Finance & Operations Manager Location: Cheshire Job Type: Full-Time Salary: £50,000 – £60,000 per annum, depending on experience Maximum starting salary: £60,000 About the Role GymSets is looking for an experienced and commercially minded Finance & Operations Manager to take ownership of the company’s finance function, day-to-day accounting and financial reporting. This is a hands-on role . The successful candidate will be responsible for maintaining accurate company accounts from the day-to-day inputting of transactions through to VAT returns, management accounts, financial reporting, stock analysis and profitability analysis. We are looking for someone who is capable of taking responsibility for the accounts internally , while also using the financial data to help management understand how the business is performing. Alongside the accounting responsibilities, a major part of the role will be analysing the performance of the business. We want someone who can look beyond the numbers and help management understand where the business is making money, where margins are being lost, where costs are increasing and where improvements can be made . This will include detailed analysis of stock, individual product profitability, sales trends, supplier costs, courier costs, marketplace fees, operational costs and other areas of expenditure. Key ResponsibilitiesAccounting & Finance Maintain complete, accurate and up-to-date company accounts Input and process supplier invoices, expenses, payments, receipts and other financial transactions Maintain accurate purchase and sales ledgers Perform regular bank reconciliations Reconcile credit cards and other company accounts Reconcile payment providers and sales channels Prepare and process supplier payment runs Manage supplier statements and resolve discrepancies Manage credit control and outstanding balances Prepare and process payroll information Maintain accurate financial records and supporting documentation Ensure invoices, receipts and financial documentation are correctly recorded and filed Prepare and file VAT returns Ensure VAT is correctly accounted for across purchases and sales Maintain accurate records of VAT liabilities Maintain accurate accounting records across the business Maintain and improve the company’s accounting systems, processes and financial controls Ensure deadlines relating to accounts, VAT, payroll and other financial obligations are met Monthly Management Accounts A major responsibility of the role will be giving management a clear picture of how the business is performing each month. Responsibilities will include: Produce monthly management accounts Produce monthly profit and loss reports Report gross profit, operating profit and overall profitability Compare performance against previous months and periods Analyse changes in revenue, costs and margins Investigate unusual movements or discrepancies Produce clear financial reports for management Explain financial results in a straightforward and commercially useful way Highlight areas where the business is overspending Identify areas where profitability is deteriorating Identify potential financial leakage Recommend actions that could improve profitability Provide management with accurate information to support commercial decisions Product & Stock Profitability Product and stock analysis will be a particularly important part of this role. The successful candidate will be expected to: Analyse profitability by individual product Analyse profitability by product category Calculate and monitor product gross margins Review landed product costs Analyse supplier costs and changes in purchase prices Monitor selling prices against actual product costs Analyse discounts and their impact on profitability Identify products with declining margins Identify products that appear profitable on revenue but perform poorly after costs Identify slow-moving and underperforming stock Identify high-performing and high-margin products Analyse stock turnover Analyse stock holding periods Review stock levels against sales trends Highlight excessive or ageing inventory Identify where too much working capital is tied up in stock Analyse historical sales patterns and stock trends Help management determine which products should be reordered Identify products where purchasing quantities should be increased or reduced Identify products that may need discounting or discontinuing Review stock valuation and ensure inventory reporting remains accurate Help improve forecasting and purchasing decisions using historical data Sales & Margin Analysis Analyse sales trends month by month Analyse performance across different sales channels Analyse revenue and profitability by marketplace Review marketplace commissions and fees Reconcile marketplace payments Analyse Shopify and website sales Analyse discounts, refunds and returns Monitor the financial impact of returns Analyse profitability after transaction fees, marketplace fees, discounts and fulfilment costs Identify areas where sales are increasing but profitability is decreasing Monitor gross margin percentages across the business Identify margin leakage and unexpected costs Highlight significant changes in product or channel performance Operations & Cost Analysis Check courier invoices against agreed rates Identify incorrect courier charges and surcharges Analyse delivery costs by courier, product and service Monitor fulfilment and operational costs Analyse warehouse and distribution costs Review supplier pricing and account statements Check purchase orders against supplier invoices Support purchase order administration and controls Identify unnecessary or increasing business costs Analyse recurring expenses and contracts Highlight areas where expenditure has increased unexpectedly Identify potential cost-saving opportunities Support management with commercial and operational analysis Cash Flow & Financial Planning Maintain regular cash-flow reporting Produce cash-flow forecasts Monitor upcoming supplier payments and other liabilities Monitor VAT, payroll and tax liabilities Help management understand expected cash requirements Identify potential cash-flow pressures before they arise Monitor working capital Monitor money tied up in stock Monitor funds held by payment providers and marketplaces Help management plan major upcoming expenditure What We’re Looking For We are looking for someone with strong accounting experience who is also commercially minded . The successful candidate should: Have strong practical accounting and finance experience Be capable of independently managing the day-to-day accounts of a business Be comfortable taking ownership of the finance function Have experience producing management accounts Have strong knowledge of VAT and VAT returns Understand profit and loss reporting Understand balance sheets and cash flow Be confident analysing product margins and profitability Have experience working with stock or inventory reporting Be comfortable working with large amounts of financial and operational data Have strong Excel and/or Google Sheets skills Have experience using accounting software Have excellent attention to detail Be capable of spotting discrepancies and investigating them Be confident questioning costs or figures that do not look correct Be highly organised and capable of managing multiple financial deadlines Have a commercial mindset rather than simply processing transactions Be comfortable presenting financial information directly to management Experience within e-commerce, retail, stock-based businesses, marketplaces, warehousing, importing or distribution would be particularly beneficial. A relevant accounting qualification such as ACCA, CIMA, ACA or equivalent would be highly desirable. Strong candidates with substantial relevant experience will also be considered. Salary The starting salary for this position is £50,000 – £60,000 per annum , depending on experience, qualifications and overall suitability for the role. £60,000 is the maximum starting salary for this position. Interview Process Candidates who progress to the interview stage will be required to attend an in-person interview . As part of the interview process, candidates will complete a written finance and accounting assessment designed to test their practical accounting, analytical and commercial ability. The assessment may include areas such as: VAT Profit and loss Management accounts Bank reconciliation Accounting principles Margin and profitability analysis Stock and inventory analysis Cash flow Commercial problem-solving The assessment is intended to ensure candidates have the practical ability required to take responsibility for the position. What Success Looks Like We want the person in this role to be able to give management a clear understanding each month of: How much money the business made What the true profit of the business was Why profit increased or decreased Which products generated the most profit Which products or categories underperformed Which margins increased or decreased Which costs increased and why Where the business may be losing money Which stock is selling quickly Which stock is selling slowly Where too much cash is tied up in inventory Which products should be reordered Which products may be overstocked Which sales channels are the most profitable The true impact of marketplace fees, courier costs, refunds and discounts Where financial or operational improvements could be made What actions management should consider to improve profitability This is not simply a bookkeeping or data-entry position . It is a hands-on finance and commercial role where the successful candidate will be expected to maintain the accounts, produce the financial reporting and use that information to help management understand and improve the performance of the business.
