# Assistant Project Manager **DDS Mechanical Plumbing & Heating Corp.** · Whitestone, NY 11357 · `On-site` 🕒 **Статус:** *Опубликовано: сегодня* · *Источник: Indeed* --- ### About the Role ASSISTANT PROJECT MANAGER Department: Project Management — Operations Reports To: Project Manager (tasks may also come directly from upper management) ROLE SUMMARY The Assistant Project Manager is the Project Manager's right hand — the person who turns the PM's plan into executed, documented work across multiple projects at once. A successful Assistant Project Manager is a self-starter who understands the organization's processes, whether by direct training or through on-the-job experience and interactions with others. Any individual working for a specialty trade must hone their ability to adapt to project-specific challenges — internally, with the client, or with the foreman and crew assigned to the site. It is the Assistant Project Manager's responsibility to complete tasks as assigned by the PM for multiple projects at once; these tasks may also come directly from upper management. Where the Project Manager owns the budget, schedule, client relationship, and final decisions, the APM carries the execution underneath it — submittals and RFIs, quantity take-offs, drawing control and distribution to the field, delivery scheduling, Procore organization, and close-out compilation. The APM is also the bridge between the office and the field, and the role is the proving ground for the Project Manager seat. This list is not all inclusive; it is meant to clarify a baseline set of responsibilities and tasks expected of an Assistant Project Manager here at DDS Mechanical. CORE OUTCOMES - PM-assigned tasks completed accurately and on time across multiple projects simultaneously - Submittals, RFIs, and quantity take-offs produced and tracked to approval so the job keeps moving - The field always working from current, properly distributed drawings, bulletins, and sketches - Equipment and fixture deliveries scheduled and tracked against lead times and ETAs - Organized, current Procore project files and a maintained Master Inspection Sheet - A complete, compiled close-out package ready for the PM ahead of sign-off and gas authorization PROJECT SETUP - Review the bid/contract set to understand the job inside and out and be of better assistance as the project starts. - With the assistance of the PM, take part in the review of our bid and the materials we planned to use, and verify that what we are submitting is included in our pricing. - Review specifications, make plans for the best and most cost-effective way of building the job, and create a submittal package. - Request NYC DOB approved filing sets from the client, review with the PM, and issue the request to the expeditor to pull permits. - Organize and file quotes from subcontractors, equipment, and fixture vendors for review by the PM and Buyout Team. - Review architectural or ID drawings and prepare quantity take-offs of fixtures and special items to send out for pricing. - Assist during the coordination process to keep up to speed on which drawings are current and should be published and distributed to the field. - Create submittals and follow up on status of approval. - Create and track RFIs that need to be issued in order to move forward. - Understand the NYC DOB filing, permit, and inspection processes. - Create and maintain the Master Inspection Sheet. - Attend the kick-off meeting with the PM, General Supervisor, and Site Foreman to review the details of the project. - Track and set reminders for scheduled start dates. - Understand the dynamics of any agencies involved on the project (e.g., HPD). - Create all printed documents sent to field crews and ensure they have the proper drawings to start work. - Assist with gathering information for Value Engineering purposes (e.g., plumbing pumps or fixtures). PROJECT ONGOING - Create and update approved hard copy submittal binders for the shop and field foreman. - Assist the PM with entering information, tracking revisions, and then distribute the current 2 Week Look Ahead Schedules to the appropriate parties. - Help enter information and then distribute specific schedules and/or detailed tasks for specific areas (e.g., Boiler Room). - Keep all revised drawings, bulletins, and sketches up to date; publish and distribute the latest drawings to the field. - Assist and conduct page turns on all revisions and advise the PM of potential change orders. - Maintain pre-requisite lists for distribution to clients (e.g., Water and Sewer Required Items). - Occasionally visit project sites with the PM or General Supervisor — as a fill-in for the PM or to review progress; this is the best way to bridge the gap between field work and office work. - Assist in maintaining the Master Inspection Sheet. - Support the release of funds to subcontractors and equipment vendors by verifying what has been paid to date and whether material releases match deliveries (the PM oversees the actual release). - Release and schedule deliveries for equipment and fixtures; follow up with vendors on lead times and ETAs. - Occasionally attend site project meetings held by the client in lieu of the PM. - Assist with document preparation for pre-start-up meetings. - Assist with scheduling and attend bi-weekly meetings with the PM, General Supervisor, and Site Foreman to discuss schedule, manpower requirements, and field information that may require additional planning or assistance. - Keep project files organized in Procore — use dates with brief descriptions on folders to identify key project documents. - Track all paperwork associated with utility agencies and subcontractors, and assist the PM with these items to ensure timely installation and turn-on of services. - Review all fixture schedules and cuts and follow up on approvals (e.g., UFAS Bathrooms or PTAC Unit Trim Details). PROJECT FINISH - Create and maintain internal punchlist and quality control documents — Pressure Tests, Finish Fixture Installation Matrix, Valve Tag Charts and Locations. - File and organize all required DOB close-out documents. - Create warranty, O&M, and attic stock transmittals for review by the PM, and follow up on submissions and acceptance. - Walk the project with the PM and client, and assist the PM with lists for corrective work and close-out. - Compile all close-out documents and create or enter them into the Procore folder. - Provide hard copies and e-mail attachments when requesting sign-off or gas authorization. WORKING RELATIONSHIP WITH THE PROJECT MANAGER - The PM owns the budget, schedule, client direction, DOB inspections, change order issuance, and the release of funds; the APM executes the supporting work and keeps the documentation, drawings, and deliveries flowing underneath those decisions. - The APM completes tasks as assigned by the PM — and directly from upper management — across multiple projects at once, and flags anything requiring the PM's decision (e.g., potential change orders, budget or lead-time issues). - The APM serves as a fill-in for the PM at inspections, site visits, and client meetings when the PM cannot attend, and is the primary bridge between the office and the field.
