Admin Manager (Chinese Speaking)
JPosition Nature: The highest administrative authority and central coordination hub for the Thailand operation. This position holds the highest administrative authority at the local Thailand site. Each business function is independently managed by its respective department, while this role focuses primarily on support, coordination, and overall accountability/back-up . Core Responsibilities 1. Country-Level Coordination & Cross-Departmental Collaboration — Core Responsibility Serve as the highest-level coordinator for the Thailand operation, overseeing the effective collaboration among HR, Finance, Warehouse, Sales, and other functional departments. Coordinate and follow up with the HR department on key HR matters, including recruitment, salary and compensation structure development, and employee/labor relations. Coordinate with the Finance department to ensure proper cash flow management, tax compliance, and implementation of local financial policies and procedures. Facilitate communication and collaboration between business departments (Warehouse Management and Sales teams) and functional departments, resolve cross-departmental issues, and improve overall organizational efficiency. Regularly report the overall operational status, personnel updates, and potential risks of the Thailand operation to the overseas headquarters. 2. Team Building & Organizational Development Lead or support the establishment of key teams according to the development stage of the Thailand operation, ensuring that critical positions such as HR, Finance, Warehouse, and Sales are properly staffed. During the early stage or when the organizational structure is not yet fully established, directly oversee daily office administration, develop administrative policies, and establish and optimize operational procedures. Establish and implement company rules and regulations, attendance systems, office management standards, and administrative procedures to ensure a structured and well-managed organization. 3. Key Position Back-Up & Temporary Coverage When a key functional position at the Thailand operation, such as HR, Finance, or Warehouse Management, is vacant or not yet staffed, temporarily assume management responsibility for the relevant function to ensure business continuity. Do not directly intervene in the day-to-day management of the Warehouse Manager's business operations; instead, provide resource coordination, cross-departmental support, and logistical assistance when required. Handle emergencies, government relations, local regulatory matters, and other issues requiring coordination and representation at the country level. 4. Highest-Level Administrative Authority As the highest administrative authority for the Thailand operation, review and approve important site-level matters related to administration, HR, and Finance. Supervise all functional departments to ensure compliance with headquarters' policies and standards and ensure that the Thailand operation is aligned with the company's overall strategy and compliance requirements. Qualifications & RequirementsBasic Requirements Language Skills (Mandatory): Candidates must meet at least one of the following requirements: Fluent Chinese + Fluent Thai , with both languages usable as working languages. Fluent Chinese + Fluent English , with both languages usable as working languages. Preferred: Fluent in Chinese, Thai, and English , with all three languages usable as working languages. Location & Residency: Must be a Thai national or Thai Chinese , willing to work full-time in Thailand, with a good understanding of the local Thai business environment, labor laws and regulations, and local culture and customs. Core Competencies Strong Coordination & Cross-Functional Management Skills: Ability to communicate effectively across departments, integrate resources, and drive collaboration among multiple teams within a matrix management structure. Team-Building Capability: Proven experience in successfully building overseas teams from 0 to 1 or 1 to N , with the ability to quickly step in, fill gaps, and adapt to changing business needs. Strong Resilience & Ability to Take Ownership: Able to proactively take on temporary management responsibilities across multiple functions when key positions are vacant or the team structure is not yet fully established. Cross-Cultural Adaptability: Deep understanding of Chinese–Thai or Chinese–English cultural differences , with the ability to build trust, influence, and authority within a multicultural team. Strategic Execution Capability: Able to translate headquarters' strategies into practical and locally executable plans in Thailand , while providing timely feedback to headquarters on local business conditions and operational realities. Requirements Bachelor’s degree in business administration, management, human resources, or a related field. 5 years and above of experience in administration or office management; management experience is preferred. Strong organizational and problem-solving skills. Good communication and interpersonal skills. Able to manage multiple tasks and work under pressure. Proficient in Microsoft Office (Word, Excel, PowerPoint). Good command of English or Chinese is preferred. Responsible, detail-oriented, proactive, and able to work independently.
