Job Purpose The Admission Counsellor will be responsible for managing prospective parent enquiries and guiding families through the complete admission journey, from the initial enquiry to campus visit, application, and final admission. The role requires strong communication, counselling, follow-up, relationship-building, and conversion skills, along with disciplined maintenance of admission records and daily reporting. 2. Key Roles & ResponsibilitiesA. Admission Enquiries & Parent Counselling - Handle admission enquiries received through phone calls, walk-ins, WhatsApp, website, social media, referrals, and other channels . - Understand the child's educational requirements and the parent's expectations. - Explain the school's curriculum, teaching methodology, facilities, activities, transport, fee structure, admission process, and policies accurately. - Counsel parents professionally and address their questions and concerns. - Provide only approved information regarding fees, discounts, concessions, policies, and admission procedures. - Create a positive and professional first impression of Suraka School. B. Lead Management & Follow-Up - Record every enquiry in the designated CRM/ERP/Admission Tracker . - Maintain complete details of: - New enquiries - Follow-up status - Parent requirements - Campus visits - Applications - Pending admissions - Confirmed admissions - Lost/closed leads - Conduct timely follow-ups through calls, WhatsApp and other approved communication channels. - Ensure no enquiry or follow-up is missed . - Reconnect with old, inactive, and pending leads to generate admission opportunities. - Maintain a healthy admission pipeline and take timely action on high-potential leads. C. Campus Visits & School Presentation - Welcome prospective parents and students professionally. - Coordinate and conduct school/campus visits. - Present the school's academic programmes, infrastructure, facilities, activities and student-development initiatives. - Coordinate with the Principal, Academic Team or Centre Head whenever parents require detailed academic interaction. - Ensure every visiting parent receives a positive and personalised experience. D. Admission Conversion - Convert enquiries into: Enquiry → Counselling → Campus Visit → Application → Admission - Understand parent objections and provide appropriate information to support their decision-making. - Follow up after campus visits and counselling sessions. - Track pending applications, assessments and fee payments. - Work towards achieving assigned daily, weekly and monthly admission targets . E. Admission Documentation - Assist parents with application forms and required documents. - Verify documents as per school admission guidelines. - Coordinate with the Academic Team for student assessments/interactions. - Coordinate with Accounts regarding fee payment and admission confirmation. - Ensure all admission documentation is complete and submitted within the required timelines. F. CRM / Admission Portal Management - Update all enquiry and admission information accurately and on time. - Maintain proper records of calls, follow-ups, visits, applications and conversions. - Ensure the admission database/CRM is updated on a daily basis . - Avoid duplicate, incomplete or outdated lead records. - Maintain confidentiality of parent and student information. G. Reporting Submit daily, weekly and monthly admission reports to the reporting manager covering: - Total new enquiries - Calls made - Follow-ups completed - Parents contacted - Campus visits scheduled - Campus visits completed - Applications received - Admissions confirmed - Pending admissions - Lost/closed leads - Lead-to-visit conversion - Visit-to-admission conversion - Reasons for pending/lost admissions - Next-day follow-up plan H. Marketing & Admission Activities - Participate in Open Houses, admission drives, school events, exhibitions, workshops and promotional activities . - Support the Marketing Team in generating quality admission leads. - Participate in outreach activities and referral initiatives. - Provide feedback on common parent queries, objections and market requirements. I. Coordination Work closely with: - Principal / Centre Head - Admission Manager / AVP – Admissions - Academic Team - Front Office - Accounts Team - Transport Team - Marketing Team - Administration Team to ensure a smooth admission process. 3. Key Performance Indicators (KPIs) Performance will be monitored based on: - Number of enquiries handled. - Daily follow-up completion. - Number of counselling sessions. - Number of campus visits generated. - Enquiry-to-visit conversion. - Visit-to-application conversion. - Application-to-admission conversion. - Monthly admissions achieved against assigned targets. - Timely CRM/portal updates. - Accuracy of admission records. - Parent communication and service quality. - Recovery of old/pending leads. - Daily and weekly report submission. 4. Qualification - Bachelor's degree in any discipline. - Additional qualification in Education, Business Administration, Marketing, Sales or Counselling will be an advantage. 5. Experience - 1–4 years of experience in school admissions, educational counselling, sales, customer relationship management, tele-counselling or a related field. - Previous experience in a school/educational institution is preferred. 6. Required Skills - Excellent verbal and written communication. - Strong parent counselling skills. - Good presentation and convincing skills. - Strong follow-up and lead-conversion ability. - Customer/parent relationship management. - Objection handling and negotiation skills. - Target-oriented approach. - Good organisational and time-management skills. - Basic knowledge of MS Office, CRM/ERP and admission portals . - Professional telephone etiquette. - Ability to work under pressure and meet admission deadlines. - English communication is essential; Telugu and Hindi will be an added advantage. 7. Working Expectations - Follow the school's working hours and attendance policies. - Maintain professional behaviour and communication at all times. - Ensure timely reporting to the reporting manager. - Maintain confidentiality of student and parent information. - Support the school during peak admission periods, events and admission campaigns. - Perform additional admission-related responsibilities assigned by the reporting manager or management. Pay: ₹25,000.00 - ₹30,000.00 per month Work Location: In person
