerns. - Single-family rentals and ranches: Coordinate repairs and inspections, monitor property condition, and follow up on maintenance needs. - Vacant land and development sites: Monitor access, vegetation, fencing, dumping, trespassing, drainage, and other visible property concerns; coordinate approved upkeep and report changes in site conditions. Organization, Tracking, and Follow-Through - Maintain a centralized tracking system for open maintenance requests, property issues, inspections, vendor commitments, and upcoming deadlines. - Ensure every outstanding item has a clearly documented next step, responsible party, priority, and target date. - Follow up consistently until work is completed, verified, documented, and communicated to the appropriate people. - Keep property records, inspection reports, photos, vendor information, estimates, and invoices organized. - Provide concise weekly updates to ownership covering completed work, open issues, upcoming activities, budget concerns, and decisions needed. - Notify management early when deadlines are at risk or additional resources or approvals may be required. - Identify opportunities to improve systems, prevent recurring issues, and reduce unnecessary costs. General Administrative Support - Assist with organizing property-related invoices, expense records, vendor documentation, and maintenance budgets. - Maintain accurate property contact lists and vendor records. - Coordinate property access for contractors, inspectors, consultants, and other authorized visitors. - Work with the employee responsible for leasing to ensure property-related issues and tenant information are communicated appropriately. - Support other property operations projects as assigned. Decision-Making and Accountability The Assistant Property Manager will be expected to handle routine operational issues independently within established budgets, procedures, and authority limits. The employee should bring management a recommended solution when an issue requires approval, rather than simply reporting a problem. Significant expenditures, unusual tenant disputes, legal matters, potential safety risks, and other exceptions must be escalated promptly. Qualifications - Strong organizational skills and exceptional attention to detail. - Excellent written and verbal communication skills. - Demonstrated follow-through and personal accountability. - Ability to take initiative and solve problems independently. - Good judgment when prioritizing competing demands. - Confidence communicating with tenants, vendors, contractors, and management. - Comfortable using email, spreadsheets, digital task trackers, and mobile applications. - Ability to work independently while keeping management appropriately informed. - Valid driver's license, reliable transportation, and willingness to travel regularly to properties in the Austin area. Prior experience in property management, facilities coordination, maintenance coordination, vendor management, field operations, or customer service is preferred but not required. Training will be provided on company procedures and property-specific requirements. The Ideal Candidate You are organized, dependable, resourceful, and proactive. You write things down, keep track of commitments, communicate before someone has to ask, and follow through until the job is done. You are comfortable balancing office work with property visits, handling multiple priorities, coordinating people and projects, and addressing problems professionally. You do not need constant direction to stay productive, and you know when to make a decision yourself and when to ask for approval. Most importantly, you take ownership. When something goes wrong, you focus on finding a solution, keeping people informed, and making sure the issue does not fall through the cracks. What Success Looks Like - Properties are regularly visited, inspected, and maintained. - Tenants and residents receive timely, professional communication. - Vendors meet their commitments or are promptly followed up with. - Outstanding issues are tracked and resolved without repeated reminders from ownership. - Expenses are reviewed carefully and work is completed within approved limits. - Property conditions and maintenance activities are documented accurately. - Ownership receives clear updates and is involved when decisions genuinely require its attention. - The company has greater confidence that day-to-day property operations are under control.
