Administrative & Operations Officer
About the Role We are seeking an experienced, detail-oriented Administrative & Operations Officer to lead high-volume data operations, system reconciliations, and administrative support. This role is ideal for an operations professional with a strong track record in data integrity, process automation, workflow tracking, and regulatory compliance. You will act as a key liaison between internal leadership, external partners, and cross-functional teams, ensuring 100% accuracy in data administration and operational delivery under tight deadlines. Key Responsibilities Data Management & Reconciliations: Oversee high-volume data entry, system uploads, and account/ledger reconciliations with absolute accuracy. Identify, investigate, and resolve data discrepancies across digital systems and tracking logs. Workflow & Operations Optimization: Monitor distribution pipelines, track operational performance metrics (KPIs), and implement process automation (including Excel macros) to boost efficiency and eliminate bottlenecks. Compliance & Governance: Ensure all administrative procedures, record-keeping, and data transfers strictly comply with internal governance policies, GDPR guidelines, and regulatory frameworks. Stakeholder & Partner Coordination: Act as the primary point of contact for external partners, clients, and senior leadership, addressing inquiries and technical support requests. HR & Onboarding Administration: Support department recruitment, coordinate pre-employment screening, manage technical IT onboarding setups for new hires, and audit timesheet/payroll data. Project Support & Centralization: Support standard operating procedure (SOP) documentation. Required Qualifications & Experience Experience: 5+ years of experience in senior administrative support, operations management, data administration, or middle-office services within financial services or large corporate environments. Education: Bachelor’s Degree in Business Administration or a related field. Technical Skills: Advanced proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables) and core administrative management platforms. Data & Reconciliations: Proven experience handling high-volume ledger accounts, payment reconciliations, or large data sets under tight deadlines with high accuracy. Compliance Knowledge: Sound working knowledge of GDPR guidelines, data security protocols, and regulatory framework compliance. Soft Skills: Excellent problem-solving skills, strong stakeholder management capabilities, high adaptability, and a proactive approach to operational ownership. Pay: £25,420.00-£38,758.62 per year Work Location: In person
