This is not a basic virtual assistant role—and it is not simply a Zapier or ChatGPT position. This role is designed for someone who understands AI agents, automation, APIs, integrations, business processes, and systems architecture and can apply that expertise to make our organization more efficient and scalable. Our goal is to build an AI workforce : AI agents and automated systems that work alongside our human team, eliminate unnecessary manual work, connect our applications, strengthen accountability, and improve how the entire company operates. The ideal candidate is part: AI Automation Engineer Systems Architect Business Process Consultant Key Responsibilities AI and Automation Development Build AI agents or “AI employees” capable of supporting specific business functions. Develop advanced automations using n8n, Make, Zapier, APIs, and webhooks. Integrate AI models, including OpenAI and Claude, into business workflows. Connect multiple applications to create reliable, seamless information flows. Build systems that analyze information, follow defined decision rules, perform approved actions, and escalate issues to the appropriate team members. Integrate AI and automation solutions with GoHighLevel and other business platforms. Build automated dashboards, reports, and KPI monitoring systems. Develop databases and knowledge systems that AI agents can securely access. Create internal AI assistants trained on company SOPs, processes, policies, training materials, and organizational knowledge. Implement human-in-the-loop processes when human approval or review is required. Business Process Improvement A major responsibility of this position is to learn how our businesses operate and proactively identify opportunities for improvement. You will be expected to: Audit existing workflows, systems, and technology. Identify repetitive or unnecessary manual work. Identify bottlenecks between departments. Find processes where the same information is entered multiple times. Determine where applications should be connected. Recommend opportunities where AI agents can replace, assist, or enhance existing processes. Research and recommend appropriate AI tools and technologies. Estimate potential time and cost savings. Prioritize automation projects based on business impact. Build approved automation and AI solutions. Measure whether each solution improved business performance. We are not looking for someone who only asks, “What do you want me to build?” We want someone who also asks, “Why are you doing it this way, and is there a better way to accomplish it with AI?” System Maintenance and Documentation Monitor automations and identify failures before they become larger business problems. Troubleshoot and resolve system, integration, and data-flow issues. Build effective error handling, alerts, and recovery processes. Maintain and continuously improve existing automations. Document system architecture, workflows, logic, dependencies, and maintenance procedures. Ensure systems are understandable and maintainable by other team members. Potential AI Systems and Projects Examples of systems we want to build include: AI Operations Assistant Monitors workflows, deadlines, assignments, and incomplete tasks and alerts leadership when attention is required. AI Reporting and KPI Analyst Collects data from multiple systems, analyzes performance, identifies trends or concerns, and automatically generates management reports. AI Lead Qualification Agent Analyzes and scores incoming leads, updates the CRM, assigns leads to the appropriate team member, and initiates the correct follow-up process. AI Follow-Up Agent Tracks leads and outstanding tasks and automatically triggers follow-up actions when required activities have not occurred. AI Recruiting Assistant Supports applicant screening, qualification analysis, candidate organization, interview scheduling, and recruiting pipeline management. AI Marketing Analyst Analyzes marketing performance across platforms and identifies trends, opportunities, and potential concerns. AI Quality-Control Agent Reviews processes, records, or completed work against established standards and flags potential issues for human review. AI Knowledge Assistant Answers employee questions using the company’s SOPs, policies, training resources, and internal knowledge. These are examples only. The person in this role will also be expected to identify additional opportunities. Required Skills and Experience Candidates should have strong experience with: n8n — highly preferred GoHighLevel OpenAI API and ChatGPT Claude and the Anthropic API Make and/or Zapier REST APIs Webhooks JSON OAuth and API authentication Python and/or JavaScript Databases and data management Error handling, monitoring, and troubleshooting Business workflow analysis Technical documentation Strongly Preferred Experience Experience with any of the following would be a strong advantage: AI agents and agentic workflows Retrieval-Augmented Generation (RAG) Supabase PostgreSQL Airtable Vector databases Pinecone, Qdrant, or pgvector Model Context Protocol (MCP) Voice AI Vapi Retell AI ElevenLabs Twilio AI knowledge bases Prompt engineering CRM architecture Automated dashboards and reporting Human-in-the-loop AI systems You do not need to know every tool listed above. We care most about your ability to understand a business problem, design the right solution, and determine how to build, implement, and maintain it. Final Application Challenge At the end of your application, briefly explain how you would architect a solution for the following scenario: We receive leads from multiple marketing sources into GoHighLevel. We want AI to: Analyze and score each lead. Determine which team member should receive the lead. Update the CRM and assign the lead. Trigger the appropriate communication. Track whether the assigned team member completes the required follow-up. Automatically initiate additional follow-up when appropriate. Provide management reporting on lead sources, appointments, conversions, team performance, and potential problems. You do not need to build the solution. Briefly explain the proposed system architecture, applications or technologies you would use, how the data would flow, and how you would handle errors and human approval points. We are not simply looking for someone who knows how to use AI tools. We are looking for someone who can help us build the AI infrastructure that makes our entire company operate better.
