KEY RESPONSIBILITIES 1. HR Operations & Administration Supervise all day-to-day transactional HR activities and ensure timely completion of HR requirements. Oversee employee records, HR documentation, contracts, personnel files, employment status, and other HR administrative requirements. Monitor and ensure accurate processing of employee movements, promotions, transfers, regularization, resignations, and other personnel transactions. Ensure HR processes and documentation are aligned with company policies and applicable labor regulations. Establish and maintain organized filing and documentation systems. Monitor HR reports, trackers, and deadlines to ensure timely submission and completion. Assist the HR Manager/HR Head in implementing and improving HR processes and systems. 2. Attendance, Timekeeping & Payroll Coordination Supervise HR activities related to attendance, timekeeping, leave, overtime, and payroll inputs. Coordinate with Operations and Finance/Accounting to ensure accurate and timely payroll-related information. Review attendance and timekeeping reports and investigate discrepancies when necessary. Ensure that employee attendance and payroll concerns are properly documented and resolved promptly. Monitor compliance with established payroll and timekeeping cut-off schedules. 3. Employee Relations Handle employee concerns, grievances, complaints, and workplace issues professionally and objectively. Conduct initial fact-finding and investigations concerning employee relations matters. Assist in preparing Notices to Explain (NTE), disciplinary notices, notices of decision, and other employee relations documentation. Ensure proper documentation and implementation of disciplinary actions in accordance with company policy and applicable labor standards. Provide guidance to managers and supervisors in handling employee concerns and workplace issues. Maintain confidentiality and exercise sound judgment when handling sensitive employee matters. 4. Performance Management Assist in the development, implementation, and monitoring of the company’s Performance Management System (PMS). Coordinate performance evaluation schedules and ensure timely completion by managers and supervisors. Monitor performance evaluation results and identify areas requiring intervention or development. Assist managers in setting performance expectations, KPIs, and development objectives. Support the implementation of Performance Improvement Plans (PIPs) when necessary. Provide recommendations to management regarding performance-related concerns. 5. HR Policy & Compliance Assist in implementing HR policies, procedures, and guidelines across the organization. Ensure employees and managers understand and comply with company policies. Monitor compliance with statutory and company requirements. Assist in reviewing and updating HR policies and procedures as needed. Maintain proper documentation to support HR compliance and audit requirements. 6. Leadership & Team Supervision Supervise and provide direction to HR staff handling transactional and administrative HR functions. Delegate tasks effectively and monitor completion, accuracy, and quality of work. Coach and develop HR team members to improve efficiency and service delivery. Set clear expectations and ensure accountability within the HR team. Lead by example and maintain a professional, service-oriented approach. Take ownership of HR operational concerns and ensure issues are resolved promptly. 7. HR Reporting & Data Management Prepare and review HR reports, trackers, and management updates. Maintain accurate employee databases and HR records. Analyze HR data and provide relevant information and recommendations to management. Develop and maintain Excel-based HR reports and monitoring tools. Ensure accuracy and confidentiality of employee information. QUALIFICATIONS Education Bachelor’s degree in Human Resources Management, Psychology, Business Administration, or a related field. Experience At least 3–5 years of progressive HR experience, preferably with supervisory or team leadership experience. Experience in HR administration and transactional HR operations. Proven experience in Employee Relations and Performance Management. Experience handling employee disciplinary cases, investigations, and workplace concerns is highly preferred. Experience in a fast-paced, multi-site, retail, food and beverage, hospitality, or service-oriented environment is an advantage. Technical Skills Strong knowledge and practical experience in Microsoft Excel, including formulas, data organization, reporting, and HR trackers. Proficient in Google Workspace, particularly Google Sheets, Google Docs, Google Drive, and Google Forms. Comfortable working with HRIS, timekeeping, payroll, and other HR systems. Strong documentation and report-writing skills.
